How to Save an Otter AI Transcript and Use the Follow-Up Notes
Export a checked Otter transcript, choose the right contents, and turn meeting decisions into a clear handoff.

To save an Otter AI transcript as a file, open the conversation, choose the three-dot menu, select Export, and pick an available text format. Review the export settings and open the downloaded file before using it as your meeting record.
The transcript preserves what was captured; the follow-up record explains what people agreed to do. fenbs can keep checked decisions and action items ready for the next person or assistant without making them reread the whole meeting.
What are the steps to download your transcript?
- Open the intended Otter conversation and confirm the meeting title and recording are the ones you need.
- Review important passages, finish any corrections, and save your edits before exporting.
- Open the three-dot menu and choose Export. Select the available text format and the contents you want included.
- Check the preview and settings for speaker names, timestamps, images, or other material needed for your purpose.
- Select Export, locate the file on your device, and open it. Check that it contains the expected beginning, end, and corrected passages.
Otter’s export instructions (opens in a new tab) explain the format controls and available options. On mobile, use the Transcript tab before opening the menu; the export option appears there. Keep the meeting date and review state in the filename so an unreviewed download is not mistaken for approved minutes.
Which file format and contents should you choose?
| Purpose | Useful option when available | What to verify |
|---|---|---|
| Keep reusable transcript text | TXT | Complete text and clear speaker identification |
| Review and annotate in a document editor | DOCX | Readable paragraphs and the required meeting details |
| Distribute a fixed reading copy | Layout and what recipients can see | |
| Create video captions | SRT | Timing and compatibility with the video workflow |
The available formats and settings depend on your access and Otter account. Its export guide distinguishes transcript output from audio and additional content. Choose what you need deliberately; a readable text file does not contain the original recording merely because it came from the same meeting.
Timestamps are useful when someone needs to check a disputed passage against audio. Speaker names are useful when attribution matters. For a short approved summary, you may not need the full transcript at all; keep that summary separate and identify the source it was reviewed against.
What should you correct before saving the meeting record?
Listen to the passages that contain decisions, amounts, dates, names, and assigned work. A small transcription error can reverse a meaning, especially around words such as “not,” a date, or a condition on an approval. Mark uncertainty instead of guessing what an unclear speaker meant.
Otter’s editing guidance (opens in a new tab) directs web users to Transcript, then Edit, after processing is complete. Finish with Done after the saved status appears, and allow any text realignment to complete. If you lack editing access, ask the conversation owner to make or authorize the corrections.
- Confirm who made a statement before treating it as an instruction.
- Keep proposals, questions, and agreed decisions distinct.
- Check dates against the intended calendar date rather than carrying forward “next Friday” without context.
- Ask the responsible person to confirm a task owner or deadline when the recording leaves it unclear.
A generated summary is a useful review aid, but the person’s agreement determines what becomes a decision. Keep that distinction in fenbs’s Decisions and rules, where people decide and assistants record. For a broader explanation of keeping work beyond a conversation, see what an AI brain is.
Why is Export unavailable or a format missing?
Check whether you own the conversation or received a shared copy. Otter’s sharing documentation (opens in a new tab) distinguishes collaborators from viewers and lets the owner control whether viewers can export. Being able to read a conversation does not always mean you can download it.
If you have the expected permission, compare the options in your account with the current export help page. Plan availability can affect which formats appear. Do not treat a missing PDF control as evidence that your transcript has disappeared; an available text export may still preserve the material you need.
For a missing download, check the browser’s download history and the device’s selected save location. If the file opens but lacks a correction, inspect the original conversation and your saved editing state, then export again. Share the error wording and the step where it occurred when asking support for help.
Are highlights, comments, and action items included?
Do not assume every panel becomes part of the transcript file. Otter’s highlights-and-comments guide (opens in a new tab) describes a separate export option for those items and notes that it is unavailable when the conversation has none. Inspect the output whenever your follow-up depends on material outside the spoken text.
For a small meeting, prepare a short reviewed list with three parts: decisions made, actions agreed, and questions still open. Give each action a concrete outcome. “Send the revised schedule for approval” is useful; “follow up on schedule” leaves the next person to reconstruct what the group intended.
The guide to summarizing transcripts with AI covers the separate summarization task. Here, the key is checking which material you saved and preserving the reviewed outcome alongside it. A downloadable transcript and a useful project handoff are related, but completing one does not automatically complete the other.
Turn the reviewed meeting into the next action
Add the approved decisions and create follow-up tasks in the relevant fenbs project. Save Where we left off with the checked source location, unresolved questions, and next step, so another assistant can continue without treating every spoken suggestion as an instruction.

How to do this with fenbs
- Create a free account, then add the meeting’s project.
- Add a concise AI context note with the reviewed outcome and an appropriate source link. Keep the transcript in the storage location your organization uses.
- Record what a person approved in Decisions and rules, and create tasks for agreed actions. Keep unresolved questions explicit.
- Save Where we left off with the review status, current tasks, and what should happen next.
fenbs does not record meetings, transcribe audio, or import Otter conversations automatically. If all you need is a personal archive, a checked export and a clear folder may be enough. Use fenbs when the meeting creates ongoing work that needs an AI handoff.
What should you check before sending the saved transcript?
Confirm the audience, source, review status, and requested action. Send only material the recipients should receive, and identify whether the document is a working transcript or approved meeting notes. Check the final shared location from the recipient’s perspective when possible, especially when the file sits behind organization access controls.
Keep the approved follow-up list easy to find after the transcript leaves the inbox. See how to use AI at work for related habits and AI at work for more workflows that turn AI output into checked work.
