What we hold

Your email address and name, the boards you are a member of, and everything you put in them — task titles, notes, comments, attachments, AI context and the activity trail. We do not ask for anything we do not need to run a project management tool.

Who can see it

Only the members of a board can see that board. That is enforced on the server for every request, not hidden in the interface, and it applies identically to people and to AI assistants.

How we protect it

Everything is sent over encrypted connections. You stay signed in with cookies that page scripts cannot read, and access tokens for AI assistants are shown once, can be narrowed to what they need, and can be revoked at any time.

Analytics

With your permission where the law requires it, Google Analytics and Microsoft Clarity measure how the site is used. Clarity never records what is inside the signed-in app. The phone app uses the same two services: Clarity with text masked, and Google Analytics for the same handful of events (sign-up, sign-in, adding a task, subscribing), sent through fenbs.ai rather than from the phone directly. Vercel Web Analytics counts page views without cookies. The details, and how to change your choice, are on the Cookies page.

AI assistants and third parties

When you connect an AI assistant, the content of the boards it can reach is sent to whoever provides that AI assistant, as part of answering you. Choosing a narrower role for an AI assistant narrows what it can send.

Use of artificial intelligence

Separately from AI assistants you connect yourself, in some cases we use artificial intelligence (AI) to help us process personal information. For example, AI may read and sort messages and documents you send us and check them against the details we hold. We send only the information needed for that task. The AI services we use are provided by OpenAI, Anthropic and Google (Gemini). They act on our instructions and use the information only to provide that service to us. AI does not make decisions about you on its own. A member of our team reviews every AI suggestion before anything changes on your account. If you would prefer a person to handle your information without AI, or you want a person to look again at something AI helped with, contact us at help@fenbs.ai and we will arrange it.

What we will never do

Sell your data, train a model on the contents of your kanban boards, or read them except where you have asked us to help with a specific problem and given permission.

Your control

You can download your decisions and rules as a CSV file from the Decisions and rules page, and any AI assistant you connect can read your tasks, notes and comments back out for you. You can correct your details, and close your account at any time; the Close your account page explains what happens to your data.
