Motion AI Scheduling: Set Up Tasks and Review Your Calendar

Give Motion realistic task inputs, then review the resulting calendar against the work you can actually do. Keep project decisions and handoffs separate from time blocks.

Updated 5 min read

Motion AI scheduling places tasks into calendar time using inputs such as duration, deadlines, priority, and availability. Set those inputs realistically, review the proposed day, and update unfinished work rather than treating the schedule as a guarantee. fenbs can separately keep project decisions and handoffs for the supported assistants helping with the work.

A time block answers when you might work. It may not explain which version a client approved or why a task is waiting. Keeping those facts clear helps you resume the right work when meetings move. This guide belongs to our broader collection on AI at work.

How do you set up a realistic first schedule?

  1. Define your real working hours, including recurring limits on availability. Start with an ordinary week rather than an ideal one.
  2. Check that meetings and other fixed commitments appear correctly. Decide which events should block task time.
  3. Add a small set of tasks with concrete outcomes, estimated durations, priorities, and genuine deadlines.
  4. Assign the appropriate schedule to each task. Review where work lands before adding your whole backlog.
  5. Run the day, record unfinished work honestly, and revise your estimates from what you learn.

Motion documents creating schedules in Settings and assigning a saved schedule to a task in its auto-scheduling setup guide (opens in a new tab). Use separate availability patterns when they reflect your real boundaries, such as office work and personal work. Avoid using evening availability merely to make an overloaded week appear feasible.

What task information changes the calendar?

Motion lists start date, duration, deadline, priority, chunking, schedules, breaks, and calendar events among its scheduling inputs (opens in a new tab). Chunking means splitting a long task into smaller work periods. A start date limits how early the work can begin; it is different from its completion deadline.

Inputs to review before trusting a time block
InputUseful questionExample
DurationHow much focused work remains?Allow time to check the report, not only write it.
DeadlineWhat happens if this finishes later?A submission closes Friday; an internal draft date may be flexible.
PriorityWhat should give way if there is too much work?A required client correction takes precedence over optional formatting.
Work periodsCan this task be split without losing its value?Reading can be split; a live interview needs a continuous appointment.
AvailabilityWhen can this work actually happen?A personal commitment removes that period from the working day.

Do not give every task the highest priority. That removes the distinction you need when work competes for limited time. Give uncertain estimates a note describing the uncertainty, then revise them after the first useful work session.

How do you make tasks small enough to schedule?

Write tasks around a result you can recognize. “Prepare proposal” may hide discovery, drafting, checking numbers, and waiting for approval. Separate those activities when they need different information or people. Schedule your active work and represent waiting clearly so you do not reserve hours for an answer you cannot produce yourself.

For a hypothetical design proposal, the first task might be “draft scope from the approved meeting notes.” Another might be “check the draft against the signed requirements.” Both have an observable finish. Ask the person doing the work for the estimate, especially when an assistant suggested the task list.

Use an agile workflow to revise the plan as you learn, while keeping commitments explicit. In fenbs, save the reason a task is waiting in its project context so another assistant can understand the pause through Where we left off.

What should you review in the proposed day?

Check whether the day is feasible before asking whether it looks tidy. Look at the longest work periods, movement between activities, and any task that requires material that has not arrived. A calendar can contain enough minutes without containing the right conditions for the work.

  • Confirm that fixed appointments are correct, including the time zone when other locations are involved.
  • Check that the most consequential work has a usable period rather than scattered fragments.
  • Look for missing preparation, review, and follow-up work around meetings or deliverables.
  • Find tasks that cannot start until a person answers, a document arrives, or another task finishes.
  • Choose what to defer or reduce when the day has more commitments than available working time.

Review hard deadline settings carefully. Motion says a hard deadline can cause a task to be scheduled outside its assigned schedule in the setup guide linked above. If you see evening work, inspect the task inputs before assuming your normal working hours were ignored at random. Decide whether the deadline or workload needs a human conversation.

How do you update a task after an interruption?

At the end of a work period, distinguish time spent from work completed. If you used an hour discovering a missing requirement, the draft may still need its original writing time. Update the remaining estimate and record the finding. Do not mark the task complete just because its allocated block ended.

Save enough context to resume: the current file, the part checked, the open question, and the next action. An AI brain holds that work context outside a private conversation. The calendar can then move while the explanation remains stable.

How fenbs helps

Keep the next step when the time block moves

Use fenbs to save what the last session completed, what remains, and what is waiting on a person. Keep the scheduling decision behind a changed deadline with the project. A supported assistant can read that context before helping you resume, even when you use another AI app.

How to do this with fenbs

  1. Create a free account and add a project for work you already schedule. It is free for one person, with no credit card.
  2. Add the important tasks and their plans. Keep appointment times and calendar scheduling in Motion.
  3. Record the decisions a person made about scope, deadlines, and what should happen when work no longer fits. Keep continuing instructions in Decisions and rules.
  4. Connect a supported assistant through Integrations. Ask it to read the project context before working and save progress before it stops.
  5. Before the next work period, read Where we left off and update your schedule manually where needed. Retain the explanation for a delay alongside the next action.

fenbs does not connect to Motion, schedule calendar blocks, or automatically synchronize tasks with it. If your problem is only finding time for a personal task list, Motion may be enough. The separate record helps when decisions and progress need to survive a change of assistant or person.

How do you know the planning routine is helping?

After several workdays, compare estimated and actual effort on recurring types of work. Notice whether tasks repeatedly spill over, need more preparation, or wait for someone else. Adjust the inputs and workload before adding complexity. The goal is a day you can use and a reliable explanation of unfinished work.

Keep an approval workflow for changes assistants suggest to commitments. If you are applying the routine to selling work, the separate AI for sales guide covers those tasks; scheduling them does not determine which customer actions are appropriate.

Questions people ask.

Does a scheduled task mean its deadline is guaranteed?

No. The schedule depends on your estimates, availability, and task information. Review it when those inputs change and address work that no longer fits.

Should I add an entire project as one Motion task?

Usually it is more useful to separate outcomes that need different estimates, inputs, or reviewers. Keep each task large enough to be meaningful and small enough to recognize when it is finished.

Can fenbs update my Motion calendar?

No. fenbs does not connect to Motion. It separately keeps project decisions, task progress, and handoffs for supported assistants, while you maintain the schedule in Motion.
