Should I Use ChatGPT on My Work Computer? Check First
Use ChatGPT on a work computer when your employer approves the account, the task, and the information involved. Here is how to check those boundaries before you paste or connect anything.

Use ChatGPT on your work computer only when your employer approves the service, the account or workspace, and the information you intend to use. Being able to open the website does not establish that approval. A quick check protects your work from being saved in the wrong account or sent somewhere your employer has not reviewed.
Tools like fenbs keep the approved rules available to employees and connected assistants, so the answer does not depend on someone remembering an old chat. Start with permission for the actual task, then record the boundary clearly.
What should you ask your employer before starting?
Ask your manager or IT contact for the written AI-use policy and the approved ChatGPT workspace. If there is no clear answer, describe a small proposed task without attaching the real material. “May I draft an outline from these public product pages?” is easier to approve than a request to use AI for everything.
- Confirm that ChatGPT is approved for your role and intended use. Approval for drafting public copy may not cover processing internal customer records.
- Identify the account and workspace you must use. Ask whether personal accounts are excluded and who handles access when your job changes.
- List the information the task needs, including attachments, screenshots, and any connected service. Get a clear answer about permitted data.
- Agree on who checks the result before it is published, sent, or used to make a business decision.
OpenAI’s enterprise rollout guide (opens in a new tab) separates workspace access, runtime policy, connected systems, and reporting responsibilities. That is a useful reminder for an employee too: approval for one part does not settle the others. Broader advice on using AI at work can help once these boundaries are clear.
Which account belongs on a work device?
Use the account and workspace your employer identifies. Check the visible workspace before each task that involves company information, especially if you also use ChatGPT personally. A company email address, a company laptop, and a company-approved workspace are different things; do not assume one proves the others.
Keep personal experiments separate from employer work. Ask who owns the work record and how you should hand it over before you leave a project. Do not move company material into a personal account simply because a feature is unavailable in the approved workspace.
The desktop app introduces settings beyond visiting a website. OpenAI’s developer settings guide (opens in a new tab) explains that workspace administrators can manage some controls and that project and editor context have their own behavior. Have IT review the surface you actually intend to use rather than treating browser approval as permission for every desktop capability.
If your employer manages the computer, ask what device monitoring and acceptable-use rules apply. ChatGPT settings cannot answer a question about your employer’s separate device systems. Use a personal device and account for personal matters when that matches your employer’s policy.
What information can you put into a prompt?
Use the smallest amount of approved information that lets the assistant do the task. The decision should cover the content, its purpose, and where the result will go. Replacing a person’s name with initials does not necessarily make a detailed record suitable for an unapproved service.
| Proposed input | Question to resolve first | A smaller starting point |
|---|---|---|
| Public product description | Is this service approved for drafting? | Use the published page and check the draft against it. |
| Internal project update | May this workspace receive this category of internal information? | Use an approved summary that excludes unnecessary details. |
| Customer file or employee record | Has the responsible owner approved this exact handling? | Use a fictional example while the real-data request is reviewed. |
| Password, token, or connection string | Why would the task need a secret at all? | Describe the configuration problem without the secret. |
Review screenshots as carefully as documents. A screenshot of a harmless error can also show a customer name, another browser tab, or a private message. Review the full image before uploading it, and leave it out when typing the relevant error would do.
Write the employer’s approved categories and exceptions as Decisions and rules in fenbs. Keep the rule and its owner there, while the restricted source material stays in its approved system.
Does a business workspace settle every privacy question?
No. Training use, saved content, sharing, and third-party access are separate questions. OpenAI’s cloud security guidance (opens in a new tab) says business workspace data is not used for training by default, while retention and audit visibility depend on the data category and configuration. That commitment does not give you permission to upload every company document.
Connections also deserve a separate review. An assistant that can retrieve files or take actions has a different task boundary from one drafting text you supply. Ask which account the connection uses, what it can read or change, and whether a person must approve the final action.
For example, a hypothetical design studio might approve outlines from public information while requiring review before an assistant reads client folders. The employee can still get useful work done by drafting the structure with invented details. The missing connection approval remains a specific question for the owner.
Make the approved boundary easy to find
Record which workspace, data categories, and task types a person approved in fenbs. Connected assistants read Rules first when they retrieve the project context. Keep unresolved exceptions open so a suggestion never quietly becomes permission.

What should you do if the policy is unclear?
Pause the part that needs restricted information and ask the named owner. You can often continue with public sources, fictional examples, or an outline that contains no company details. State what you have left out so nobody mistakes the result for analysis of the real records.
A useful approval request names the task, input category, intended audience, workspace, and reviewer. Include the one decision you need: for example, whether an internal summary may be used in the approved workspace. Avoid sending the confidential file as evidence in the approval request itself.
If you already supplied something outside the policy, stop adding information and follow your employer’s reporting process. Tell the responsible person what was shared and through which surface. Do not assume deleting a visible chat resolves every copy or connected-system record.
Once approved, choose an appropriate work prompt. The separate guide to ChatGPT settings for work covers settings; those settings should implement the policy your employer has actually chosen.
How to do this with fenbs
- Create a free account, free for one person with no credit card. Add a project for the approved AI workflow.
- Record the person’s approval in Decisions and rules: workspace, allowed input categories, prohibited information, review requirement, and who answers exceptions.
- Add tasks for unanswered setup questions. Keep an unapproved connection or data category visibly unresolved until a person decides.
- Connect a supported assistant using Integrations. MCP is a standard way for an AI app to use an outside tool; ask the assistant to read the project context before work.
- Save progress before stopping, including checks completed and questions waiting on a person. On a team kanban board, give members suitable roles for maintaining the shared record.
fenbs does not configure ChatGPT, monitor your work computer, or enforce your employer’s data policy. It is not the right fit if you only need a device-management control. It helps when an approved instruction must stay clear across projects, people, and connected AI sessions.
Start with one rule someone has already approved rather than drafting an entire handbook. Check that a fresh assistant can explain the allowed task and the question it must take back to a person. The AI governance hub covers the surrounding decisions as your use grows.
