How to Share a ChatGPT Project With Your Team

Invite teammates to a ChatGPT project, choose suitable access, and check what everyone can see. Then keep approved work useful outside the project too.

To share a ChatGPT project with your team, open the project, select Share, invite the intended people, and choose chat or edit access. Review the sharing pane afterward so you know who can join and what they can change. A project invitation shares project context; it does not require sharing your login.

When teammates use different AI apps, fenbs can hold the approved tasks, decisions, and next steps outside ChatGPT. First get the project invitation right, then decide which results need a lasting team record.

How do you invite the right teammates?

  1. Open the project you intend to share. Check its name and contents before opening Share, especially if you have several similar client projects.
  2. Select Share and use the invitation options available in your account or workspace. Prefer named invitations when the work has a defined team.
  3. Enter the intended teammates and choose chat or edit access. Send the invitations, then ask a teammate to accept using their own account.
  4. Return to the sharing pane and review the members and access levels. Check the actual result rather than treating a sent email as proof of access.

OpenAI documents the available invitation methods, workspace restrictions, and current limits in its Projects help page (opens in a new tab). If an option is missing, check that page and your workspace settings instead of following screenshots from an older account.

Start with one colleague before inviting the whole team. Use an ordinary reference file and a harmless test question so you can discover an access problem without exposing more material. Record who will own the project and handle future membership changes.

What will teammates be able to see?

Project members can see the project’s chats, files, and member list. Treat every file added to the shared project as material intended for those members. Shared projects use project-only memory rather than drawing on each member’s unrelated personal memories, as OpenAI explains in its project documentation.

Before inviting anyone, read the project as though you were a new teammate. Remove an old draft containing a private phone number, replace a client document with an approved version, and check whether an instruction names an unrelated customer. A useful file title does not tell you whether its contents are suitable to share.

The separate guide to ChatGPT project memory explains context behavior in more detail. Here, the practical check is simpler: would you be comfortable handing this whole project folder to every invited person?

Should a teammate get chat or edit access?

Chat access lets members use the shared project without changing its instructions and files. Edit access also allows those changes and inviting others. The owner controls membership and permissions. Use the access descriptions in the sharing pane when making the choice.

Give edit access to someone who is responsible for maintaining the reference material, rather than everyone who needs to ask questions. A teammate reviewing a proposal may need to discuss it without becoming responsible for the instructions behind every later answer.

Say a three-person design studio shares a website project. The project lead maintains the approved materials, while the designer and copywriter ask questions and develop drafts. If the copywriter later takes over source maintenance, review their access deliberately instead of leaving an informal exception in a chat.

For the broader collaboration model, see ChatGPT shared projects. This setup guide focuses on making one team’s invitation and access choices understandable.

What instructions should you add before work starts?

Write a short project introduction that names the outcome, the approved sources, and the human reviewer. Describe the difference between a suggestion and an accepted decision. Otherwise, a confident draft can become the starting point for another draft before anyone has checked it.

  • Goal: prepare the client website copy for a human review, using the approved service descriptions.
  • Source rule: prefer the approved reference file when a draft contains a conflicting detail.
  • Review rule: mark missing evidence and unresolved questions rather than filling the gaps with plausible claims.
  • Decision rule: a person approves the final wording; an AI recommendation is still a proposal.

Use real names and document titles in your own version. Avoid a long collection of generic warnings that nobody can apply. Our ChatGPT Projects best practices guide covers maintaining the project after the initial invitation.

When a rule must reach teammates outside ChatGPT, record it in fenbs Decisions and rules so their connected assistants can read the same instruction.

How do you check that sharing worked?

Ask the first invited teammate to open the project from their own account and identify the expected reference file. Then ask them to start a small test conversation about an agreed fact in that file. You are checking access and orientation, so avoid using sensitive data as the test.

Compare their answer with the source. If they cannot open the project, check the invitation address, active workspace, and sharing settings. If they can open it but get a poor answer, inspect the source and instructions before assuming the invitation failed.

Finish with a practical question: can this person tell what they should do next? Access to a folder does not explain task ownership. Add a short starting note that names the current deliverable, what remains uncertain, and who will review it. Repeat this check when a new teammate joins halfway through the work.

How can the result stay useful outside ChatGPT?

A shared project can be a useful place to develop work in ChatGPT. OpenAI’s team collaboration overview (opens in a new tab) describes using shared project context for that purpose. Decide separately where the team’s accepted decisions and active tasks will live.

For the studio example, preserve the approved headline, the reason it was chosen, the reviewer, and the remaining accessibility check. Keep the source conversation as supporting material when appropriate. A teammate continuing in another AI app needs those facts more than a transcript of every rejected headline.

Review what you save. A summary that says “copy approved” is misleading when only the homepage was approved. Include the scope of the approval and the unfinished pages. This makes a later handoff a continuation of the actual work rather than a fresh interpretation of a vague label.

How fenbs helps

Share the agreed work across your team’s AI apps

Keep the project’s accepted decisions, tasks, and Where we left off in fenbs. Teammates and connected assistants can read the same work record, while History records changes. Keep ChatGPT for the conversations where it helps, and save the outcome the next person needs.

How to do this with fenbs

  1. Create a free account. Use a personal kanban board to try the workflow, then use a team kanban board when colleagues need access.
  2. Add the project and the current tasks. Give each task a clear problem and a plan, including what a person must check before calling the work finished.
  3. Record the team’s approved choices in Decisions and rules. Include who decided and why; leave unresolved questions open.
  4. Connect supported AI apps through the integration guides. Ask each assistant to read the project context before working and save progress before stopping.

fenbs does not import ChatGPT chats. If everyone only needs to explore the same reference material in ChatGPT, a shared project may be sufficient. Add a separate work record when decisions, tasks, and handoffs need to follow the team across apps.

Questions people ask.

Do teammates need my password to join?

No. Send a project invitation and have each teammate use their own ChatGPT account. Sharing a project and sharing an account are different actions.

Can a colleague use a project without maintaining its files?

Chat access is intended for using the shared project without changing its instructions and files. Choose edit access for people who need to maintain those materials.

What should I do when a contractor finishes?

Review the project membership and remove access that is no longer needed. Also check other tools and documents you shared separately.

Does moving a decision to fenbs make it automatically approved?

No. A person makes the decision. An assistant can record that choice, but it cannot decide or sign off on behalf of the team.
