ChatGPT Projects Sources: Add Context You Can Check

Add useful files and connected sources to a ChatGPT project, then check which material supports the answer. Keep approved decisions separate from reference documents.

ChatGPT Projects sources are the files and connected context you make available to related project chats. Add recurring reference material to the project, then ask ChatGPT to identify the exact source and passage behind important answers. A source being available does not prove that every detail influenced a particular response.

Tools like fenbs keep a curated reference list and the decisions made from it outside one AI app. That helps when a useful answer needs to become an agreed action rather than another paragraph in a chat.

How do you add useful sources to a project?

  1. Open the project you intend to use. Check its name before adding material, especially when you have several projects for different clients or classes.
  2. Use the project’s Sources section for material needed across its chats. Attach a file directly to an individual chat when it matters only to that task.
  3. Choose the current version of each document. Give files recognizable names that distinguish approved material from drafts.
  4. Add a short instruction explaining the task, which documents matter most, and how to handle conflicts. Keep the instruction separate from the source text.
  5. Start a project chat and run a small reading check before requesting a large deliverable. Ask for one verifiable detail from each essential source.

OpenAI’s Projects documentation (opens in a new tab) describes the difference between project sources and chat attachments. You do not need a complicated library to begin. Two relevant, clearly labeled documents are easier to inspect than a large collection with uncertain dates and overlapping drafts.

For example, a design studio could add the approved client requirements and the current accessibility checklist. A discarded concept belongs outside that working set unless the task is to compare it with the approved design. The assistant should not have to guess which file represents the current agreement.

Which material belongs in project knowledge?

Choose sources by how they change the answer. A recurring style guide, product specification, research paper, or approved requirements document can support many tasks. A receipt needed for one calculation is usually easier to keep with that calculation.

Give each piece of context a clear job
MaterialWhat it contributesWhat to check
Reference documentFacts and detailed explanationsVersion, author, date, and relevant section
Project instructionHow ChatGPT should approach the workScope and conflicts with other instructions
Connected sourceInformation retrieved through an authorized serviceAccess, source location, and when it was read
Approved decisionWhat a person chose for this projectDecider, reason, and whether it still applies

Keep the distinction visible in your request. “The handbook describes our usual process; the project decision permits a shorter review for this draft” gives the assistant a useful relationship. “Read all these files and do the right thing” leaves that relationship unstated.

Our ChatGPT Projects best practices guide covers the wider organization of project chats. For the source collection itself, ask whether another person could identify the current document without reading your entire conversation.

How should you check a PDF or difficult document?

Begin with a detail whose answer you already know. Ask ChatGPT to identify the document title, locate a named section, and report a specific sentence or table entry with its location. Open the original and compare. Treat a wrong or missing result as a reading problem to resolve before using the document for analysis.

OpenAI lists PDFs among the files you can attach (opens in a new tab). That does not make a successful attachment a complete quality check. A scanned page, small chart label, complex layout, or ambiguous table still deserves a targeted test.

  • For a table, check the row label, column label, units, and a known value together.
  • For a chart, ask what the axes measure and which labels the assistant can read.
  • For a scan, try a readable text version if the reading check fails. Keep the original for comparison.
  • For a long report, give the section heading and page range relevant to the question.

Do not accept a plausible summary as proof that a crucial footnote was read. If that footnote determines the answer, make it an explicit part of the task and check it yourself. A narrower request can reveal a missing detail sooner than another broad summary.

Can connected sources replace uploaded copies?

A supported connection can be useful when the original lives in another service and changes often. An upload can be useful when you need to analyze a specific version. Decide whether your task needs the current document or a fixed copy, then say which you mean.

Connections depend on the service, account, and workspace controls. OpenAI’s plugin documentation (opens in a new tab) explains connected tools; our guide to ChatGPT connectors and apps explains the surrounding terminology. A pasted private URL alone is not evidence that the assistant opened its contents.

Record the document’s location and the version used for an important conclusion. If someone revises the source later, you can distinguish an outdated analysis from a mistaken one. In fenbs, Links and listings can retain that reference alongside the work it informed.

Why can an answer miss a detail from an available source?

Availability, selection, and interpretation are different checks. The assistant may not have access to the source you intended, may use a different passage, or may misunderstand the passage it found. Ask it to show the evidence before you decide which problem occurred.

You may see this discussed as retrieval-augmented generation, or RAG: finding relevant material before composing an answer. The term alone tells you little about the exact reading behavior of a particular ChatGPT feature. You do not need to assume an internal retrieval method to test whether the answer is supported.

Use a request such as: “Answer from the approved requirements. Name the source and section for each requirement. Separate direct statements from your interpretation. If a detail is missing, say so.” Then inspect the source for the requirements that affect the next action.

For changing file allowances, use the separate guide to project upload and source limits. Adding fewer sources may simplify a check, but it does not establish that the remaining sources were read correctly.

How fenbs helps

Keep the references that matter to the next task

Save the current source locations in fenbs with a short note explaining what each supports. Keep the resulting human decisions in Decisions and rules, so a connected assistant can distinguish the evidence from the agreement. Start with the references behind one active task.

How to manage source context with fenbs?

  1. Create a free account, then add the project whose references you are organizing.
  2. Add useful source locations to Links and listings. Include the title, version or review date, and what the source is used for.
  3. Record decisions people made after reviewing those sources. Keep unresolved questions open rather than presenting them as settled rules.
  4. Follow Integrations to connect a supported assistant. Ask it to read the project context before using the reference list.
  5. Save progress before stopping: what was checked, which source was used, what remains uncertain, and the next task.

fenbs does not import your ChatGPT chats or turn every linked document into searchable project knowledge. If you only need a quick summary of one file, a direct attachment is simpler. Use the extra record when sources lead to ongoing work, especially work another assistant or teammate must continue.

How do you keep the collection useful over time?

Review the sources when the work changes. Mark a replaced document clearly, update the current reference, and check whether earlier conclusions still hold. Do not silently treat a new version as proof that an earlier decision was reconsidered.

A useful completion check is simple: can someone find the source, verify the important detail, and identify the resulting next step? That turns source management into practical ChatGPT project management, with evidence that a person can inspect.

The context engineering hub has more guidance on choosing what an assistant needs for a particular task. Keep the starting context short enough to review and the original evidence close enough to check.

Questions people ask.

Does uploading a document make its contents approved?

No. A source supplies information; approval is a decision a person makes. Label draft and approved material clearly and state which one governs the current task.

Should I upload every old version?

Usually only when comparing versions is part of the task. Keep the current working set clear, and label older versions so they cannot be mistaken for current instructions.

Do source citations guarantee the answer is correct?

No. Open the cited location and check that it supports the specific claim. A real source can still be misunderstood or used for a conclusion it does not establish.

Should a one-time attachment become a project source?

Only if later project chats are likely to need it. Otherwise keep it with the task where it was used and save the resulting decision or next step separately.
