Zoom AI Notetaker: Set Up Recording, Review Notes, and Act on Follow-Ups

Zoom AI Companion can summarize your meetings automatically. Here is how to enable it, handle recording consent, review the output, and turn confirmed decisions into action.

Updated 4 min read

Zoom AI Companion is Zoom's built-in meeting summary and note-taking feature. It records, transcribes, and summarizes your calls, then delivers a digest at the end. Tools like fenbs bridge the gap between those notes and real follow-up work — keeping the decisions and tasks your team confirmed available to every connected AI assistant after the meeting ends.

The meeting summary itself is fast and useful. The problem most teams run into is what happens next: action items stay in the summary email, decisions are never recorded as rules, and the next meeting starts without a clear account of what was agreed.

What Zoom AI Companion does

Zoom AI Companion produces a meeting summary — a short digest of topics discussed, decisions made, and action items mentioned — at the end of a meeting. It uses Zoom's own AI models, and the summary is delivered to the meeting host by default.

It is separate from Zoom's older cloud recording feature. A cloud recording saves the full video and audio. AI Companion summarizes the conversation and produces structured notes. You can use one, both, or neither for a given meeting. Check your organization's Zoom admin settings to see which features are enabled.

How to enable Zoom AI Companion for meetings

  1. Sign in to the Zoom web portal (opens in a new tab) as an account owner or admin. Go to Account Management, then Account Settings.
  2. Under the AI Companion section, enable Meeting Summary with AI Companion. You can set this at the account, group, or user level.
  3. Choose whether participants can start the summary or only the host. Decide whether participants receive the summary automatically or only the host does.
  4. In the meeting, click the AI Companion icon to start the summary. Participants see a banner in the meeting interface noting that AI Companion is active.
  5. After the meeting, the summary is delivered by email and saved to the Zoom web portal under AI Companion.

Recording consent and participant notice

Zoom AI Companion notifies participants when the summary is running. In most jurisdictions, recording a conversation without consent is legally restricted. Zoom's notification in the meeting interface handles the platform-level disclosure, but your organization may have additional requirements — particularly for calls with clients, in regulated industries, or across state lines where recording laws differ.

Check your organization's policy and your legal counsel's guidance before enabling AI Companion for client-facing meetings. When in doubt, tell participants at the start of the call that notes are being generated. For formal agreements, a written consent step may be appropriate.

Reviewing and exporting the notes

The AI summary is a starting point, not a final record. Review it before forwarding or acting on it. Common issues include misattributed statements, merged separate points into one, and action items assigned to the wrong person.

The Zoom AI meeting notes guide covers how to review AI meeting notes efficiently. Read the summary against your own notes or a quick memory of the meeting. Correct misstatements before sharing. The goal is a record someone could use to pick up the work without attending the call.

Zoom allows you to download the transcript and summary. You can also access them through the Zoom API if you need to route them to another tool automatically. See Zoom's developer documentation for the current API scope and rate limits.

For teams that route notes to the same destination after every meeting — a shared document, a project tool, a CRM — a Zapier connection or a direct Zoom API call saves the manual export step. The routing is most reliable when the notes have been reviewed first. A summary that flows directly from Zoom to your project tool without review will carry any AI errors into your tracked tasks. Review, then route.

Turning notes into follow-up work

A meeting summary is most useful when it leads to tracked action. Three categories deserve separate treatment:

  • Action items: tasks someone agreed to do. Each needs a clear owner and a next step.
  • Decisions: choices the group made that future work depends on. These should be recorded as rules or decisions that your team and its AI assistants can read later.
  • Open questions: things that came up but were not resolved. These need a follow-up, not an assumed answer.

Mixing all three into a single to-do list is the most common failure. A decision looks like a task, gets marked done when someone sends an email, and then gets forgotten. The next meeting restarts the same discussion.

How fenbs helps

Keep confirmed meeting decisions available to every AI assistant

After reviewing the Zoom summary, add confirmed action items as tasks in fenbs and record agreed decisions as Decisions and rules. Every connected assistant reads the rules before starting work. Where we left off records the outcome of the meeting for the next session, whether that is a person or an AI.

How to keep Zoom meeting decisions with fenbs

  1. Create a free account and add a project for the work the meeting is about.
  2. After each meeting, review the Zoom summary and separate action items, decisions, and open questions.
  3. Add confirmed action items as tasks in fenbs. Add agreed decisions as Decisions and rules with the date and the people who were in the room.
  4. Connect your AI assistant over MCP from Integrations. Before the next working session, ask it to read the project context including the decisions from the meeting.
  5. Use Where we left off to record the outcome of the meeting for the next person or assistant who picks up the work.

Questions people ask.

Does Zoom AI Companion record the full meeting?

Zoom AI Companion generates a summary and transcript. It is separate from Zoom cloud recording, which saves the full video and audio file. You can use both together or separately. Check your account settings to see which features are enabled.

Who receives the Zoom AI Companion summary?

By default the host receives the summary. Admins can configure whether participants also receive it. You can also access summaries through the Zoom web portal or Zoom API after the meeting.

Is Zoom AI Companion included in all Zoom plans?

AI Companion availability depends on your Zoom plan and region. Check Zoom's current plan page for what is included. Your organization's admin may also need to enable the feature.

How accurate are Zoom AI Companion summaries?

Accuracy varies with audio quality, number of speakers, and meeting complexity. Review the summary before acting on it. Common issues include misattributed statements and merged separate points. The transcript is more detailed and useful for resolving specific disputes.

Can I use Zoom AI notetaker for client calls?

You can, but check recording consent requirements for your jurisdiction and industry first. Zoom notifies participants in the meeting interface, but your organization may have additional obligations. When in doubt, tell participants at the start of the call that notes are being generated.
