How to Share a Gemini AI Chat and Check Recipient Access

Share a Gemini conversation, check the public view, and give teammates the decisions and next steps they actually need.

Updated 5 min read

To share a Gemini AI chat on the web, open the conversation, select Share below a response, and choose Share conversation. Copy the resulting link, then check its contents before sending it. That review matters when the recipient only needs a small part of a much longer exchange.

For a work handoff, fenbs can hold the reviewed decisions and next steps alongside a reference link, so teammates do not have to interpret a long conversation. First decide whether the recipient needs the original exchange, a short approved summary, or permission to work on the project.

What are the steps to share the conversation?

  1. Sign in at gemini.google.com and open the intended conversation.
  2. Read the exchange from the beginning, including uploaded material and generated content. Remove the need to share anything unsuitable by preparing a separate, approved summary instead.
  3. Below a response, select Share, then Share conversation. Copy the public link.
  4. Open that link in a separate browser window and review the recipient view. Check the beginning and end, not only the answer you wanted to send.
  5. Send the checked link with a sentence explaining its purpose and the action you want the recipient to take.

These controls follow Google’s Gemini chat-sharing instructions (opens in a new tab). A useful accompanying message might be: “This exchange contains the initial outline. Please review the two options; the final choice is still open.” That distinction prevents an exploratory suggestion from being mistaken for approval.

Who can read the link, and what does it include?

Google describes a public chat link as a snapshot that anyone holding the link can read and forward. It can include generated artifacts and uploaded images; later edits to your original chat do not update that snapshot. Check the actual shared page rather than assuming account details are the only potentially identifying information.

Names, business plans, customer examples, screenshots, and filenames can identify people even when a page does not display your account name. If the exchange contains information intended for a limited audience, use an approved restricted document or a short extract instead. Sending a public link in a private email does not make the link itself private.

  • Look for details in earlier prompts that have no bearing on the recipient’s question.
  • Check screenshots for visible addresses, account names, and unrelated browser content.
  • Distinguish a generated recommendation from a fact verified against an original source.
  • State which part the recipient should review and whether any decision has been made.

Why is Share missing or different on a work account?

Check the account and the sharing method before assuming Gemini has lost the feature. Google’s administrator guidance (opens in a new tab) describes separate organization controls for public conversation links and sharing through Drive. Public links and Drive sharing have different access rules, and an administrator can restrict either route.

Ask your administrator whether conversation sharing is enabled for your account and what method the organization permits. If a colleague received a Drive-based share, have them use the intended Google account. A screenshot of the error, the account type, and the method you selected is more useful for support than “the link does not work.”

Do not move confidential work into a personal account to get around the setting. Prepare an approved summary in the organization’s usual workspace while access is checked. Saving your own copy is a different task from giving another person access; decide whether preservation or sharing is the goal.

Does continuing the chat create shared work?

Treat a recipient’s continuation as a separate branch. Google’s administrator documentation says that a recipient continuing a shared conversation does not change the owner’s chat. A link therefore gives someone background; it does not establish one agreed record that everyone keeps updating together.

Say a designer shares two homepage ideas with a developer. The developer explores the second idea in another conversation, while the designer revises the first. Without a separate record, both can reasonably think they are following the latest direction. Write down the chosen option and who chose it before either person starts implementation.

That is where AI handoffs in fenbs help: keep the agreed next step outside the conversation branches. For the broader idea of keeping useful work available between sessions, see what an AI brain is.

How fenbs helps

Share the outcome as well as the conversation

Add the project in fenbs, record the decision a person approved, and create tasks for the unresolved work. Save Where we left off with the next action and the reference link, so the next assistant starts from a checked handoff rather than a chat someone has to decode.

How do you withdraw or replace an old public link?

Google’s sharing guide directs you to Settings & help, then Your public links, where you can delete a link. Deleting it stops that URL from opening the shared chat, but does not erase copies someone already made or a continuation in their own activity. Use deletion as access cleanup, not as a promise that information has been recalled.

If the original exchange contains outdated advice, send a correction directly to the people who relied on it. Identify the old conclusion, the replacement, and the work affected. A new link without an explanation leaves the reader to discover the difference, which is easy to miss when the conversation is long.

How to do this with fenbs

  1. Create a free account, then add the project the conversation concerns.
  2. Add a short AI context note containing the checked summary and any reference link that is appropriate for the board’s members.
  3. Record the choice a person made in Decisions and rules. Keep unresolved options as questions rather than recording them as approved.
  4. Create tasks for follow-up work and save Where we left off with the current status, next action, and anything waiting on a person.

fenbs does not import Gemini chats or change their sharing permissions. It is useful when the exchange leads to continuing work; sending a single answer to a friend does not need a project record. See how fenbs works for the shared context an assistant reads at the start of a session.

What should your final handoff message say?

Keep it short: what this link contains, what has been checked, what is still uncertain, and what the recipient should do next. Include the date of the reviewed conclusion if an older exchange remains useful as background. Ask for a specific review rather than a vague reaction to everything Gemini produced.

For example: “The conversation explains the two layout options. We approved option A after checking the accessibility requirement; please review the mobile navigation before implementation.” You can find more practical workflows in AI at work and the distinction between an answer and ongoing work in AI employees.

Questions people ask.

Can I share only the Gemini answer beside the Share button?

Review the shared page before forwarding it, especially earlier prompts and attached material. Prepare a separate approved summary if you need to tightly control the excerpt.

Should I give a recipient my sign-in details to read the conversation?

No. Send an approved share or summary, never your password or verification codes. If someone cannot open the link, check the sharing method and their permitted account.

Can I fix a mistake after sending the link?

Send a clear correction and replace the reference where necessary. A public snapshot does not automatically become accurate when you revise the original conversation.

Should I share a chat or a summary with a teammate?

Share the conversation when the reasoning itself matters and its contents are suitable for that audience. Use a reviewed summary when the teammate mainly needs the conclusion and next action.
