How to create reusable presentation templates in Gamma
Turn a useful Gamma presentation into a workspace template, separate its content from visual styling, and test how the next person will use it.
Updated 5 min read
Create Gamma AI templates through Templates → + Add a gamma → Create template → Save copy as template. Use a template for reusable content and layouts; use a theme for the visual styling. Workspace Templates are available on all plans, while the separate template instructions feature has narrower availability. fenbs can keep the approved structure, instructions, and review findings so the next person or AI knows how the template should be used.
How do you save a presentation as a template?
- Choose a gamma with a structure worth repeating. Remove job-specific names, confidential details, and old results before making it reusable.
- Open Templates on the dashboard, then select + Add a gamma.
- Find the gamma you want and select Create template.
- Name the template for its use, such as Monthly Operations Review. Select Save copy as template.
- Review the saved template and test a new gamma from it before asking other people to rely on it.
Gamma’s Workspace Templates guide (opens in a new tab) documents this route and says the template is a saved copy. Editing the reusable source and creating a new presentation from it are different actions. Make that distinction clear to teammates so a one-off client change does not become part of the standard starting point.
A useful template answers a recurring question. For a monthly review, that might be what changed, what the evidence says, what needs a decision, and what happens next. A finished presentation can be attractive yet unsuitable as a template if most of its content only makes sense for the original meeting.
What belongs in the template, theme, and instructions?
| Layer | What it should contain | Example |
|---|---|---|
| Template | Reusable content structure and layouts | A recurring section for results, questions, and next actions |
| Theme | Visual styling such as fonts, colors, logos, and accents | The accepted brand appearance |
| Template instructions | Guidance for AI generation from the template | Use the supplied evidence and leave missing results unresolved |
| New presentation | The facts and decisions for one use | This month’s checked findings and owner-approved actions |
Gamma’s theme guide (opens in a new tab) distinguishes themes from templates. In Gamma 5, a theme lives on the file; changes to a workspace theme do not automatically update existing gammas. Do not use template wording to solve a font issue or expect a color change to remove stale content.
The separate custom Gamma theme guide covers visual reuse. Keep this template focused on the questions every new presentation needs to answer. That gives you a smaller, clearer thing to test.
Which content should stay, and which should change?
Separate enduring guidance from example data. A section titled “What needs a decision?” can be useful every month. Last month’s recommendation is not a safe default merely because it sits in the same layout. Label the purpose of each reusable section and remove facts that a later user could accidentally leave unchanged.
- Keep the recurring questions, section order, and layouts that help people compare one presentation with the next.
- Replace names, dates, results, customer details, and one-time recommendations with clear directions about what belongs there.
- Mark evidence requirements: which statement needs a source, who checks it, and what happens if the source is missing.
- Keep owner-approved wording only when it truly applies to every use. Give changing information a visible review step.
For a hypothetical operations review, preserve the comparison layout but remove the previous month’s performance statement. Ask the new author to supply the checked result and its meaning. Otherwise, a template can quietly carry an old claim into a fresh presentation that appears current.
Keep the reason for the structure in fenbs. Another assistant can suggest a new example without removing a section that exists because the owner needs a decision every month.
How do template instructions guide AI generation?
Inside a template, Template settings → Instructions holds overall guidance. The sticky note at the top right of a slide holds slide-specific guidance. Locked asks the AI to leave that slide unchanged. Gamma’s instructions guide (opens in a new tab) says these instructions apply to AI generation from the template; plain duplication and manual editing ignore them.
The dedicated guide gives template instructions narrower availability than ordinary Workspace Templates. Do not infer instructions access from the fact that ordinary templates are available on all plans. Check the current eligibility details in that guide before choosing a workflow around this feature.
Purpose: prepare a monthly operations review. Keep the section order unless the owner asks for a change. Use only the supplied results and their definitions. Explain what changed before recommending an action. If a result is missing, name the unanswered question. End with the decisions a person needs to make.
This section compares the current result with the approved baseline. Keep labels and units consistent. Do not infer an improvement from an incomplete comparison. If the baseline is missing, say what evidence is needed.
Keep instructions short and specific. They consume space in the AI’s prompt, so excessive guidance can crowd out the material needed for the new presentation. Put a rule at the overall level when it applies throughout; use a slide note when it is only relevant there.

What do Use template, Open in editor, and Duplicate do?
In the template list, Use template starts a new gamma from the reusable source. Open in editor edits the template itself. Duplicate template makes a plain copy. Choose deliberately: a user who only wants this month’s deck should not accidentally revise the standard template for everyone.
Locked is guidance to AI generation, not a restriction preventing people from editing. If a slide contains approved wording, the lock does not replace human review or document permissions. Check both the generated presentation and any later manual changes before treating the wording as preserved.
Workspace templates inherit the original gamma’s permissions and cannot be private; they must be shared with the workspace with at least view access. Review their contents on that basis. External recipients can use Add to my workspace to copy a shared template, its theme, and instructions, so avoid including material that should not travel with that copy.
How do you test a reusable template?
Try the template with deliberately different, non-sensitive sample content. Use a shorter input and an incomplete input, then inspect whether the result still makes sense. The aim is to find places where old content survives, evidence is missing, or instructions are too vague for another person to use.
- Start a new gamma using the intended route. Record whether you tested AI generation or a plain copy.
- Check every recurring section against its purpose. Confirm that sample facts did not remain where new facts were needed.
- Inspect any slide expected to remain unchanged, and verify that missing information stayed visible.
- Ask a colleague to use the template without your explanation. Revise the unclear instruction rather than relying on an oral warning.
Export testing is a separate delivery check. A reusable Gamma template is not a populated PowerPoint slide master, and Gamma’s export guide does not promise that migration. Follow the Gamma saving guide for the finished deck, and the slide generation guide for the broader content review.
How to keep your template rules with fenbs
Keep the accepted structure and instructions so the work is available on any device and another AI can continue where you stopped. Save the small set of choices that explain how the template should be used.
- Create a free account.
- Save the template link and a plain sentence about who should use it.
- Keep the approved instructions and say which parts change for every presentation.
- Write what the trial checked and what still needs fixing. Ask your next connected assistant to read it before changing the template.
fenbs does not store or render the Gamma template itself. It helps keep the decisions and work around repeated presentations. If a single reusable Gamma template already meets the whole need, you may not need another record. More everyday workflows are in the AI at work hub.
