Fireflies AI Notetaker for Zoom: Setup, Review, and Follow-Up

Set up Fireflies for the Zoom meetings you intend to capture, review what it recorded, and turn confirmed decisions into follow-up work.

Updated 5 min read

To use the Fireflies AI notetaker with Zoom, choose which meetings it may join, invite it through your calendar or the supported Zoom connection, and check that it is admitted and capturing the meeting. Review the resulting transcript and summary before treating an action or decision as agreed. The setup includes both meeting capture and control over the record afterward.

Once a person confirms the outcome, fenbs can keep the approved decisions and follow-up tasks available to the team’s assistants. Fireflies captures the conversation; the useful next step is a clear record of what people actually agreed to do.

How do you set up Fireflies for a Zoom meeting?

  1. Check that your organization permits the recording and transcription of this meeting. Tell the host and invitees what you intend to capture and how the notes will be used.
  2. In Fireflies, review the calendar account and meeting joining settings. For a controlled first test, choose the option that joins only when you explicitly invite Fireflies.
  3. Create a test calendar event with the complete Zoom meeting link. Add the Fireflies meeting address, fred@fireflies.ai, when using the manual invitation method.
  4. If you want the direct connection, open Fireflies Integrations, select Zoom, choose Connect, and review the authorization on Zoom’s page. Use an account with the necessary permissions.
  5. Join the test as host, confirm Fireflies appears in the participant list, handle any admission or recording permission request, and verify the recording notification before discussing the test material.

The vendor’s Zoom integration guide (opens in a new tab) explains the optional connection and authorization flow. Follow the current screens there if labels differ. Use a test conversation with ordinary, nonsensitive content so you can verify the result without creating an unnecessary record.

After the test, check the transcript and summary in Fireflies before relying on the next meeting. Confirm that the right account owns the record and that you understand who can access it. Do this before adding clients or confidential project discussions to the workflow.

How do you control which meetings Fireflies joins?

Auto-join settings are worth checking before connecting a busy work calendar. Fireflies offers joining choices such as all eligible calendar meetings, meetings you own, meetings with teammates, or only meetings where you invite its meeting address. Its auto-join and recording rules guide (opens in a new tab) explains these controls and how recording rules affect eligibility.

Choose the narrowest setting that fits your actual routine. A recurring internal project review may suit automatic joining. A calendar that mixes interviews, client discussions, and personal appointments needs more deliberate selection. Being on your calendar is not the same as being approved for capture.

Review these settings again when you connect another calendar, change roles, or start inviting outside participants. Treat an unexpected joining event as a reason to inspect the configuration. Simply removing the notetaker from one meeting does not establish what it will do in the next one.

What should you check about consent and recording notifications?

Make the intended recording clear before the meeting and confirm it when the meeting begins. Follow the requirements that apply to your participants and your organization. A host accepting a software permission request does not resolve every participant’s expectations about recording, sharing, or keeping the material.

Fireflies’ Zoom integration overview (opens in a new tab) says it requests recording permission from non-Fireflies hosts and notifies participants about recording. Keep those notifications visible. If someone objects, stop and use the meeting process your organization has approved.

Decide what the record is for as well as whether it can be created. Does the team need a full transcript, or just confirmed decisions? Who should receive the notes? Which meeting types should be excluded? Write down the agreed answers so a new organizer follows the same process.

Why might Fireflies join but fail to capture the meeting?

Joining and recording are different stages. The meeting may match your calendar settings while Fireflies still waits for admission or recording permission. Check the meeting status and the host’s participant controls rather than assuming the invitation proves that capture started.

  • Confirm that the calendar event contains a complete Zoom link and the invitation or joining rule is correct.
  • Check whether Fireflies is waiting for admission or a recording permission request was declined.
  • Ask the Zoom administrator whether guest access, recording controls, or encryption settings prevent the approved workflow.
  • Check whether recording rules excluded the event, or Fireflies joined after the important discussion had already happened.

The Fireflies Zoom invitation guide (opens in a new tab) lists the relevant Zoom settings, including restrictions involving end-to-end encryption. Keep the security settings your organization requires. If those settings prevent transcription, choose an approved alternative rather than weakening them to get notes.

How do you check the notes before sharing decisions?

Read the summary beside the relevant transcript passage and, when available, the recording. Give particular attention to names, dates, amounts, negation, and language that signals uncertainty. “We could ship Friday” and “we will ship Friday” create very different expectations.

Separate captured discussion from agreed work
Meeting outputWhat to confirmUseful final record
Possible decisionDid an authorized person choose it, or was it a suggestion? The choice, its reason, and who made it.
Action itemDid the named person accept it, and is the next step clear?A task with an owner and a checkable outcome.
Open questionWas it resolved somewhere else in the discussion? The unanswered question and who needs to answer.

Ask the participants to confirm consequential outcomes rather than silently correcting ambiguity yourself. A note should distinguish what was agreed from your interpretation. For broader habits around checking generated work, see how to use AI at work.

Once confirmed, keep the decision with the project in fenbs Decisions and rules and save the source reference for people who have permission to open it. The AI brain guide explains why a small approved work record is more useful than repeatedly pasting entire conversations.

How fenbs helps

Keep the decision after the meeting ends

Record the choice a person confirmed in fenbs Decisions and rules, then add tasks for the accepted follow-up work. Connected assistants can read that project context without treating every suggestion in a transcript as an instruction.

How to do this with fenbs

  1. Create a free account and add the project discussed in the meeting.
  2. Review the Fireflies notes with the relevant people. Record confirmed choices in Decisions and rules, and leave unresolved choices open.
  3. Add a task for each accepted follow-up, including the intended outcome, the plan, and who is responsible. Add a source reference only where the intended readers can access it.
  4. Connect a supported assistant through Integrations and ask it to read the context before continuing. Save progress in Where we left off before ending the session.

fenbs does not record Zoom meetings or automatically import Fireflies notes. If you only need a transcript, Fireflies may be enough; fenbs fits the next stage, when people and assistants need shared decisions and continuing work.

Questions people ask.

Do I have to connect Zoom directly to Fireflies?

Fireflies documents calendar invitation methods as well as an optional direct Zoom connection. The method that works for you depends on the meeting and your organization’s Zoom controls.

Can I use Fireflies in a meeting someone else hosts?

You need the host’s cooperation and must follow the meeting’s recording requirements. Fireflies documents a host recording permission request for meetings hosted by someone who is not a Fireflies user.

Does a summary prove an action item was accepted?

No. Check the underlying discussion and confirm ownership with the participant. A suggested next step should remain a suggestion until the right person agrees to it.

Should I paste the full transcript into a task?

Usually a concise statement of the confirmed outcome and a permitted source reference is easier to use. Keep confidential details within the access rules that apply to the original meeting.
