Notion AI Meeting Notes vs. Granola: Capture and Follow-Up

Notion AI Meeting Notes integrates with your Notion workspace; Granola runs locally on Mac and connects to any video call platform. Here is how they compare on capture, editing, sharing, and what you do with the notes afterward.

Updated 7 min read

Notion AI Meeting Notes lives inside your Notion workspace: meeting summaries, action items, and transcripts appear as Notion pages linked to your calendar events and other pages. Granola is a Mac desktop app that runs alongside any video call platform and generates notes locally on your machine. fenbs is not a note-taking tool, but it keeps the decisions and actions that come out of either workflow organized and accessible to the AI assistants that continue the work after the meeting.

The right choice depends on whether you already live in Notion and whether you need something that works offline or across meeting platforms without an account-to-account integration.

How Notion AI Meeting Notes works

Notion AI Meeting Notes connects to your calendar and can join meetings automatically or generate notes from transcripts you provide. When a meeting ends, the AI produces a summary and extracts action items, which appear as a new Notion page. That page can be linked to a project, a team page, or a task database already in your workspace.

The tight workspace integration is the main advantage. If your team already tracks projects, decisions, and tasks in Notion, having meeting notes arrive automatically in the same space is convenient. You can link a meeting note to the project it relates to, reference it in a task, or use it as input for other Notion AI features.

The limit is cost and plan dependency. Notion AI is a paid add-on, and AI meeting notes use the same credit pool as other Notion AI features. For limit details, see Notion AI meeting notes free limit.

How Granola works

Granola is a Mac desktop app that listens to your meetings through your computer's audio and generates notes in the background. It does not need to join the call as a bot, which means it works with any conferencing platform: Zoom, Google Meet, Microsoft Teams, or any other tool you use. Notes are stored locally by default.

The notes Granola produces are editable alongside the transcript. You can add your own notes in a structure Granola uses to improve the AI-generated summary. The result is a hybrid between your manual notes and the AI's transcript-based summary.

Granola is currently available for Mac only. See Granola's website (opens in a new tab) for current platform availability, pricing, and whether it has expanded beyond Mac since this was written.

How fenbs helps

Move the decisions into a place your next AI session can read

After a meeting — whether you used Notion AI or Granola — pull the agreed decisions and action items into fenbs as Decisions and rules and tasks. When the project session resumes the next day, your connected assistant reads those decisions before starting, rather than asking what was agreed. The meeting notes stay in whichever tool captured them; the actionable part lives where the work happens.

Capture and transcription quality

Both tools produce AI-generated summaries and action items, but their accuracy depends on audio quality, speaker count, and accent diversity. Neither is infallible. For high-stakes meetings, review the AI-generated summary against your own notes or the transcript before acting on action items.

Notion AI Meeting Notes relies on the meeting audio routed through Notion's systems. Granola processes audio locally, which may be preferable for conversations where sending audio to a cloud service is a concern. Check each tool's privacy policy for details on how audio is handled.

Both tools perform best with clear audio from a reliable source. Meetings with many participants on varied connections, non-native English speakers, or strong accents produce transcripts with more errors. For predictable accuracy, test each tool on a representative meeting before relying on its output for anything consequential. Granola's local processing means audio quality from your microphone and speakers matters more than connection quality; Notion AI's cloud processing means a stable internet connection during the meeting affects the result.

Editing and sharing notes

Notion AI meeting notes are Notion pages, so they inherit all of Notion's sharing and permissions. You can share a meeting page with a team, lock it, embed it in another page, or link to it from a database. Editing works the same as any other Notion page.

Granola notes can be shared as a link or exported, but they live outside your project management system unless you manually move content. For teams that already use Notion, this is the main friction point with Granola: the notes are good, but they do not arrive in the same place as the rest of the project.

Action items and follow-up

Action items extracted by Notion AI appear as structured data inside a Notion page, which means you can link them directly to a task database, assign them to team members, and set due dates without leaving Notion. The action items travel with the meeting note and stay connected to the project they belong to. For teams that already track work in Notion, this removes the manual step of copying action items from a note into a separate task system.

Granola extracts action items as part of the note it generates, but they are not automatically connected to a project management system. You need to copy them into whichever tool your team uses for tracking work. This is the main workflow difference between the two: Notion AI gives you connected action items inside Notion; Granola gives you accurate notes that you then act on wherever your work happens.

If your team uses a combination of tools — Granola for capture, another system for task tracking — the action item transfer becomes a manual process after each meeting. Building that step into your post-meeting routine helps. Some teams extract the key decisions and actions immediately after the call and before moving on, so nothing is lost to the gap between ending the meeting and starting the next task.

Privacy and data handling

Notion AI Meeting Notes route your meeting audio or transcript through Notion's servers and AI systems. For teams with strict data handling requirements, this means checking Notion's data processing terms and confirming what data is retained and for how long. Notion's data processing documentation covers how AI features handle input data; check the current version before using the feature for sensitive client or business discussions.

Granola processes audio locally on your Mac by default. The meeting transcript stays on your machine rather than being sent to a cloud service during the capture step. This distinction matters for conversations where having audio leave your device is a concern, such as legal discussions, HR meetings, or conversations with clients under a non-disclosure agreement. Granola's privacy policy covers what, if anything, is sent to its servers for AI processing; the local capture step does not mean no data leaves your machine at all.

Who should pick which

Choose Notion AI Meeting Notes if your team already uses Notion as a primary workspace, you want meeting notes connected to projects and tasks with no manual transfer, and you are on a plan that includes or allows the Notion AI add-on.

Choose Granola if you are on Mac and want a note tool that works with any conferencing platform without integrations, you prefer local processing, or your meeting workflow does not map cleanly to the tools you use for project management.

How fenbs helps

Record the meeting tool decision your team agreed on

If your team decides to standardize on one meeting notes tool, record that as a Decision in fenbs. Include the reason, who decided, and what the standard process is for extracting action items. A connected assistant reading that decision will know the agreed process before it handles the next meeting's follow-ups.

How to do this with fenbs

  1. Create a free account and add a project for the work your recurring meetings inform.
  2. After each meeting, open the summary from Notion AI or Granola and identify the decisions made and the action items assigned.
  3. Add decisions as Decisions and rules in fenbs, with the decider and the date. Add action items as tasks on the kanban board.
  4. Connect Claude over MCP from Integrations and ask it to read the project context before continuing any work that came out of the meeting.
  5. Before the next meeting, ask your connected assistant to summarize what is still open from the previous one. That takes about thirty seconds and ensures nothing is left behind.

Questions people ask.

Does Granola work on Windows?

As of October 2026, Granola is a Mac-only app. Check granola.ai for current platform availability, as this may have changed.

Can I use Granola and Notion at the same time?

Yes. Granola captures notes locally while you attend the meeting; you can then copy key decisions and action items into Notion afterward, or into fenbs if you want them accessible to AI assistants working on the project.

Do Notion AI Meeting Notes work without the Notion AI add-on?

No. The AI meeting notes feature requires Notion AI, which is a paid add-on. Without it, you can still create meeting notes manually in Notion, but the AI-generated summaries and action item extraction are not available.

Which tool is better for privacy?

Granola processes audio locally on your Mac by default, which keeps audio off external servers. Notion AI Meeting Notes send audio or transcripts to Notion's systems for processing. Check each tool's privacy policy to understand exactly what data is sent, stored, and for how long.

Can fenbs replace either of these meeting note tools?

No. fenbs does not record or transcribe meetings. It organizes the decisions and actions that come out of a meeting into a structured record that AI assistants can read. Use Notion AI or Granola to capture the meeting, then move the agreed decisions and tasks into fenbs.
