How to Export ChatGPT Projects Without Losing the Work

Preserve the useful chats, instructions and source files from a ChatGPT project, then leave a clear starting point for whoever continues it.

To export ChatGPT projects, preserve the important chats, copy the project instructions and collect the source files you need. Treat an account data export as one part of that process, then check what it contains rather than assuming it is a complete, restorable project package.

A tool like fenbs can hold the continuing work and handoff summary outside ChatGPT, while your documents stay in their normal storage. The aim is a usable record: what the project was for, which output was approved and where the next session should begin.

What belongs in a portable project export?

  1. Open the correct project and record its name, purpose and the date of your backup.
  2. Copy the project instructions into a clearly named document. Preserve the wording before adding a separate explanation of what it means.
  3. List the project sources. Download the files you need and retain the original location of linked material.
  4. Save the important chat outcomes, including approvals, rejected options and unresolved questions.
  5. Write a short restart note, then open the saved files and check that another person can follow it.

Start with the work you are permitted to retain. In a company project, ask the owner which materials belong in the handoff and where the copies should live. A backup should preserve useful work without turning a private collection of conversations into an unnecessarily broad shared folder.

Separate the archive from the active record. The archive preserves what existed at the time; the active record says what is true now. Our guide to ChatGPT project management covers the ongoing workflow rather than the export itself.

Does the account export include a complete project backup?

OpenAI describes its account data export (opens in a new tab) as a ZIP containing chat history and other relevant account data. That description does not promise a one-click project restore or a portable copy of every project setting, source and permission. Inspect the downloaded archive against your own inventory.

For eligible accounts, the route is Settings, Data controls, Export data, then confirmation. Availability depends on the account or workspace; follow the vendor guidance if the option is missing. Keep the broader archive private, and extract only the material that belongs in this project handoff.

Check a known conversation rather than trusting the filename. Find a distinctive passage from an important chat and confirm that the saved copy includes its useful conclusion. An archive that opens successfully can still leave you without the particular output or context you needed.

If your main goal is the conversation archive, use the dedicated guide to exporting ChatGPT chats. For a project handoff, keep going until the instructions, source inventory and current state are independently understandable.

How do you preserve instructions and source files?

OpenAI’s Projects guide (opens in a new tab) explains where project instructions live and how to open a project file from the sources list to preview or download it. Use those controls to collect the material you actually need. Keep linked sources distinct from files you have copied.

A small project inventory
MaterialWhat to preserveWhat to verify
InstructionsExact instruction text and a dated copy.Which instructions still apply to the next session.
Uploaded source filesThe required files in their original formats. Each file opens and matches the version used.
Linked sourcesSource title, location and reason it matters. The next person has permission to open it.
Chat outcomesApproved output and important supporting discussion.Draft suggestions are labeled as drafts.

Use filenames that identify the version, such as a project name, document purpose and save date. If two files have the same name, compare their content before choosing one. Keep the original untouched and put any edited handoff version beside it with a clear label.

A source list is especially useful when the project drew on changing documents. Record which version informed the work instead of treating a live link as a frozen copy. The guide to ChatGPT project sources handles source organization in more depth.

What makes the exported material useful to the next session?

Write a restart note that begins with the current goal, then separates completed work from work that merely started. Include the agreed decisions, the checks actually performed and the next action. Point to evidence beside each claim so a new reader can verify it without rereading every conversation.

For example, a design studio might write: “The client approved the shorter intake form. The revised draft is saved in the handoff folder. Accessibility review is still open; start by checking the field labels.” This is a hypothetical example, but the distinction between approval, saved output and unfinished checking applies to many projects.

Do not ask an assistant to invent the missing history. If approval cannot be found, write “approval not verified.” For better maintenance before the next export, see ChatGPT Projects best practices. fenbs keeps the restart note with the tasks through Where we left off.

How fenbs helps

Keep the next step beside the project

Add the current tasks, record the decisions a person made and save Where we left off in fenbs. Link to the exported files in their normal storage and say which version is approved. A connected assistant can read that work record before continuing in a fresh session.

How to do this with fenbs

  1. Create a free account and add the project on your kanban board. One person is free, with no credit card.
  2. Add tasks for the unfinished work. Put the source locations and saved output references in the relevant task or project context notes.
  3. Record the decisions people approved in Decisions and rules. Keep unresolved choices open, and distinguish a project choice from an instruction that always applies.
  4. Follow Integrations to connect a supported assistant. Ask it to read the project context before working and save progress before it stops.

fenbs does not import ChatGPT chats or rebuild a ChatGPT project from an archive. It is not the right fit if you only need an offline copy of a conversation. Its role is the continuing work record, including tasks, decisions, History and the starting point for the next assistant.

How can you tell whether the handoff is complete?

Test the package from the recipient’s position. Open the instruction document, a source file and the approved output outside the original project. If you are moving to another app, establish which files it accepts and which instructions you must enter manually. A readable export is useful even when the destination cannot recreate the original project structure.

Keep a short list of omissions, such as a source that still needs permission or a conversation you have not located. A handoff with explicit gaps is more usable than one called complete without evidence. Browse the AI handoffs hub when you need a broader process for moving ongoing work between sessions.

Questions people ask.

Can I restore a project by uploading its account export?

Do not assume that an account export is a project restore file. Preserve the important instructions, source files and outcomes separately, then check what a destination app can accept.

Should I keep every draft conversation?

Keep the archive if you need the record, but give the recipient a smaller handoff focused on current work. Clearly label which output was approved and which drafts remain useful only as background.

Is a shared project link enough for a backup?

A link is a way to reach the live project, not an independent copy of its contents. Check the recipient’s access and save the material your backup must preserve separately.

Can fenbs automatically copy my project history?

No. You choose what belongs in the continuing work record. fenbs can keep tasks, decisions, source references and progress for connected assistants to read.
