How to Use a ChatGPT Workspace for Daily Team Work
Choose the right ChatGPT workspace, understand what is shared, and organize one useful project. Build a routine that keeps the team’s rules and current work easy to find.

To use a ChatGPT workspace, sign in, select the intended environment from the workspace switcher, and do the work within that environment’s settings and access rules. A workspace is the account environment for your organization or personal work; a project organizes a particular body of work inside it.
Start by checking where you are before adding material. If your teammates use several AI apps, tools like fenbs can keep the team’s approved decisions, rules, and task progress available across those apps while ChatGPT remains one place you do the work.
What should you do when you first sign in?
- Confirm that you signed in with the account your organization invited. Keep the invitation handy if you need the owner to check access.
- Open the profile menu on the web and select the intended workspace. On mobile, look in the sidebar for your available workspaces.
- Read the organization’s instructions for acceptable work, approved source material, and required human review.
- Start with a low-risk task using an approved example. Check the result against that example before adding more material.
- Save the reviewed outcome and the next action somewhere the appropriate teammates can find them.
OpenAI’s Business workspace guide (opens in a new tab) explains workspace selection and membership. If the expected workspace is absent, check the account and invitation with your owner. Creating a second workspace before checking can leave colleagues using different environments without realizing it.
How are your account, workspace, and project different?
| Layer | What it means | Question to ask |
|---|---|---|
| Account | The sign-in you use to access ChatGPT. | Did I use the invited account? |
| Workspace | An environment with its own settings, members, and resources. | Am I working in the intended organization? |
| Project | Related chats, files, instructions, and context for a body of work. | Which assignment does this material belong to? |
OpenAI’s project guide (opens in a new tab) describes that smaller container for ongoing work. For a hypothetical design studio, the company workspace is the environment and the customer’s onboarding redesign is a project. Naming both clearly makes an ordinary handoff easier to follow.
Switching is also different from moving content. OpenAI’s workspace switching explanation (opens in a new tab) says that switching workspaces does not copy or move their data. If a conversation appears missing after a switch, inspect the selected environment before trying to recreate it.
Does joining make everyone’s conversations shared?
No. OpenAI’s Business sharing and privacy guidance (opens in a new tab) says members do not automatically see each other’s private chat history. Workspace membership and the sharing of a particular resource are separate questions. Do not send a colleague to your chat history and assume they can find the draft there.
Before collaborating, choose what the other person actually needs: a reviewed answer, the supporting references, or an ongoing place to work together. Share the appropriate material through the controls available to you, then ask the recipient to confirm access. Keep the purpose in the message so they know why you sent it.
For the separate invitation question, read how to share a ChatGPT workspace. For daily work, the key habit is to identify the audience of each resource. Put approved decisions in fenbs’s shared work record when the whole team needs them across different assistants.
How should you organize a normal work session?
Choose one checkable outcome before starting a conversation. “Draft five onboarding questions using the approved outline” is easier to review than “help with the launch.” Include the source, the intended reader, and the point at which someone should approve the result.
Use a project when the assignment has recurring references and several stages. Keep the source set small enough to inspect, and name the current version clearly. Tell a newcomer which document explains the goal and which reference governs any factual promises. Do not expect the order you uploaded files to explain their authority.
- At the start: confirm the workspace, the goal, and the current approved source.
- During the task: separate observations, suggestions, and unanswered questions.
- Before using the answer: check names, numbers, claims, and the source behind them.
- Before stopping: record the accepted outcome, remaining work, and next reviewer.
The broader ChatGPT for business guide covers organization-level choices. For this daily routine, concentrate on whether another person can understand the result without reading the entire conversation. A short, reviewed progress record is often more useful than a long transcript.
Make team rules easy for every assistant to find
Record the rules people agreed to in fenbs’s Decisions and rules, alongside the current tasks. Ask connected assistants to read the project context at the start, so a change of workspace or AI app does not require teammates to explain those instructions again.

What should you check when a feature is missing?
First verify the selected workspace and the task you are trying to do. Then collect the useful details for the owner: the control you expected, the environment you selected, and what happened when you tried. A clear report is easier to investigate than a general claim that the account is broken.
Ask the owner to review the relevant permissions and plan settings rather than guessing that everyone has the same access. OpenAI’s membership guide explains the distinction between workspace roles and seat types. Follow the organization’s route for requesting access before moving an unfinished task elsewhere.
If the team deliberately uses more than one assistant, agree where approved work belongs. Claude versus ChatGPT addresses the product comparison, and ChatGPT alternatives covers other options. The daily operating question is which record the next assistant should read before it continues.
How to do this with fenbs
- Create a free account to try one project on a personal kanban board. Use a team kanban board when colleagues need to share that record.
- Add the current tasks and a context note explaining the project’s goal, approved references, and remaining questions.
- Write the agreed working rules in Decisions and rules, with the person who made each decision. Keep proposals open until a person chooses.
- Connect your supported AI apps through Integrations. Ask the assistant to read context before starting and save task and project progress before stopping.
fenbs does not manage a ChatGPT workspace or import its chat history. It is not the right fit if your only need is to select the correct ChatGPT environment. It helps when people need an ongoing shared record of work that several assistants can read and update.
How can you tell the routine is working?
Ask a colleague to continue one small task using only the approved record. They should identify the goal, the source, the decision already made, and the next action. If they need a private explanation, add the missing fact where the team can maintain it.
Repeat this after an ordinary change, such as a revised outline. A useful workspace routine keeps the next action clear while the underlying material changes. The team brain hub explores related ways to organize that shared context.
