Gemini Gems Not Working? Check Instructions, Files, and Access
Find out whether the problem is a missing Gem, an inaccessible knowledge file or unclear instructions. Test one small case before rebuilding your setup.
Updated 5 min read
If Gemini Gems are not working, first separate three problems: the Gem is missing, its reference file is unavailable, or its answer ignores your instructions. Check the account and saved setup, then test one instruction against one short file. That gives you a specific failure to fix without replacing everything at once.
Keep a copy of useful instructions before you edit. fenbs can store that wording in Skills and prompts alongside the project’s current context, so a broken session does not become the only record of how you work. You copy the text into Gemini yourself; fenbs does not connect directly to Gems.
What should you check before rebuilding a Gem?
- Confirm the Google account shown in Gemini. Compare it with the account where you created the Gem or received access.
- Open the Gem itself and inspect its saved instructions. Copy them somewhere safe before changing the wording or removing files.
- Try a small prompt that requires no reference material. Then try a question whose answer appears in one short knowledge file.
- Write down the exact error or incorrect behavior. Change one thing, repeat the same prompt, and compare the result.
For the documented route to the Gem list, editing and knowledge files, use Google’s Gems help (opens in a new tab). Its controls are a better starting point than an old screenshot. Keep testing in the same account and interface so you do not change several variables accidentally.
Say a meeting-summary Gem stops separating decisions from action items. First ask it to format a short sample you paste into the prompt. If it can follow the format there, investigate the meeting file next. If it cannot, simplify the instruction before touching the files.
Why is the Gem missing from your list?
Start with the account rather than the prompt. A browser profile and the account selected inside an app are easy to confuse. If someone shared the Gem, open the original link again. Google says shared Gems enter My Gems after you open and interact with them; receiving a link alone does not add them.
Also check whether your account is moving from Gems to skills. Google’s transition guide (opens in a new tab) describes a phased change by account type, including the handling of instructions and supported files. Follow the notice in your own account rather than assuming a colleague has the same interface.
Treat a changed feature location differently from missing work. Find out whether the saved instructions have moved before creating a replacement with the same name. A replacement made from memory can quietly lose an important rule even if its first answer sounds right.
For the broader explanation of the feature and its changing terminology, read Gemini Gems. This troubleshooting process focuses on recovering a usable setup, not choosing between the different ways to organize an assistant.
Why can the Gem not use a knowledge file?
Inspect what is actually attached under Knowledge. Naming a document in an instruction does not establish that the intended file is attached and readable. Open the source yourself, confirm that it is the right version, and test a detail you can locate in its text.
For a Drive attachment, check the connection requirements in the Gems help: Keep Activity must be on and Google Workspace connected. Work and school access can also depend on administrator settings. Google’s file-upload guide (opens in a new tab) covers those requirements and the messages for upload, storage and usage limits.
- If analysis fails, try uploading the file again, as Google recommends. Preserve the original so you can compare what changed.
- If the message says you reached a usage limit, follow the indicated waiting or account guidance. Rewriting instructions does not address an upload allowance.
- If a long file produces incomplete answers, test a smaller relevant excerpt. Keep its heading and context so the excerpt still makes sense.
- If a work account cannot reach Drive, ask your administrator about access rather than repeatedly changing the Gem’s wording.
Do not delete the Gem or its history as a first experiment. If storage cleanup becomes necessary, first review what the error message asks for and preserve work you still need. A troubleshooting step should leave you able to reconstruct the setup.
Why does the Gem ignore clear instructions?
Check the saved instruction before judging its wording. Google’s custom Gem tips (opens in a new tab) warn that using the preview does not automatically save a Gem. A successful preview followed by different later behavior is a reason to inspect what was saved.
Then replace vague goals with observable behavior. “Be concise and useful” leaves much to interpret. “Start with a two-sentence summary, then list decisions, action items and unanswered questions under separate headings” gives you something you can check.
Task: Summarize the meeting text I provide. Format: Summary, Decisions, Action items, Open questions. Evidence: Do not invent owners, dates or approvals. Missing information: Write “not stated” when the text does not identify an owner or date. Boundary: Suggestions are not decisions. Keep them under Open questions.
Test that instruction on a short invented meeting sample with one approved choice and one unresolved suggestion. Check whether the categories stay separate. Once it works, add your real requirements gradually. Keep the successful wording and failed test as a lesson in fenbs’s shared work record, so another assistant can understand why the rule exists.
How can you tell a feature mismatch from a broken Gem?
Write down the exact feature you expected to use. Google’s Gems help says Gems cannot be used with Gemini Live. A workflow that depends on a different feature or a migrated skill needs its own compatibility check; a clearer prompt cannot make an unavailable feature appear.
Compare like with like when troubleshooting across apps. Copilot instructions not working has a different setup path, though the habit of checking the saved instruction and a minimal example carries over. Keep a short record of your test prompt, expected result and actual result instead of writing only “the assistant ignored me.”
For a different failure, use the focused guides to Gemini Notebook not working, Gemini Deep Research not working and Gemini personal context not working. Diagnose the tool that failed before changing a working Gem.
Keep a recoverable copy of your working instructions
Save the instruction you tested in fenbs’s Skills and prompts, with a short example of the expected answer. Keep the project’s current tasks and Where we left off beside that reusable wording. If you rebuild a Gem or change assistants, the useful instructions and work record are still available to copy or read.

How to do this with fenbs
- Create a free account and add the project your Gem supports. One person can start free, with no credit card.
- Save the approved instruction in Skills and prompts. Include the small test prompt and the output requirements that make it acceptable.
- Add a context note describing the current source files and unresolved access problem. Record facts you checked and leave unknown causes clearly unresolved.
- Copy the saved instruction into the Gem, save it there, and repeat your test. Record what passed and what still needs attention.
- Update Where we left off with the next step, including anything waiting on an administrator or another person. Keep a useful recovery lesson when the cause becomes clear.
fenbs will not repair a Google account, restore file access or fix Gemini itself. If your only need is one saved Gem, keeping its instructions in a simple document may be enough. fenbs helps when those instructions support ongoing work that several people or assistants need to pick up accurately.
After the repair, run the original failing question again. Check both the answer and the supporting material rather than stopping at the absence of an error. The AI prompts hub has more ways to make reusable instructions specific enough to test.
