Extract Data From a PDF With AI: Fields, Tables, and Checks
Turn PDF content into structured rows without losing the page it came from. Define the output, check difficult layouts, and keep unresolved values visible.

To extract data from a PDF with AI, define the fields or table columns you need, process an approved document, and check the output against its pages. Treat the result as a draft dataset until you have checked missing values, row alignment, units, and totals. A neat spreadsheet can hide a shifted column.
Keep the original PDF available throughout the work. Tools like fenbs can retain the document link, extraction rules, and remaining checks between assistant sessions; the extraction itself happens in your document tool or code.
What is the quickest reliable extraction workflow?
- Choose a small, representative PDF you are allowed to process. Include a page with the hardest table or layout, rather than testing only the clean cover page.
- Define the output columns, their meaning, and the format of each value. Include a source document identifier, page reference, and review status alongside the extracted fields.
- Ask the extraction tool to preserve blanks, report unreadable content, and keep separate records separate. Tell it to return an unresolved value instead of guessing.
- Compare the first output with the PDF side by side. Check the start and end of tables, repeated headings, footnotes, and fields close to page breaks.
- Export the reviewed output, document the checks performed, and keep a separate list of values still awaiting review. Repeat with the next document type before processing a larger set.
Say you are collecting equipment specifications from supplier PDFs. You might need model, width, power rating, and warranty wording. Decide whether each row represents one model or one configuration before extraction. Otherwise the tool may merge variants into a plausible product that no supplier actually sells.
How do you choose between text extraction, OCR, and AI?
Try selecting and copying a line from the PDF. Selectable text suggests a text-based file, although its reading order can still be wrong. A scanned page usually needs optical character recognition, or OCR: software that reads text from an image. An AI document model can also identify structures such as tables and fields.
Microsoft Document Intelligence layout documentation (opens in a new tab) describes extracting text, tables, selection marks, and document structure. That is useful when where something appears matters as much as the words. Check the supported formats and requirements for your chosen model before sending documents.
Use a simple text extractor when the document already has clean text and consistent labels. Consider a document extraction service for repeated forms, scans, or complicated tables. A general AI chat can help with a small approved sample, but judge it by whether it preserves the structure you need, not by how fluent its explanation sounds.
What should your output schema include?
A schema is the set of fields and rules your output must follow. Write it before asking for JSON, a structured data format, or CSV, a plain-text table. Separate the source value from any cleaned value so a formatting decision cannot erase the evidence.
| Field | Rule | Why keep it? |
|---|---|---|
| document_id and page | Identify the source file and the PDF page index consistently. | A reviewer can find the original value. |
| model | Copy the product identifier exactly. | Similar model names can describe different products. |
| width_raw and width_mm | Preserve the printed value; convert only when its unit is explicit. | Normalization stays separate from extraction. |
| review_status | Use pending, checked, or unresolved. | Downstream users can filter unverified rows. |
Define how to represent an empty field. A blank source, an unreadable scan, and a field that does not apply are three different situations. Also specify date order and decimal separators. Never let the model silently reinterpret an ambiguous date just to satisfy the requested format.
Save these choices as project rules in fenbs Decisions and rules, so the next connected assistant starts with the same definitions.
How do you catch broken tables and invented values?
Check relationships, not just individual cells. A value may be copied correctly but assigned to the wrong product or period. Compare row labels, column headings, merged cells, and the sequence of rows. Count the rows on the page and in the output, accounting for headings and subtotal lines.
Amazon Textract documents its table structure (opens in a new tab), including cells, merged cells, headers, and table titles. Whichever tool you use, inspect how it represents these features. Flattening a merged heading without carrying its meaning into each row can change the dataset.
- Reconcile totals where the source provides them, while checking whether tax, rounding, or excluded rows explain a difference.
- Inspect confusing characters such as zero and the letter O, negative signs, decimal points, and superscript footnote markers.
- Require source support for every nonempty field. A sensible completion is still an error if the PDF never states it.
- Review critical fields individually. For larger low-risk sets, document your sampling method and expand review when errors appear.
Do not use a model-generated confidence percentage as proof of correctness. If your tool provides extraction confidence, use it to help route review alongside layout difficulty and the consequence of an error. A high score cannot replace checking a consequential value against the source.
How should you handle restricted files and failed pages?
Check permission to upload the document, including your organization’s approved tools and data-handling requirements. Remove unnecessary sensitive content before processing where your workflow permits it. Keep source files in storage with the appropriate access controls, and avoid putting private document links into broadly shared notes.
If a page fails, isolate it. Try a clearer authorized scan or a different extraction method, then record which rows remain unresolved. Never let an empty result look like evidence that the page contained no relevant records. Keep the original file version so later corrections refer to the same evidence.
Keep the document and its remaining checks connected
Save an approved source link, the extraction rules, and tasks for unresolved pages in fenbs. Ask a connected assistant to read that context before continuing and save which checks it completed. Keep sensitive source material in its approved storage rather than copying it into the work record.

How to do this with fenbs?
- Create a free account, then add a project for the document extraction work.
- Add approved source references in Links and listings. Record the schema, blank-value policy, and review requirements in Decisions and rules when a person agrees them.
- Create tasks for extraction and review. Put the document version, completed checks, and unresolved page references in the relevant task.
- Connect a supported assistant using its setup guide on the Integrations page. Ask it to read the project context before working and save progress with the next unresolved check before it stops.
fenbs is not a PDF extraction engine or a replacement for document storage. Use it when keeping rules and review progress across sessions helps; use a dedicated extraction pipeline when the job is processing documents at scale.
What comes after you have verified the data?
Keep extraction separate from interpretation. Reading PDFs with AI covers document understanding, while using AI to analyze data covers the next stage after the rows are trustworthy. A summary is not a substitute for the structured output you defined.
For adjacent needs, see AI for data analysts for the analyst’s wider workflow, AI in data management for managing datasets, and AI PDF summarizers when you need a narrative overview rather than extracted rows.
