AI Notes Aren't Available for This Meeting: What to Check
The message that AI notes aren't available for a meeting usually points to a plan restriction, a transcription setting or an organizer permission. Here is how to find the cause and what to do while notes are missing.

The message "AI notes aren't available for this meeting" appears when the app cannot generate notes for a specific meeting, even if the feature works for other meetings on your account. The cause is almost always one of three things: your plan does not include AI notes for this type of meeting, transcription was not turned on before the call started, or the meeting organizer has disabled the feature.
While you work out the cause, decisions and next steps from the meeting still need a home. Tools like fenbs let you record them manually so nothing is lost while the note feature is unavailable.
Step 1: Identify which app is showing the message
Microsoft Teams, Google Meet and other meeting apps each have their own AI note features. The specific message "AI notes aren't available for this meeting" is most commonly associated with Microsoft Teams Copilot. Identify which app you are using before following the steps below, since the settings and eligibility checks differ.
For AI notes not working in Teams more broadly, that guide covers the general check. For AI notes in Google Meet, that guide explains where to find the feature and how to turn it on.
Step 2: Check account eligibility and plan
AI meeting notes in Teams require a Microsoft 365 Copilot license. Not every Teams plan includes it. Some meetings on eligible plans still show the unavailable message if the meeting type is not supported, for example very short meetings, private chats or meetings with guests under certain configurations.
- Check your Microsoft 365 account settings or ask your IT admin whether your account includes a Copilot license.
- Confirm the meeting type: Copilot notes behave differently in channel meetings, scheduled meetings and ad hoc calls.
- If notes work in some meetings and not others, compare the settings on the working meetings against the ones where the message appears.
Step 3: Check recording and transcription permissions
AI notes in Teams are built on transcription. If transcription is not running, the summary cannot be generated. Transcription can be blocked at the organization level, at the meeting policy level or by the meeting organizer.
- Ask your IT admin whether your Teams meeting policy permits recording and transcription.
- Check the meeting controls during a call for a Start transcription option. If it is greyed out or missing, the policy may not allow it.
- If the organizer is from another organization, their policy controls recording, and you may not be able to turn on transcription as an attendee.
Step 4: Check whether the organizer disabled notes for this meeting
Even on eligible accounts, the meeting organizer can turn off notes and recording for a specific meeting. This is a deliberate setting rather than a fault. If you are an attendee, you cannot override it.
Contact the meeting organizer and ask whether recording was intentionally disabled. If the meeting covered confidential content, they may have a good reason for turning it off. If the meeting is recurring and the setting carries over, the organizer can change it for future instances.
What to do while notes are unavailable
Take notes manually during the meeting. Focus on decisions that were made, tasks that were agreed and anything that was left open. You do not need a full transcript; a brief record of what was decided and who is doing what is enough to continue work.
After the meeting, transfer those notes to a shared record while the conversation is still fresh. An AI-generated summary that arrives later can supplement a manual record, but a manual record made at the time is more reliable than an AI summary generated from a patchy transcript.
Keep decisions and next steps safe when notes are down
When AI notes are unavailable, add confirmed decisions to Decisions and rules in fenbs and put agreed tasks on the project board manually. The next session, with any connected assistant, starts from that record rather than asking what happened in the meeting. fenbs does not connect to Teams directly; it keeps what you choose to record, however you captured it.

How to do this with fenbs
- Create a free account and add a project for the work the meeting covers.
- During or immediately after the meeting, write the key decisions and agreed tasks in plain sentences.
- Add those decisions to Decisions and rules and the tasks to the project board with a clear owner.
- Connect your AI assistant via Integrations so it reads the decisions and open tasks before the next session.
- When AI notes do become available, review them against your manual record before accepting them as the single source of truth.
If the message persists after fixing the settings
If you have confirmed your plan includes Copilot, transcription is enabled and the organizer has not blocked notes, and the message still appears, contact Microsoft support or your IT admin. There may be a tenant-level setting, a rollout issue or an account configuration that needs admin access to resolve.
For a general guide on AI note tools across different meeting apps, the AI meeting note taker guide covers what to look for and how to compare them. For how AI notes fit into a broader project record, see AI release notes from tasks.
Even when AI notes are working reliably, a brief manual record after each meeting is good practice. The AI may detect the wrong speaker, miss a nuance or attribute a decision to the wrong person. Your own notes catch those gaps and give you something to compare the AI output against.
