ChatGPT Export: Save Chats and Preserve the Work

Request your ChatGPT data, check the downloaded archive, and turn the useful conversations into a clear handoff for your next work session.

Updated 5 min read

To get a ChatGPT export, request your data through Settings > Data controls > Export data, or follow OpenAI’s Privacy Portal process. Download the result and check it before relying on it as your saved record. The archive preserves conversations; a useful work handoff also explains what was agreed and what should happen next.

You can manually record that selected handoff in fenbs, keeping the next step outside the original chat. fenbs does not import ChatGPT chats or read your chat history.

How do you request and download your ChatGPT export?

  1. Sign in to the account that holds the conversations you want to save.
  2. Open your profile menu, choose Settings, then Data controls.
  3. Under Export data, choose Export and confirm the request.
  4. Watch for the download message. When it arrives, download while signed in to the account that requested it.
  5. Extract the downloaded ZIP and inspect the conversations you need before treating the export as complete.

These are OpenAI’s official export instructions (opens in a new tab). Availability depends on your account and workspace; managed workspaces may require help from their owner. The same page explains the Privacy Portal route and the current processing and download deadlines.

Before requesting anything, decide why you need the copy. A personal backup, a project handoff, and a move between accounts need different follow-up work. Write down the project names and approximate conversation dates you expect to find so your review has a clear target.

What should you check in the downloaded archive?

OpenAI describes the ZIP as containing chat history and other relevant account data. Treat the download as private material and review it somewhere appropriate for the work. Keep an unchanged original, then use a separate working copy when selecting extracts or writing summaries.

A practical review before you rely on an export
CheckWhat you want to establish
IdentityThis is the intended account and the work you meant to preserve.
CoverageThe conversations needed for the project are present and readable.
MeaningPrompts, replies and corrections appear in an order you can understand.
DependenciesImportant source documents, final deliverables and approvals have a known home.

Use an example you remember well as a spot check. Find a conversation where you changed direction halfway through, then confirm that you can identify the final choice. A file that opens successfully still needs this review; the existence of an archive does not prove your summary of the project is right.

What if the export is missing or will not download?

Check the inbox associated with the requesting account, including spam folders, and compare the wait with OpenAI’s published guidance. For a failed link, check the signed-in account and whether the link has expired. Follow the support route in the export instructions rather than repeatedly sending requests while one is processing.

If you cannot find an expected conversation after downloading, confirm which account you used and compare your project checklist with the contents. Do not quietly fill gaps from memory. Mark the missing material, keep the evidence you do have, and tell the next person what could not be verified.

A separate question is moving the result into another account. OpenAI’s conversation-transfer guide (opens in a new tab) describes using exported conversation files as reference in a new chat; that does not recreate the original sidebar or merge accounts. Keep export, transfer and a project handoff as separate checks.

Which parts of a conversation belong in a work handoff?

Save what changes the next action. The full transcript can remain in your private archive while a short record explains the current state. Start with the outcome, then add enough evidence for someone else to check it without reading every abandoned idea.

  • Goal: the result you are trying to reach and the task it belongs to.
  • Completed work: what actually changed, with the location of the current deliverable.
  • Decisions: what a person approved, who approved it, and any reason that still matters.
  • Checks: what was tested or reviewed, its result, and what remains unchecked.
  • Next step: the specific action to take, its owner, and any question waiting on a person.

For example, a designer might record that a client chose the shorter signup form, the revised mockup is ready, and keyboard testing still needs to happen. “We discussed signup” leaves all three facts hidden. In fenbs, put the lasting choice in Decisions and rules and the next action on its task; how it works explains that shared record.

How do you check an AI-generated summary?

An assistant can draft a summary from selected material you are allowed to give it. Review the result against the conversation and the actual deliverable before saving it. In particular, look for suggestions turned into approvals, intended work described as finished, and an earlier answer surviving after a later correction.

Ask the summary to label uncertainty explicitly. “The client approved this” needs evidence of that approval; “approval not found in the reviewed material” is useful when evidence is missing. Also check names, dates, filenames and task references, since a plausible description can point to the wrong version of the work.

Choose the next assistant for the job after the handoff is clear. Our Claude and ChatGPT comparison covers that separate choice, while the ChatGPT and Codex guide explains another nearby workflow. The handoff itself should name the work and its evidence rather than depend on a particular assistant.

How fenbs helps

Save the next step alongside the work

Manually add the checked conclusions from your export to the relevant project and tasks in fenbs. Record the person’s decisions and save Where we left off, including outstanding checks. Your next connected assistant can read that work record before continuing.

How to do this with fenbs

  1. Create a free account, free for one person with no credit card, and add the project whose work you are preserving.
  2. Create or update the relevant tasks with the checked outcome, the current deliverable location, and the remaining plan. Select the useful information manually from your export.
  3. Record the decisions people made in Decisions and rules. Keep an unanswered question open; an assistant can record a person’s choice but cannot make it for them.
  4. Save Where we left off with the next task, anything waiting on a person, and the checks still needed. Ask your next connected assistant to read the project context before it works.

fenbs is not the right fit if you only want an untouched archive of every conversation. Keep that archive in suitable file storage. Use fenbs for the reviewed work record, where History records who changed it, and keep sensitive material out of summaries that other project members do not need.

When should you review the handoff again?

Review it when the work changes, not only when you download another archive. A completed test, a replaced design, or a new approval can make an otherwise accurate summary stale. Update the task and the project’s starting point at the end of the work session so the next person sees what is current.

For another vendor’s download process, use the Claude export guide; for the surrounding account workflow, see managing ChatGPT history. The AI handoffs hub covers other ways to preserve a useful starting point when conversations or assistants change.

Questions people ask.

Does a data export create a public conversation link?

The export process gives you a downloadable copy to review and store. Treat that copy as private material, and separately decide which selected information you are allowed to share with someone else.

Can an export bring back deleted chats?

No. OpenAI says an export cannot restore chats that have already been deleted. Check important conversations before relying on a download for a transition.

Should I give my next assistant the entire archive?

Usually start with the selected material it needs for the task and a checked handoff. Review whether the archive contains private or unrelated information before uploading any part of it.

Will fenbs automatically turn the export into tasks?

No. fenbs does not import ChatGPT chats. You deliberately record the relevant tasks, decisions and progress, or ask a connected assistant to record the selected information you provide and review.
