ChatGPT Team Export: How to Preserve Your Work
Check which export options your workspace actually offers, then preserve the decisions, files, and unfinished tasks your team needs to keep working.

For a ChatGPT Team export, first check the workspace now called Business: members cannot use the personal Settings export there, but owners may have a member-level Export data option. If it is unavailable, preserve authorized work manually and verify the result before access changes. OpenAI’s export guide (opens in a new tab) distinguishes personal exports from organization-managed data access.
A downloaded record and a useful handoff serve different purposes. Tools like fenbs keep reviewed decisions, tasks, and progress outside the conversation, so another assistant has a clear place to resume. Start with what the next person needs to finish the work.
What should you do before trying an export?
- Confirm the active workspace and the person responsible for its data. Identify who is leaving, what remains active, and the deadline for preserving approved work.
- Ask the owner to check the available export controls. If an export is offered, agree on its scope and approved storage destination before requesting it.
- List the conversations, source documents, finished deliverables, and unresolved tasks that matter. Assign someone to check each part after capture.
- Create a short handoff with the current goal, approved decisions, evidence, and next action. Test the saved material from the recipient’s account before changing access.
Do this while the people who know the work can still review it. An empty checklist discovered after a departure is harder to repair than a missing reference caught during a handoff. The wider AI handoff library covers transitions between sessions and assistants.
Which export route applies to your workspace?
The former Team name refers to Business, as OpenAI’s Business FAQ (opens in a new tab) explains. Check the workspace you are using rather than treating an old subscription label as an export setting. General subscription questions belong in the Team plan guide.
For Business, OpenAI’s data and sharing guidance (opens in a new tab) says an owner can open Members, select the menu beside a member, and choose Export data if that option is available. That is a conditional, member-level route; do not assume it provides a complete workspace archive. Ask the owner when the control is missing.
If your work is in a separate personal workspace, use the personal export instructions instead. The dedicated ChatGPT chat export guide covers that nearby task. Identify what any resulting archive actually contains before relying on it.
What can you preserve when no full archive is available?
Create a selected work package using only material you are authorized to retain. Copy the relevant conversation text into an approved document, label its source, and save accessible deliverables separately. This manual package preserves selected content; describe its scope honestly rather than naming it a full account export.
| Material | Keep | Check |
|---|---|---|
| Approved output | The final document or file and its version | It opens and matches the version the team accepted. |
| Decision | The choice, person who approved it, reason, and source | A proposal has not been promoted into an approval. |
| Source | The original reference and enough detail to find it again | The recipient can open it with their own access. |
| Unfinished work | Current state, remaining check, and next action | Someone can resume without asking the departing person. |
Keep source files with the team’s existing document system when appropriate. A pasted conversation may refer to an attachment without preserving the attachment itself. Open every essential deliverable and note any missing material explicitly, including who can supply it.
Set a practical boundary: preserve the approved proposal, its supporting references, and the remaining review task before collecting unrelated brainstorming. For the wider storage arrangement, see the guide to apps for teams. A smaller checked package can be more useful than a large unchecked folder.
How do you turn saved chats into reusable work?
Write the handoff around the next action. Say what the project is trying to achieve, which decision constrains the work, what is finished, and what remains uncertain. Attribute approvals to the person who made them and link to the supporting record in the approved destination.
Say a design studio is finishing a website proposal. Its handoff might read: “The client approved the three-page scope. The draft is saved in the project folder. Accessibility review is outstanding. Next: review the navigation before sending the proposal.” The approval and the unfinished check remain distinct.
Ask an assistant to draft that record from the selected material, then compare every decision and completion claim with the originals. Mark missing dates or unclear owners as unresolved. In fenbs, put the reviewed decisions with the project, outstanding work in tasks, and the starting point in Where we left off.
Preserve the next step outside the workspace
Add the project’s reviewed decisions, remaining tasks, and source references to fenbs. Save Where we left off so the next connected assistant can continue from the same work record. Keep the original documents in an approved location and preserve the references needed to check them.

How do you check sharing and access before leaving?
A shared chat link is a reference, not a portable copy. OpenAI’s Business sharing guidance says people outside the workspace cannot open its shared conversations, and membership does not automatically reveal every private chat. Have a recipient open each essential reference using their own account.
For each saved file, ask three questions: Is this the correct version? Can the right colleague open it? Does it contain material they should receive? Record exceptions rather than assuming a successful download means a successful handoff. Keep personal conversations separate from the approved work package.
If another AI app will take over, give it the reviewed handoff and authorized source access. Choosing a replacement belongs in the ChatGPT alternatives guide; transferring the work still needs this review whichever app you choose.
How to do this with fenbs
- Create a free account. fenbs is free for one person, with no credit card. Use a team kanban board with appropriate member roles when colleagues need the record.
- Add the project and the unfinished tasks. Put the reviewed choices in Decisions and rules, with the person who approved each choice and the reason.
- Save reference links in Links and listings, and write Where we left off with the current state, outstanding checks, and first next action.
- Connect a supported assistant through Integrations. Ask it to read the project context, explain what remains, and save progress before the next handoff.
fenbs does not import ChatGPT chats or produce a complete ChatGPT workspace archive. It is not the right fit when your only need is a records export. Use it for the reviewed working record that people and connected assistants need after the export decision is settled.
