Fireflies AI Notetaker in Google Meet: Setup and Follow-Up

Fireflies AI joins your Google Meet calls as a notetaker, transcribes the conversation, and delivers a summary with action items. Here is how to invite it, review the output, and turn confirmed decisions into trackable work.

Fireflies AI is a meeting notetaker that joins video calls as a bot, records the conversation, and delivers a transcript and summary with action items. It supports Google Meet directly. Tools like fenbs turn the reviewed output into a lasting record — confirmed decisions become Decisions and rules, confirmed tasks become tracked items, and Where we left off records the outcome for the next session.

The notetaker removes the need to take notes by hand. The part that still requires judgment is reviewing the output before acting on it and deciding which of the AI's suggested action items are real commitments.

What Fireflies does in Google Meet

Fireflies joins a Google Meet call as a participant called "Fireflies.ai Notetaker". It records the audio, transcribes it, and applies AI analysis to identify topics, action items, and sentiment. After the call, it delivers a summary email and saves the transcript and notes to your Fireflies workspace.

Fireflies can be invited manually, added automatically to all your meetings from Google Calendar, or invited by a host who has a Fireflies account. Not every participant needs a Fireflies account for the bot to attend — only the person who invites it. Check Fireflies' documentation (opens in a new tab) for current plan limits on recording length and storage.

How to add Fireflies to a Google Meet call

There are two approaches: invite from your dashboard or connect to Google Calendar so Fireflies joins automatically.

  1. Create a Fireflies account at fireflies.ai if you do not already have one.
  2. To invite manually: go to your Fireflies dashboard, paste the Google Meet link into the "Add to live meeting" field, and click Join. The bot joins within a minute.
  3. To set up automatic joining: connect your Google Calendar in Fireflies settings. Fireflies will join every meeting on your calendar that has a Google Meet link, unless you exclude it.
  4. After the call, open the meeting in your Fireflies workspace to see the transcript, summary, and suggested action items.

Participant notice and consent

Fireflies joins the call as a visible participant. Other participants can see "Fireflies.ai Notetaker" in the participant list and in the transcript. This provides notice that the call is being recorded. In most US states, one-party consent applies to recordings of your own conversations, but requirements vary by state and by the nature of the call.

For client calls, professional meetings, or calls in regulated industries, tell participants at the start that a notetaker is recording. For calls with participants outside the US, check the recording laws in their jurisdiction. When in doubt, ask.

Reviewing the transcript and summary

The summary Fireflies produces is good for most straightforward meetings. Review it before acting on it. Common errors include: action items assigned to the wrong person, two related points merged into one misleading statement, and statements in the conditional ("we should consider X") treated as commitments.

The full transcript is more reliable than the summary for disputed points. Search it for the specific phrase to see the original wording and who said it.

Acting on the notes

After reviewing, separate the output into three categories: real action items with a clear owner, decisions the group made, and open questions that still need an answer. Mixing all three into a single list is the most common follow-up failure — a decision looks like a task, gets marked done, and gets forgotten.

Before the next working session, review what was confirmed and what is still open. An open question left in the notes without a follow-up is often quietly dropped. Give each open question either an owner who will resolve it or a date by which it needs an answer. If neither is possible, record it as a blocker so the next person who picks up the work can see it clearly. A meeting that produces three real commitments with owners is more valuable than one that lists twenty things without any.

How fenbs helps

Turn reviewed meeting notes into a lasting work record

After reviewing the Fireflies summary, add confirmed tasks as items in fenbs and write agreed decisions as Decisions and rules with the meeting date. Every connected assistant reads the rules before starting work. Where we left off records the meeting outcome so the next session starts from a clear picture of what was agreed.

How to turn Fireflies meeting notes into tracked tasks with fenbs

  1. Create a free account and add a project for the work the meeting is about.
  2. After the call, review the Fireflies summary. Identify the real action items, the confirmed decisions, and the open questions.
  3. Add each action item as a task in fenbs. Put the owner and the agreed next step in the task description.
  4. Add agreed decisions as Decisions and rules in fenbs. Include the meeting date and the key participants.
  5. Connect your AI assistant over MCP from Integrations. Before the next working session, ask it to read the project context so it starts from what was actually agreed.

fenbs does not connect directly to Fireflies. It works alongside it: Fireflies captures and summarizes the call, you review and confirm the output, and you record the confirmed items in fenbs. A connected assistant then reads those items before starting work instead of relying on a summary email it cannot access.

Questions people ask.

Does Fireflies AI work with free Google Meet accounts?

Fireflies joins any Google Meet call as long as you can invite it or connect your Google Calendar. The meeting host does not need a Fireflies account. Your own Fireflies plan determines how many meetings you can record and how long transcripts are stored.

Can other participants see that Fireflies is recording?

Yes. Fireflies joins as a visible participant named "Fireflies.ai Notetaker". Participants can see it in the participant list. This provides visible notice that the call is being recorded.

How accurate are Fireflies transcripts?

Accuracy depends on audio quality, the number of speakers, and background noise. In good conditions with a small group on clear audio, Fireflies is reliable. In noisy environments or with many speakers talking over each other, expect more errors. Use the full transcript to resolve specific disputes rather than relying only on the summary.

Can I use Fireflies for one-on-one calls?

Yes. Fireflies works on one-on-one and group calls alike. For one-on-one calls with clients or external parties, tell the other person that a notetaker will be joining before the call starts.

What should I do with action items from a Fireflies summary?

Review them before acting on anything. Check that each item has a real owner and a specific next step, not just a vague suggestion. Add confirmed action items to the place where you track actual work. Treat "we should consider X" as an open question, not a commitment.
