Document Knowledge Management for AI-Assisted Work

Keep original documents as evidence and turn selected findings into project knowledge. Use this workflow to make AI summaries traceable, current and useful for the next session.

Document knowledge management turns information in documents into knowledge people can find, check and use again. For AI-assisted work, keep the original source separate from its summary, then connect each useful finding to its evidence, owner and next action.

Say a design studio has a client brief, meeting notes and an approved layout. Uploading them to a conversation may help with one task, but the next assistant still needs to know which choices are final. fenbs can keep the selected source links, decisions and progress outside that conversation while the documents stay in their original home.

What should you do before asking AI to read documents?

  1. Choose one reader task, such as preparing the revised layout for review. Name the question the documents must answer.
  2. Select the current source files. Record their titles, locations, versions and the person who can resolve a disagreement.
  3. Confirm that the intended people and AI app may access the material. Use a small permitted excerpt if the whole document is unnecessary.
  4. Ask for findings with exact source locations. Require the assistant to label missing evidence and uncertainty.
  5. Check the findings before making them project knowledge. Save approved decisions separately and assign any follow-up work.

This creates a repeatable path from evidence to action. Start with a few documents that answer the same question rather than the entire shared drive. If you need to place this review inside the broader delivery process, the agile workflow guide covers that separate planning question.

Which information belongs in the source and the project record?

The source is the full material you may need to inspect again: a signed brief, specification, research report or meeting record. Reusable knowledge is a smaller statement that explains what the material means for this project. Preserve enough detail to trace that statement without copying every paragraph into another system.

A client asking for a smaller form is evidence of a request. It is not approval to remove required fields. Keep that distinction explicit so a summary does not quietly turn a suggestion into permission. A short note should say whether a statement is observed, proposed or approved.

How do you turn a document into reusable knowledge?

Read for the decision or action ahead. Ask the assistant to extract relevant requirements, exceptions, definitions and unresolved questions, each with a location you can open. Do not begin by asking it to summarize everything equally; that can give a minor background detail the same weight as an approval condition.

For the studio, the useful finding might be that the approved layout keeps the inquiry form on one page, while delivery of its messages remains untested. Save those as separate statements. The first explains the design constraint; the second creates a check before the work can be called complete.

A small finding record to adapt
Question: What must the revised inquiry page preserve?
Finding: The approved layout keeps the form on one page.
Source: Approved layout, revision C, page 2.
Authority: Approved design; does not establish delivery behavior.
Checked: October 20, 2026.
Open question: Has message delivery been tested?
Next action: Run the delivery check and record its result.

Keep the wording narrow enough that another person could disagree with it using evidence. A note saying the project is ready is hard to check; a note naming the approved layout and unfinished test is useful. In fenbs, project context and Decisions and rules give those different kinds of information distinct homes.

How can you check an AI summary against its sources?

Open each source behind a consequential claim. Verify the quoted section, nearby exceptions and the version used. If the assistant cannot provide a location, treat the statement as unverified and ask it to find the supporting passage before you reuse it.

Check tables, footnotes and images separately when they affect the answer. A clean paragraph extracted from a document does not prove that every part was read correctly. Compare a few known details with the original, including one that would be easy to miss, before relying on a longer summary.

Descriptive information helps you repeat this check later. The National Archives explains metadata as information about who, what, where, when and why in its electronic-records guidance (opens in a new tab). Its transfer requirements concern federal records; you can still borrow the practical habit of recording a title, identifier, creator and access restrictions.

Make the reusable note readable too. Use headings that describe its questions and keep related statements together. The W3C guidance on headings (opens in a new tab) explains how headings communicate organization and support navigation; clear structure also makes your manual review easier.

What should happen when documents change or disagree?

Name an owner for resolving conflicts and define what makes a source authoritative. A newer draft should not automatically replace an older approval. Compare status, scope and approval evidence, then ask the responsible person when those signals disagree.

When a source changes, review the findings and decisions that relied on it. Replace an outdated finding with a checked version and explain the change. If the change affects an approved choice, ask a person whether a new decision is needed rather than silently rewriting the earlier agreement.

Use review triggers such as a client approval, specification revision or failed test. A calendar reminder can help, but it cannot tell you whether a statement remains true. Cross-region ownership and differing local versions need additional coordination, covered in the global knowledge workflow.

What does the next assistant need to continue?

Save the objective, the checked findings that affect it, the decisions still in force and the unfinished actions. Include what was tested and what was only drafted. Link to the exact sources rather than asking the next assistant to locate them through the previous conversation.

Then start a fresh session and ask for a short explanation of the next step. It should recognize that the layout is approved while message delivery still needs checking. If it merges those into a claim that the page is finished, correct the record before continuing. This is a practical test of the AI handoff workflow.

How fenbs helps

Keep the finding and its next action together

Add checked findings as AI context notes, keep the approved choices in Decisions and rules, and retain the source locations in Links and listings. Before stopping, save Where we left off with the outstanding verification task. The next connected assistant can read that project record before returning to the source documents.

How should access and review affect the workflow?

A summary can reveal sensitive information even when the original file remains restricted. Give a reusable note the same care as the evidence it summarizes. Check whether the intended reader may see both the conclusion and its supporting source; a link alone does not grant permission.

Choose the level of human review according to the consequence of an error. A rough internal outline needs a different check from a contractual commitment. The NIST AI Risk Management Framework (opens in a new tab) is a voluntary framework for considering trustworthiness in AI use; it does not make an unchecked summary authoritative.

How to do this with fenbs

  1. Create a free account, free for one person with no credit card, and add the project whose documents you want to make useful.
  2. Add the selected reference locations to Links and listings. Write short AI context notes for the checked findings, including scope and source versions.
  3. Record what a person approved in Decisions and rules. Create tasks for missing evidence and follow-up checks instead of presenting them as completed findings.
  4. Connect a supported assistant using Integrations. Ask it to read the project context first and save task progress and Where we left off before stopping.

fenbs does not automatically import your documents or read your chat history. Keep a document repository for full files; fenbs is not the right fit if you need a replacement for document storage or a regulated records archive. Use it for the decisions, references and current work that the next assistant needs.

Once this manual loop works, the guide to agentic workflows addresses assistants carrying out connected steps. For this workflow, success is simpler: someone can open a source, verify the finding and identify the next action. Find more guidance in the context engineering hub.

Questions people ask.

Should I delete the original after saving an AI summary?

Keep the original according to your document retention and access policies. A summary leaves things out and can contain errors, so it should not become the only evidence for an important finding.

Can I start with a small folder?

Yes. Choose a few current documents that answer one project question. Add more only when they support the work you are trying to do, and record their owners and versions.

Does a source link make a claim reliable?

No. Open the source and check that it supports the exact claim, including its exceptions and approval status. A valid link can still lead to an outdated or irrelevant document.

Can fenbs read the files behind every saved link?

Saving a link does not give fenbs or a connected assistant access to its destination. The assistant needs an available way to read that source and permission to use it.
