Data Entry AI: Move Values Into Forms Without Losing Control
Use AI to prepare structured values, then enter them through a checked workflow. Define field mappings, handle exceptions, and verify what the destination actually saved.

Data entry AI helps prepare values for a form, spreadsheet, or business system, while an approved entry method transfers them into the correct fields. Make the process reliable by defining the destination fields, validating each record, and checking the saved result before treating the job as complete.
AI-generated values are candidates for review, even when they look neatly formatted. Tools like fenbs keep the approved entry instructions and lessons from past mistakes available to the next assistant; your entry tool and destination system still perform the actual transfer.
How do you set up an AI-assisted entry workflow?
- Choose one destination and one kind of record. Write down who may create records and which fields require human approval.
- Map each prepared value to its destination field, including its format, required status, and rule for missing information.
- Have the assistant prepare a review table. Validate the values and place incomplete, conflicting, or suspected duplicate records in an exception list.
- Test the approved entry method in a copy, draft, or test environment. Transfer only the records that passed the agreed checks.
- Read back the saved records, compare them with the approved table, and reconcile successes, failures, and unknown outcomes before retrying.
This workflow begins once you have candidate values. Turning documents into those values is the separate job covered in data extraction with AI. Keep the boundary clear: a correct extraction can still be entered into the wrong column or attached to the wrong customer.
What should the field mapping include?
Use the destination field names rather than relying on column order or an assistant's interpretation. For each field, document the expected type and the transformations you allow. A supplier code that looks numeric may need to stay text so its leading zeros survive.
| Prepared value | Destination field | Entry rule |
|---|---|---|
| Supplier code | Supplier ID | Text; preserve leading zeros; match the approved supplier list |
| Contact email | Primary email | Copy the reviewed value; do not invent or repair an address |
| Received date | Request received | Use the destination's documented date format; flag ambiguity |
| Annual volume | Estimated units | Whole number with an explicit unit; blank is not zero |
| Review status | Ready for entry | Allow only approved status values |
Decide how blanks, unknown values, and genuinely inapplicable fields differ. Do not tell the model to make the table look complete. If a required value is missing, pause that record and ask an authorized person rather than borrowing a value from a similar-looking row.
Save the approved mapping as reusable instructions. The AI brain guide explains the benefit of keeping that work context outside one chat, where a new session would otherwise have to reconstruct it.
Which entry method should you use?
Prefer the destination's supported import or connection when it can validate the whole record and report failures clearly. For a small job, a reviewed copy-and-paste table may be easier to supervise. Screen automation needs extra checks because field locations, dialogs, and the active window can change.
For example, Microsoft's Power Automate Excel actions (opens in a new tab) can write values to specified worksheet cells. That is an entry mechanism, not proof that the source values or chosen cell range are correct. Confirm the workbook, worksheet, starting cell, and column mapping before writing.
Its UI automation documentation (opens in a new tab) also describes actions for interacting with desktop fields and limitations for some controls. Test the particular application you use. An assistant that can draft an entry plan does not necessarily have a connection that can operate your software.
What should happen before any record is submitted?
Validate against rules the destination actually uses: required fields, permitted values, identifier length, units, and known references. Check related fields together. A delivery date before an order date may be a valid historical correction or a mistake; an assistant should flag the question rather than silently changing it.
- Match the record to the intended entity using the approved identifier, not only a similar name.
- Look for duplicates in both the incoming set and the destination before creating a new record.
- Review dates, negative signs, decimals, currencies, and any value whose error would have a serious consequence.
- Keep destination formulas separate from imported text, and treat unfamiliar leading characters as a review question.
- Check whether submitting the form triggers a notification, order, payment, or other action that needs separate approval.
Make the final boundary explicit: preparing a form is different from submitting it. For consequential actions, have a person review the destination summary before confirmation. General AI at work practices help define where preparation ends and authority to act begins.
How do you handle errors and retries?
Assign each incoming record a stable reference and track its outcome. Distinguish rejected, saved, and unknown results. If a timeout occurs after submission, check whether the record already exists before retrying; repeating the whole job can create duplicates.
Reconcile totals at the end: records considered, records deliberately skipped, records confirmed saved, and records awaiting review. Then compare the saved field values with the approved entry table. A message saying "success" may only mean that the automation finished running.
Record corrections with enough context to improve the next run. "Supplier ID lost its first zero because the column was numeric" is useful; "AI made a mistake" is not. Lessons learned in fenbs let the next connected assistant read what happened and the specific check that should change.
Keep the entry instructions between sessions
Save the approved field mapping and review prompt in Skills and prompts, and track unresolved entry problems as tasks. When a mistake reveals a missing check, add a lesson so a later assistant starts with the corrected procedure instead of repeating the same preparation.

How do you test before increasing the volume?
Try a small set containing ordinary records and deliberate edge cases. Include a leading-zero identifier, a missing required field, an existing record, an ambiguous date, and a simulated interrupted submission. Confirm that the workflow pauses where the rules say it should.
Measure checking and correction time as well as typing time. If someone must inspect every cell afterward, the workflow may still help, but the saving is smaller than the automated step suggests. Keep human review in place until the actual process supports a narrower check.
Use sample or permitted records and keep real personal or customer data in approved systems. Write down the destination version and entry method tested. A changed form or reordered worksheet deserves a fresh small check before another large run.
How to do this with fenbs
- Create a free account and add a project for the entry process. One person can start free, with no credit card.
- Save a reusable entry prompt and field mapping in Skills and prompts. Keep sensitive source records in the destination or another approved system.
- Record the human-approved review and submission boundaries in Decisions and rules. Add tasks for testing, unresolved exceptions, and any correction work.
- Ask a connected assistant to read the project context and approved instructions before preparing a run. Save progress afterward, including what was verified and which records still need review.
fenbs does not fill forms, operate spreadsheet imports, or validate your business records automatically. Use an entry or automation tool for that work. fenbs keeps the procedure, decisions, lessons, and next task available when the person or assistant changes. Find more workflows in the AI at work hub.
