Notion AI Workflow: Turn Project Notes Into Reviewed Work
A Notion AI workflow uses the built-in AI tools to draft content from project notes, then follows a review step before the result is used. Here is how to build one that stays consistent.

A Notion AI workflow uses Notion's built-in AI tools to draft, summarize, or restructure content from your project notes, followed by a person reviewing and approving the result before it moves to the next step. Notion AI works inside the pages and databases where your notes already live, which means the source material is always at hand. What it does not do is carry agreed decisions or handoff state between sessions or to a different AI app. Tools like fenbs keep those decisions and handoffs in a separate record, so the work stays consistent when the team changes tools or when a different assistant picks up where Notion AI left off.
What you need before you start
A Notion AI workflow works best when the source notes are organized and current. Notion AI produces output from the content in the page you give it; if the notes are incomplete, the output will reflect that. Spend five minutes updating the relevant notes before you start the AI step.
- The Notion page or database view that holds the source notes for the task.
- A clear task: what you want Notion AI to produce and what format it should use.
- Review criteria: what a passing result looks like, written down before the AI runs.
- A named reviewer: the person who will check the result against the criteria before it moves forward.
Notion AI does not search across your entire workspace by default; it works from the page or block you target. Check that the source page contains the information the task requires before asking Notion AI to act on it.
How to run a Notion AI workflow
The steps below suit a drafting or summarization task built from project notes. Adjust the review criteria and source page for your situation.
- Open the Notion page that holds the source notes. Verify the notes are current and cover the information the task needs.
- Use the Notion AI prompt to specify the task: what to produce, what format to use, and what constraints apply.
- Read the output against your review criteria. Mark what to keep, what to revise, and what to ask Notion AI to change.
- Give specific revision feedback. "The summary omits the third point from the notes" is actionable; "improve this" is not.
- When the output passes the review, record what worked: the prompt structure, the source format that produced clean output, and any constraint worth reusing.
- Save the agreed result in its destination page or database, with a note that it has been reviewed and by whom.
Keeping decisions available when the team changes tools
Notion AI works within Notion. If your team uses a different AI app for a related task, or if a colleague works in a different environment, the decisions made during a Notion AI session may not be visible to the next assistant. The decision "the client summary should use bullet points, not prose" is useful whether the next session runs in Notion AI, Claude, or any other tool.
Record decisions that should apply across sessions or tools in a location every session can reach. The same applies to the starting point for the next session: "the draft is in the Q3 summary page, the third section is still to be revised" is useful to any tool the team uses next.
The notion-mcp-vs-notion-ai guide covers the difference between using Notion AI inside Notion and connecting Notion to an outside AI app through MCP. The what is an AI brain guide explains how keeping context outside the tool makes it available to all of them.
Keep decisions and handoffs outside any one tool
fenbs keeps agreed decisions, the Where we left off record, and context notes in one place any connected assistant can read. Record the decisions that shaped the Notion AI output. Before you close a session, save the starting point for the next one. Any AI app that connects to fenbs reads the same record.

What Notion AI does not carry between sessions
Notion AI does not retain session memory. Each time you invoke it, it works from the content in the current page, not from what it produced the last time you ran a similar task. If a previous session produced a useful approach, that approach is only available in the next session if the notes record it.
Notion AI also does not know about decisions made in pages it has not been shown. If the team agreed a format change three weeks ago but that change is not reflected in the source notes, Notion AI will produce output in the old format. Update the source notes before running the AI step, not after.
For team workflows, the notion-to-do-list guide covers how to structure a Notion database for tasks that move between team members. The ai-agent-approval-workflow guide covers how to make the review step explicit rather than assumed.
How to do this with fenbs
Add the workflow as a project in fenbs. Record the decisions that apply across sessions and tools as Decisions and rules. Use Where we left off to pass the starting point between sessions and AI apps.
- Create a free account. Add a project for the workflow and write your brief as the project description.
- Record decisions that should apply across sessions as Decisions and rules: format rules, audience constraints, tone guidelines.
- At the end of each Notion AI session, save Where we left off: which page holds the current draft, what has been reviewed, and the next step.
- Connect a supported AI app from Integrations. Share the fenbs context with that session when the work moves between tools.
- When the Notion AI output is approved, record the approval in the relevant fenbs task so the history is complete.
