ChatGPT Shared Links: Check Access and Keep Track of Work

ChatGPT shared links make selected conversation content available to other people. Check the audience, review what is visible, and keep a record of when the link should be removed.

ChatGPT shared links let other people view conversation content through a URL. Before sending one, check the shared preview, the account or workspace it comes from, and whether future messages could become visible, using OpenAI’s sharing guidance (opens in a new tab). The link is useful evidence of a discussion, but you still need to explain what the recipient should do with it.

Tools like fenbs keep the source link beside the work it informs, with a named person responsible for the next action. That helps when a conversation is worth keeping as background but its current conclusion needs a clearer home.

What should you check before creating a link?

  1. Decide what the recipient needs: the reasoning behind an answer, a response to review, or evidence for a decision. Share only the material that serves that purpose.
  2. Read the complete shared preview. Check earlier prompts, responses, visible attachments, names, and details that could identify another person or organization.
  3. Confirm the audience and account. A link created in your personal account has different access rules from one created in a managed workspace.
  4. Choose who will maintain the link. Note why it exists and when to review it before copying it into a message or project record.

Treat this as a publishing check. A conversation may contain abandoned ideas, inaccurate answers, or a prompt that includes more background than a colleague needs. If you cannot confidently separate useful material from sensitive content in the preview, prepare an approved summary instead.

What content does the recipient actually see?

A link can show a conversation or an individual response, and supported images or uploaded files may appear. Review the preview; sharing does not give someone your account login. OpenAI describes the available sharing options (opens in a new tab).

Read it as a stranger would. An internal project nickname might identify a client, while a harmless-looking screenshot might show an email address. Removing a name from a final answer does not help if an earlier visible prompt still contains it.

Separate visibility from accuracy, too. A link shows what a conversation said; it does not establish that a source was checked or that a person approved the recommendation. Add a short note identifying which conclusion you have verified and which questions remain open.

Who can open or forward the link?

Personal links are viewable by anyone who has them. Managed links stay within their originating workspace; shared links have neither individual recipient permissions nor configurable expiration dates. See OpenAI’s access and privacy rules (opens in a new tab). A forwarded message can reach a different audience long after the original review.

For Business accounts, OpenAI’s workspace sharing documentation (opens in a new tab) confirms that people outside the workspace cannot open its shared chats. Check the recipient’s workspace before assuming a contractor or client can use your link. Our ChatGPT for business guide considers the wider work setup.

A conversation URL and a membership arrangement answer different questions. See shared ChatGPT accounts for account-sharing concerns and shared ChatGPT projects for ongoing collaboration inside a project.

Will later messages change the shared content?

Personal conversation links are snapshots until updated; managed links can include later messages. Review the sharing notice before continuing, as OpenAI’s update instructions explain (opens in a new tab). Decide whether the conversation should remain a source for the work as it develops.

Say a design studio shares a discussion of two homepage directions. A later conversation introduces a third option. The project record should state which direction the client approved, so a reader does not mistake the newest suggestion for permission to change the design.

Write a review date alongside important source links and explain their role: background, evidence, or an approved reference. fenbs keeps Links and listings with the project record, so a future assistant has a reason to follow a link rather than guessing why someone saved it.

Use a descriptive title for the reference, such as “Navigation options reviewed before client approval.” Include any limitation the next reader needs: the comparison did not test mobile navigation, for example. That turns a URL into a source someone can evaluate.

How do you find and remove old shared links?

Use Settings, Data controls, Manage beside Shared links to delete a link. This stops URL access, not saved recipient copies. Locking a chat leaves its shared link active. Follow OpenAI’s link-removal instructions (opens in a new tab) when a conversation should no longer be available through that URL.

After removal, update places where you posted the link. A task description that still points to a dead conversation makes the next person wonder whether the evidence disappeared accidentally. Replace it with an approved summary or say that the source was deliberately withdrawn.

Choose a review point that fits the work: after a proposal is approved, when a contractor finishes, or when the project closes. Before removing a source, make sure its useful conclusion has been checked and recorded in a place the continuing team can read. Give someone responsibility for that review.

How fenbs helps

Give every useful conversation link a purpose

Save relevant URLs in Links and listings and explain which project they support. Record the checked conclusion in Decisions and rules when a person has decided, and keep the remaining action in a task. The next assistant can then read the work record without treating an old chat as the current instruction.

How to do this with fenbs

  1. Create a free account, then add the project whose work you want to preserve. Start with one conversation that matters to an active task.
  2. Manually save the reviewed conversation URL in Links and listings, with its purpose and status. Keep confidential material out of a record whose members should not see it.
  3. Add the next action as a task. Name the responsible person in the plan and state what they must check before the task can be considered complete.
  4. Record the person’s actual decision separately from the assistant’s suggestions. Save Where we left off with what remains and any source access that needs review.

fenbs does not import ChatGPT chats or control their shared-link access. Use ChatGPT to remove a ChatGPT link; use fenbs for the work that continues afterward. If you only need to show a non-sensitive answer once, the link and a clear message may be enough.

What should survive after the link is no longer useful?

Keep the outcome, its basis, and the next action. A long discussion can be valuable background without deserving permanent attention. When an assistant changes, the useful work handoff is what was decided, what was checked, and where to start next.

The same habit applies if you are considering Claude alongside ChatGPT or evaluating ChatGPT alternatives. Preserve the work in a readable record, then use the AI handoff guides when the person or assistant taking it forward changes.

Questions people ask.

Can a shared conversation link replace a project update?

Only if the recipient already knows what matters. For ongoing work, include the checked conclusion, the person responsible, and the next action instead of expecting someone to infer them from the transcript.

Does deleting a link erase the original chat?

No. Deleting a shared link removes access through that URL while leaving the original conversation in place. Copies another person already saved are separate.

Is a link private because I sent it in a direct message?

No. A personal-account conversation link is accessible to anyone who gets it. A managed-workspace link has workspace restrictions, but your delivery method does not create individual recipient permissions.

Can fenbs remove a ChatGPT shared link for me?

No. Manage the link in ChatGPT. You can update the corresponding project record in fenbs so people know the source was removed and where the current conclusion lives.
