AI Notes Not Working in Teams: What to Check
If AI meeting notes are not appearing in Microsoft Teams, the cause is usually account eligibility, a missing transcription setting, or an organizer restriction. Here is what to check, in order.

When AI notes do not appear after a Microsoft Teams meeting, the most common causes are an ineligible account, transcription that was not turned on, or a meeting setting that prevents it. Work through the checks below in order before assuming the feature is broken.
While you sort out the technical cause, confirmed decisions and next steps still need a home. Tools like fenbs let you record them manually so nothing is lost while note capture is unavailable.
Step 1: Check your Microsoft 365 plan and Copilot license
Teams AI meeting notes and the Copilot recap are features tied to a Microsoft 365 Copilot license. If your plan does not include Copilot, the Recap tab will not appear after meetings. Check your plan in Microsoft 365 admin settings, or ask your IT admin what your account includes.
Basic transcription (without the AI summary) is available on some Teams plans without Copilot. If you can see a transcript but no summary or action items, the transcription is working but the Copilot layer is not licensed. See the Microsoft AI tools guide for a plain-English breakdown of which features sit at which tier.
Step 2: Verify that transcription is enabled
AI notes depend on a transcript. If transcription was not running during the meeting, there is no source for the summary to work from. Transcription can be disabled at three levels: the Teams admin center (your whole organization), the meeting policy assigned to your account, or the meeting itself.
- Ask your IT admin whether transcription is enabled in the Teams admin center for your meeting policy.
- In the meeting settings before it starts, check that transcription is turned on. Look for the Start transcription option in the More actions menu during a call.
- If you are not the meeting organizer, check with the organizer that they have not disabled recording or transcription for the meeting.
Step 3: Check the meeting organizer's settings
The meeting organizer controls whether transcription and notes are available. An organizer can turn off recording and transcription for a specific meeting, which prevents the recap from being generated even if your account supports it.
If the organizer is outside your organization, their Teams policy governs what is allowed. External organizers sometimes have more restricted defaults. You cannot override their settings from a guest or attendee position.
Step 4: Look in the right place after the meeting
The recap does not always appear immediately. It can take several minutes after the meeting ends to generate. Look in the meeting event in your Teams calendar, under the Recap tab. If the tab is missing, transcription either did not run or your account does not have the Copilot feature.
The meeting chat may also show a notification with a link to the recap. If neither appears within 30 minutes of the meeting ending, the notes are likely not being generated for this account.
What to do while notes are unavailable
While you resolve the account or settings issue, take notes manually during and after the meeting. Focus on the decisions made and the tasks agreed, not a full transcript. Write them down immediately after the meeting, while the conversation is still clear.
For a comparison of other AI note-taking tools that can join Teams meetings externally, see the AI meeting note taker guide. Tools like Otter AI can join as a bot; see how to use Otter AI with Microsoft Teams for setup steps.
Keep decisions and next steps safe while notes are down
When Teams AI notes are not available, add confirmed decisions to Decisions and rules in fenbs and record agreed tasks on the project board manually. The next assistant or team member can read those records at the start of the next session, so nothing is lost to a broken note feature. fenbs does not connect to Teams directly; it keeps what you choose to record.

How to do this with fenbs
- Create a free account and set up a project for the work your meetings cover.
- After each meeting without working AI notes, add confirmed tasks to the project board with an owner and a clear next step.
- Write decisions made in the meeting to Decisions and rules, with the reason and who decided.
- Connect your AI assistant via Integrations so it reads the decisions and open tasks before the next session starts.
- When AI notes return, still review them against your manual record before treating them as the single source of truth.
When to involve your IT admin
If you have checked your plan, transcription settings and the organizer permissions and notes still do not appear, contact your IT admin. The issue may be at the tenant level, in a Teams update rollout, or related to a policy that only an admin can change.
If the issue is happening for only some people on the team rather than everyone, the problem may be at the user level rather than the tenant level. Share what you have already checked when you contact the admin so they do not spend time repeating the same steps. Also note which meeting types are affected, since that helps the admin identify whether the issue is in a specific policy or a role.
