AI Summaries in Zoom: Notes, Access, and Follow-Up

Zoom's AI features can summarize meetings, generate action items, and produce a written record of what was discussed. Here is how to enable them, review what they produce, share the output with the right people, and carry the decisions forward.

Zoom's AI Companion can summarize a meeting, list the action items discussed, and generate a written record that is available to participants after the call. It reduces the gap between what was said and what gets followed up, but the summary still needs to be reviewed before decisions are treated as confirmed.

The most common problem with AI meeting summaries is not that they are wrong—it is that the decisions they record never reach the follow-up work. Tools like fenbs keep the accepted decisions and next steps outside the meeting tool so every connected assistant can act on them after the call.

How to enable AI summaries in Zoom

Zoom AI Companion features are available on paid Zoom plans. The account admin controls which features are on and whether participants can opt out of AI note-taking. Before relying on AI summaries, check with your organization's Zoom administrator to confirm the features are enabled and what the data handling and consent policies are for your account.

When AI Companion is active in a meeting, Zoom notifies all participants. Participants can see that the feature is running. Check Zoom's current help center for the exact steps to enable and configure AI Companion for your plan, as settings and availability change.

What Zoom AI Companion produces

After a meeting ends, Zoom AI Companion can provide a meeting summary, a list of next steps, and—on plans that include it—a transcript of the conversation. The summary is available to the meeting host and, depending on settings, to other participants.

  • Meeting summary: a paragraph or bulleted overview of the topics discussed.
  • Next steps: a list of action items the AI identified from the conversation.
  • Smart chapters: sections of the transcript organized by topic, making it easier to find a specific part of the meeting.
  • Meeting questions: answers to questions you ask about the meeting content, based on the transcript.

How to review a Zoom AI summary

Read the summary before you share it or act on it. AI summaries miss context, misattribute comments, and occasionally produce an action item that was proposed but not accepted. A three-minute review catches the errors that would cost more time to correct after the fact.

Check action items in particular. A suggestion from a participant is not the same as an agreed next step. An action item that does not name the person responsible will not get done. Edit the summary to reflect what was actually decided and who owns each action before you distribute it.

How fenbs helps

Move accepted decisions into the work record

After reviewing the summary, add the confirmed decisions to fenbs as Decisions and rules and create tasks for each agreed action item. The next assistant or team member picks up from the tasks rather than reading the meeting notes. Where we left off records the current state so no one has to ask "where did we get to?"

How to share meeting notes with the right people

Zoom lets the host share the summary through the Zoom platform or copy it to share by email. Before you share, consider who needs the full transcript versus who needs the summary and action items only. A transcript of a long meeting is useful for reference but too long for most follow-up purposes.

For participants who joined late or missed the meeting, share the summary alongside the specific sections they need to act on rather than the whole record. A shorter, targeted share gets read; a full transcript often does not.

What Zoom AI Companion does not do

Zoom AI Companion summarizes what was said. It does not carry the decisions into your project management system, remind anyone of their action items, or keep a record of which decisions were accepted versus proposed. Those steps happen outside Zoom.

For AI note-taking in Zoom using third-party tools, the AI notes zoom page covers the options. For AI summaries in Notion from meetings, see Notion AI transcription.

Data handling and consent considerations

Before using Zoom AI Companion in a meeting with clients, contractors, or candidates, check your organization's data handling policy and the terms for your Zoom plan. AI meeting features process audio or transcripts on Zoom's servers; what is stored, for how long, and who can access it varies by plan and account configuration. Zoom notifies participants when AI Companion is active, but notification is not the same as informed consent in every professional context.

For external meetings—calls with clients or partners—mention AI note-taking at the start of the call before the substantive discussion begins. That is good practice regardless of the technical notification Zoom sends, and it gives participants the chance to raise any concerns before the session is underway.

How to do this with fenbs

fenbs does not connect to Zoom directly. The connection is the step you take after the meeting: reviewing the summary, confirming the decisions, and adding them to the project.

  1. Create a free account and open the project the meeting was about.
  2. After each meeting, review the Zoom AI summary and mark which action items are confirmed.
  3. Add each confirmed decision to Decisions and rules in fenbs: what was decided, who decided it, and why.
  4. Create a task in fenbs for each agreed action item with the person responsible and the next step.
  5. Update Where we left off so the next session—with you or a connected assistant—starts from the current state.

Questions people ask.

Does Zoom AI automatically summarize every meeting?

No. AI Companion features need to be enabled by your account admin and turned on for a specific meeting. When it is active, Zoom notifies all participants. Check your plan and admin settings to see what is available.

Who can see the Zoom AI meeting summary?

By default the host receives the summary. Admins can configure whether it is shared more broadly with participants. Check your organization's Zoom settings and your admin's policy before treating summary sharing as automatic.

How accurate are Zoom AI meeting summaries?

Accuracy is generally good for clear audio with defined speakers, but the AI can miss context, merge separate topics, or misidentify action items. Always review the summary before sharing or acting on it.

Can I use Zoom AI to take notes if I am not the host?

Participants can access AI Companion features depending on how the account admin has configured them. The host controls whether AI Companion is active in their meeting. Check your account settings and your organization's policy.
