Fireflies Note Taking: Capture, Check, and Export Notes

Set up a deliberate recording, correct the transcript, and export a usable record. Carry only confirmed decisions and next steps into your continuing work.

Updated 5 min read

Fireflies note taking works as a capture-and-check process: record an authorized conversation, review its transcript and summary, then export the version you need. Treat generated notes as a draft until you have checked the details that affect real work.

The recording and the continuing project have different jobs. fenbs can hold confirmed decisions, follow-up tasks, and the next starting point for an assistant after you review the Fireflies output. You transfer those outcomes deliberately; the next chat does not need the whole conversation.

What are the steps from recording to a usable export?

  1. Choose one meeting you are allowed to record, establish who can receive the notes, and tell participants how the recording will be used.
  2. Use your approved Fireflies capture method and confirm that it joins or records the intended conversation.
  3. Open the completed meeting, scan its summary, and check important details against the transcript and available recording.
  4. Correct transcription errors without changing what speakers meant, and separate confirmed outcomes from unresolved statements.
  5. Export the transcript or summary in a suitable format, test the file, and manually save approved follow-ups with the project.

Run this loop on a low-risk internal call first. That exposes a blocked recording, missing export option, or unreadable file before your team depends on the workflow. For a wider view of the final record, see the guide to AI meeting minutes.

How do you get Fireflies into the right meeting?

For a scheduled call, check your connected calendar, conference link, and joining preferences. Fireflies documents manual calendar invitations, automatic joining, and adding the assistant to a live meeting in its meeting invitation guide (opens in a new tab). Choose the method that matches the call rather than enabling broad capture without reviewing its scope.

To use a manual calendar invitation, add fred@fireflies.ai to the future event on your connected calendar and include its supported conference link. Save the event and check the joining settings. For a call that already started, use the documented Add to live meeting route instead of assuming a late calendar invitation will work.

Before the discussion becomes important, verify that the capture you intended is happening. If the meeting host declines the recording or the tool cannot join, switch to an approved note-taking method. Do not attempt to bypass a host restriction or conceal a recording to preserve the workflow.

If you already have an authorized recording, Fireflies also supports file uploads for transcription. Its upload instructions (opens in a new tab) explain supported files and the current allowances. Use those instructions to check your file rather than relying on a remembered size limit.

How do you find and correct the important details?

Open the completed meeting from Meetings. The Fireflies Notepad guide (opens in a new tab) describes the summary and transcript workspace, transcript search and editing, and recording playback. Begin with the summary to find likely decision points, then inspect the supporting passage.

  • Check names and speaker attribution before assigning a statement or follow-up to someone.
  • Check numbers, units, dates, and words such as not, unless, or after against the recording.
  • Preserve conditions: a proposed delivery date may depend on someone else providing information.
  • Flag unclear speech for confirmation instead of filling it in with a plausible guess.

Say a product review includes the phrase “test the shorter form after approval.” A summary that says “ship the shorter form” has changed both the action and its condition. Correct a misheard transcript when the source is clear, and write a separate checked outcome when the problem is interpretation.

Keep review distinct from rewriting history. A cleaner sentence is useful only if it preserves the original meaning. Our separate Fireflies meeting notes workflow covers confirming commitments and sharing a reviewed recap in more depth.

Which export should you choose?

Use a summary when the reader needs a checked overview, and a transcript when they need the conversation itself. Open the meeting and select Download, then choose the content and formatting options you need. Fireflies lists the current formats and plan-dependent download access in its download guide (opens in a new tab).

Choose the smallest export that serves the reader
NeedUseful export choiceCheck before sharing
A readable recapA summary documentDecisions and actions have been reviewed; unresolved points stay labeled.
A passage someone must verifyA transcript with timestamps and speaker labelsThe cited passage matches the available recording.
Text for another approved workflowAn available structured or plain-text formatSpeaker labels, paragraphs, and dates survive the transfer.
A recording for authorized reviewAn available audio or video exportThe recipient should receive the whole recording.

Open the downloaded file before sending it. Check the beginning and end, any important speaker label, and the exact passage you intend to cite. Give the file an unambiguous meeting name and date, and keep it in your approved storage location rather than creating scattered copies.

If Download is unavailable, check the current account entitlement and the meeting access with your administrator. Do not assume every participant can export everything. A shared meeting link also needs an access check; forwarding a link is not the same as giving an intended colleague permission.

What should become continuing project work?

Extract only outcomes someone has confirmed: the chosen option, the person who chose it, the next action, and any remaining condition. Keep a source reference so an authorized reviewer can find the underlying discussion. Ask who accepted an action if the notes leave that uncertain.

Write “reviewer must confirm the test result” when confirmation is missing. Do not turn a generated action list into approval. fenbs keeps these distinctions beside tasks and saved handoffs, so the next assistant can see what is ready and what still needs a person.

How fenbs helps

Carry the reviewed outcome into the next session

Add the confirmed follow-up tasks and the decisions people made to the project in fenbs. Save Where we left off with what is ready, what remains uncertain, and the next check. A connected assistant can read that compact record while the recording stays in Fireflies.

How to do this with fenbs

  1. Create a free account and add the project discussed in the meeting.
  2. Manually add confirmed work as tasks, including the expected result and a permitted source reference.
  3. Record the choices people approved in Decisions and rules, keeping unanswered questions open.
  4. Connect a supported assistant through Integrations. Ask it to read context before working and save progress before it stops.

fenbs does not connect to Fireflies or import recordings automatically. It is not the right fit for recording calls or keeping a searchable audio archive. Use it when the checked result needs to guide work beyond the meeting, and find related practical guides in AI at work.

Questions people ask.

Can I use a recording made before I joined Fireflies?

You can upload an authorized recording if its format and size meet the current Fireflies requirements. Check permission to process the file before uploading it.

Why does the summary disagree with the transcript?

The summary is a generated interpretation and can omit conditions or confuse a proposal with an agreement. Check the recording and ask the relevant person when the meaning remains uncertain.

Should I export the recording along with every recap?

Only when the recipient needs it and is authorized to receive it. A checked summary with an appropriate source reference is often enough for ongoing work.

Does saving an action item prove someone accepted it?

No. Confirm the action and its owner before treating it as an agreed commitment. Preserve any uncertainty until a person resolves it.
