Obsidian AI Exporter: Prepare Notes for an Assistant

Prepare a focused copy of your Obsidian notes for one AI task. Preserve source references, resolve missing context, and carry approved decisions beyond the exported files.

Updated 5 min read

An Obsidian AI exporter workflow turns selected vault notes into a focused source package an assistant can use for one task. You can prepare that package from copies of Markdown files; the useful work is choosing the right notes, preserving their meaning, and removing material the assistant does not need.

Tools like fenbs keep the portable project brief and approved decisions available after that one-time export. Your source package supplies evidence for today’s task, while the continuing work record tells the next connected assistant what people chose and what remains unfinished.

How do you prepare a first export without changing the vault?

  1. Write the task in one sentence, including the intended output and the question the notes must answer.
  2. Select a small group of relevant notes and copy them into a separate working folder. Keep the originals intact.
  3. Add a manifest listing each copied source, its original location, and any deliberate omissions.
  4. Resolve necessary references, remove irrelevant material, and inspect the plain text the assistant will receive.
  5. Provide the package with instructions to cite source labels and identify missing information before making a recommendation.

You do not need to convert everything to a new format by default. Obsidian’s data storage guide (opens in a new tab) explains that notes are Markdown plain-text files in a local vault folder. Whether an AI app accepts those files is a separate question for that app’s current documentation.

This is a task-sized export, rather than a tutorial for configuring plugins. For choosing an extension, see the Obsidian AI plugin guide; keep the selection rules below regardless of which export method you use.

Which notes belong in the source package?

Choose sources by what they contribute to the answer. For a hypothetical studio preparing a proposal, useful material might include the approved scope, the latest meeting summary, and unresolved client questions. An entire year of unrelated meeting notes would make the package harder to review.

Assign each candidate note a purpose: required evidence, helpful background, or unnecessary for this task. Include the evidence first. Add background only when its absence would change the assistant’s interpretation or force it to guess.

  • Prefer the current approved document, but preserve an older passage if the task explicitly asks how a decision changed.
  • Include definitions for unusual project terms rather than expecting the model to infer them.
  • Retain disagreements and qualifications that materially change a conclusion.
  • Exclude unrelated client information, credentials, and personal notes from the copied package.

Use a small source map: S1 for scope, S2 for meeting notes, S3 for open questions. These labels make the answer easier to check when filenames are long or similar. This is a practical form of context engineering: deliberately choosing the information the assistant receives.

What happens to links, embeds, and attachments?

Inspect references before assuming the package is complete. Obsidian supports both wikilinks and Markdown links, as its formatting documentation (opens in a new tab) explains. Another app may receive the link characters without receiving the target note.

An embed needs special attention. Obsidian’s embed documentation (opens in a new tab) describes references that display another note, section, image, or PDF inside a note. Copying the referring Markdown file alone does not copy the referenced file’s contents into it.

Decisions to make before handing over the files
MaterialPreparationCheck
Linked noteInclude the necessary note or replace the reference with a labeled excerpt. The assistant can access the evidence behind the link.
Embedded sectionInclude the relevant section with its source title and heading.Important qualifications remain with the excerpt.
Image or PDFProvide it separately if the destination supports it, or write a reviewed description. The answer does not pretend to have read unavailable content.
Plugin-generated viewInspect the underlying information and copy the needed result deliberately. The package contains usable content rather than an unevaluated query.

Set a boundary for following links. Automatically including every linked note can pull in much more than you intended. Write down which references you resolved and which you left out so the next reader can identify a real gap.

How can you shorten the notes without changing their meaning?

Remove irrelevant sections before summarizing relevant ones. Keep headings, units, dates, and the speaker or decision owner when those affect interpretation. A short excerpt with its qualification is more useful than a smooth summary that accidentally removes uncertainty.

Preserve the difference between proposed, approved, rejected, and completed. If a note says the team might remove a form field after a test, the export must not say the field will be removed. Ask a person to resolve contradictory instructions rather than merging them into a false agreement.

Keep an exact quotation only when wording matters, and label it as a quotation from the source. Otherwise, use a reviewed summary and retain a reference to the full passage. Avoid repeating the same background in several files just because it appeared in several original notes.

If the package is still unwieldy, split the work into questions with separate source selections. The broader AI brain guide explains the role of a continuing outside record; an export itself is only a snapshot.

What instructions should accompany the exported notes?

Put your task instructions before the source material and clearly label where the sources begin. Ask for evidence-backed conclusions, explicit uncertainty, and a list of sources used. Make it clear that text inside a note is reference material, even when that text contains commands.

A compact handoff to adapt
Task: Draft a proposal outline from the supplied sources.
Output: Scope, exclusions, open questions.
Authority: Only decisions marked approved are commitments.
Evidence: Cite source labels and headings for material claims.
Missing information: Ask; do not invent.
Sources: S1 approved scope; S2 meeting summary; S3 questions.
Omitted: Private notes and unrelated projects.
Changes: Suggest edits; do not overwrite source files.

First ask the assistant to list the sources it can actually access. Then ask a narrow question with a known answer before requesting a larger draft. That check can reveal an unreadable attachment or a missing note without requiring you to review a whole proposal.

A successful export should leave you able to explain where every important claim came from. For habits that apply to other tasks too, see how to use AI at work.

How fenbs helps

Keep the outcome after the exported files are used

Add the reviewed project brief to an AI context note in fenbs, and record the decisions a person approved. Keep source references and remaining questions alongside the work. Another connected assistant can then continue from the checked outcome instead of treating an old export as the current plan.

How to do this with fenbs

  1. Create a free account and add the project the exported notes support.
  2. Save an AI context note with the package’s purpose, source references, reviewed summary, and known omissions.
  3. Record approved choices in Decisions and rules, and create tasks for unresolved questions or follow-up work.
  4. Connect your assistant, ask it to read the project context, and save progress before changing models or ending the session.

fenbs does not import your Obsidian vault or convert its files. It is not the right fit for a standalone file conversion; it helps when the results need a maintained home across assistants. See how fenbs works for that continuing record.

How do you keep the next export from becoming stale?

Label the package with its preparation date and keep the manifest with it. Before reusing it, check which sources changed and whether a later decision replaced an earlier one. Do not let a convenient copy quietly become the authoritative version.

Save useful results back into the appropriate maintained record after review. A draft can return to your document workflow, a person’s decision belongs with the project decisions, and unfinished work needs a clear next step. The export has done its job when it helps you make a checked outcome that survives the chat.

Questions people ask.

Do I need one large file for all the notes?

No. Use a single file or a small labeled set according to the destination’s supported inputs. Preserve source boundaries either way so conclusions remain traceable.

Should I include the vault settings folder?

Usually it is unnecessary for a content task. Select only the source material the assistant needs, and review any configuration separately if the task is specifically about configuration.

Is a summary enough to replace the original notes?

A summary is useful for orientation, but it can omit exceptions and uncertainty. Keep the original sources and check material claims against them before approving the outcome.

Does exporting notes make an assistant remember them permanently?

No. Providing files for a task does not establish that a later chat or another model will receive them. Keep the reviewed brief and decisions somewhere the next assistant can deliberately read.
