Using Multiple AI Assistants Without Losing Your Work
Give each AI assistant a clear assignment, keep approved instructions in one shared record, and save a useful handoff before changing apps. This workflow helps you avoid duplicate work and conflicting updates.

To use multiple AI assistants without losing your work, give each one a separate assignment and make them read the same approved project record. Save completed work, checks, open questions, and the next step there before an assignment changes hands. A useful multi AI workflow gives you several ways to work without several conflicting versions of the project.
Tools like fenbs keep project context, decisions, and progress outside any one AI app. You still choose the assignments and review the results; the shared record gives each connected assistant an accurate place to begin.
How should you divide the work between assistants?
- Choose one deliverable. Describe what a person will receive and how you will judge it, such as a reviewed workshop registration page with a working confirmation message.
- Break it into assignments with separate outputs. One assistant could draft the page copy while another checks the existing registration process for missing information.
- Give each assignment a boundary. Say which document or files it may change, what it should only review, and what needs your approval.
- Choose an order for dependent work. Approve the registration questions before asking an assistant to finalize the form or instructions.
- Name the person who accepts the result. Assistants can suggest changes, but someone must resolve disagreements and decide what becomes the approved version.
Start with two assistants. More apps create more handoffs, so add another only when you can name the separate job it will do. The broader AI personal assistant guide covers choosing everyday assistance; here the goal is making several assistants cooperate on one piece of work.
What instructions should every assistant receive?
Give everyone the goal, the current approved decisions, the relevant rules, and the meaning of finished. Then add the details needed for that assignment. For the workshop page, a shared rule might be that registration must not ask for a home address; the copy assignment also needs the intended audience and approved session description.
Keep suggestions separate from settled choices. If one assistant proposes collecting an emergency contact, record it as a question for the organizer. Do not let a proposed field become an instruction for the assistant building the page simply because it appeared in a draft.
An AI brain is useful when it holds that current work record rather than every line of conversation. Anthropic's context engineering guide (opens in a new tab) recommends selecting relevant information for the model's limited context window, the material it can consider during a response.
Keep the approved rules and the task-specific instructions together through fenbs project context, so the next connected assistant can read what applies before starting.
When can assistants work at the same time?
Use parallel work when neither assignment needs the other's unfinished output. Drafting a welcome email and checking a published venue information sheet can happen together. Finalizing the email's arrival instructions must wait until a person resolves any uncertain venue details.
| Assignment | Allowed work | Boundary |
|---|---|---|
| Copy draft | Write the page text in a separate draft. | Do not change the registration questions. |
| Process review | List missing information and broken steps. | Do not edit the live form. |
| Implementation | Apply the approved copy and field list. | Wait until the organizer approves both. |
| Final check | Check the finished page against the requirements. | Report problems before any further changes. |
Anthropic's workflow guide (opens in a new tab) distinguishes ordered steps from work that can be divided into independent subtasks. You can apply that distinction manually; opening several chats does not require building an automated system. The guide to agents versus tasks covers that separate implementation question.
How do you prevent conflicting changes?
Assign one active editor to each shared output. Other assistants can review it or produce separate suggestions. Before switching editors, pause the first assignment, save its result, and tell the next assistant exactly which version to use.
Write boundaries in concrete terms: "Review the registration page and list issues; do not edit it." Avoid "help improve the page," which leaves the assignment open to several interpretations. For file-based work, name the files each assistant may edit and have a person combine overlapping changes.
When two outputs disagree, return to the source or ask the responsible person. Do not accept the answer that sounds more confident or let assistants vote on a business decision. If the organizer changes a requirement, update the shared record and ask affected assistants to reread it before continuing.
What should an assistant save before handing work over?
Save a short account of the actual state, with links or file names where the next person can find the output. A useful handoff should answer the following questions without requiring the next assistant to reconstruct the previous conversation.
- What changed? Name the output and the specific completed work.
- What was checked? Record the check and its result, including failures.
- What is still uncertain? Distinguish missing evidence from approved decisions.
- What should happen next? Give the next action and any dependency on a person.
For example: "The copy draft follows the approved field list. The organizer approved the arrival time. The confirmation message has not been tested. Next: submit a test registration and check the received message." That is more useful than "Page complete."
Save that starting point in fenbs with the AI handoff workflow, so the next connected assistant can see the remaining check before it changes anything.
Keep the project ready for the next assistant
Use fenbs tasks for the separate assignments and Decisions and rules for the approved instructions. Ask each connected assistant to save its task progress and Where we left off before stopping. The next supported AI app can read that same work record rather than starting from your recollection.

How to do this with fenbs
- Create a free account, free for one person with no credit card. Add one project and describe the deliverable you want to complete.
- Add a task for each separate assignment. Put the approach and boundaries in its plan, and record the instructions you have decided in Decisions and rules.
- Connect the supported AI apps you intend to use through Integrations. MCP, a standard way for an AI app to use an outside tool, lets each approved connection read the shared work.
- Ask each assistant to read the project context before starting and confirm its assignment. Before it stops, ask it to save progress, checks, open questions, and the next step.
- Open the next app and ask it to read the same context. Check its proposed starting point before it edits a shared output.
fenbs does not import your chat history or make assistants coordinate automatically. If you only need a second opinion on one short paragraph, sharing that paragraph directly may be enough.
How can you tell whether multiple assistants are helping?
Look at the finished work and the effort needed to reach it. Check whether requirements were met, errors were caught, and handoffs required less explanation. Anthropic's evaluation guide (opens in a new tab) emphasizes defined inputs and success criteria; even a small manual workflow benefits from deciding what a good result looks like.
Remove an assistant from the workflow if its role duplicates another without improving the result. For coding-specific assignments, see AI assistants for developers; for more ways to preserve continuity, use the switching models topic hub. Start with one real handoff and keep the setup only if it makes that work easier.
