Copilot in Word Not Working? Checks and Fixes

Check the current control location, account access and document before reinstalling anything. Keep the writing brief and review checkpoint available while you isolate the failure.

Updated 5 min read

If Copilot in Word is not working, first look for its current entry point, confirm the signed-in account and test a short request in a new document. That separates a missing control or access problem from a failure tied to one document or drafting request.

Save your existing work before troubleshooting. fenbs can keep the writing brief, agreed facts and last review checkpoint while access is restored; fenbs does not connect to Word or read the document for you.

What should you try before changing settings?

  1. Save the document and note the exact symptom: no Copilot control, a sign-in error, a failed request or an answer that misses the point.
  2. Look in the document corner as well as the ribbon area. Confirm the account shown in Word is the one intended for this work.
  3. Create a new document with a few harmless sample sentences and ask for a short rewrite. Avoid using confidential content for the diagnostic test.
  4. Try the same account and sample in Word on the web. Note whether only the desktop app, one document or every attempt fails.
  5. Keep the original file intact and change one condition at a time. Record the result before attempting the next fix.

For the sample request, ask for a two-sentence internal project update using only the facts supplied. If that works, return to the original file and investigate its access, location and content. A successful sample is a clue, not proof that the original document is supported in every mode.

Is the Copilot button missing or has it moved?

Microsoft's missing Copilot button guide (opens in a new tab) says to check the Dynamic Action Button in the lower-right document corner. The control can also be moved near the ribbon. Old screenshots that show only a ribbon button may send you to the wrong place.

If you still cannot find it, follow that guide for your platform. It covers app updates, refreshing the license, update channels and connected-experience settings. On a managed device, ask your help desk to check these settings and policies instead of changing organization controls yourself.

After a license refresh, restart the Microsoft 365 apps as directed and repeat the same sample test. Record whether the control returned and whether the request completed. Seeing a button again resolves only the first part of the problem.

Could the account or organization restrict access?

Check the account attached to Word and the document. A personal sign-in and a work sign-in are different contexts, even when you use both on the same computer. Ask the administrator to confirm access to the particular feature you need, rather than relying on whether Copilot appears in another app.

Microsoft's Word Copilot introduction (opens in a new tab) says availability depends on the subscription, license, organization settings and platform. Keep those variables in the support request. A colleague with a different setup is not a reliable comparison until you identify the difference.

If both desktop and web fail with the intended account, share that result with support. If web succeeds, tell them that too. This helps narrow the investigation without assuming that reinstalling Word will repair an access restriction.

For mailbox-specific failures use Outlook troubleshooting; the separate Word usage guide covers ordinary drafting once access works.

Why does only one document fail?

Compare the failing file with your working sample. Note the format, storage location, editing permissions, protection settings and whether Word displays a compatibility or read-only warning. These are diagnostic differences to investigate, not reasons to strip protections from the original.

If needed, create an approved test copy in a normal editable Word format and location. Use only content you are allowed to copy. Ask the document owner or administrator about restrictions before moving company material into another service or changing access.

A long document can create a different problem: the request runs, but important material is missed. Microsoft explains in its document length guidance (opens in a new tab) that task type and source length affect responses. Try a focused section and compare the answer against that section.

For example, ask for the unresolved questions in one named section before requesting a complete report summary. Check that the answer reflects the actual text. If a referenced file is missing, confirm you can open the correct source with the intended account.

What if Copilot runs but the drafting request fails?

Separate technical failure from weak output. A timeout, an error message and an inaccurate paragraph require different next steps. Capture the exact symptom and try a shorter request with one goal, one source passage and an explicit format.

  • For a failed rewrite, select a short passage and request one change, such as shortening it while retaining its facts.
  • For a generic draft, supply the audience, purpose and approved points instead of relying on implied context.
  • For missing evidence, ask which source supports the statement and check the source yourself.
  • For repeated service errors, stop repeated retries and provide support with the time, client and sample-test result.

Microsoft's Copilot in Word FAQ (opens in a new tab) warns that fluent output can be inaccurate. Review the proposed text before accepting it, especially names, dates, commitments and references. A completed request is not the same as a finished document.

For preferences that are ignored, see Copilot instruction troubleshooting; source-access issues in another assistant belong in connector troubleshooting. Keep the accepted facts and review rules in fenbs project context so a later session starts from the same writing requirements.

How to preserve the writing checkpoint with fenbs?

  1. Create a free account and add a project for the document or communication goal.
  2. Add a writing task with the audience, purpose and expected result. Link to the document where appropriate instead of copying restricted material.
  3. Save approved writing rules and a short context note describing what has been reviewed. Keep unresolved decisions open for a person.
  4. Save Where we left off with the last accepted section, outstanding checks and next action. Record the Word repair separately from the writing deadline.

fenbs is useful when a writing task must continue through a tool outage or a change of assistant. It is not the right fit for repairing Word, editing the document canvas or storing every draft. Use the handoff workflow to preserve the work around the file.

How fenbs helps

Resume from the last reviewed section

Keep the document goal, approved facts and review checkpoint with the project in fenbs. Add tasks for the missing source check and unfinished section, then save where to start next. A supported connected assistant can read that record while you retain control of the document in Word.

After access returns, rerun the small sample and then the original request. Review the resulting document before closing the repair task. The AI at work collection covers related ways to keep project context available across tools.

Questions people ask.

Will reinstalling Word bring Copilot back?

Not necessarily. First check the current control location, signed-in account, feature access and a comparison with Word on the web. Reinstallation does not establish or change the access your organization grants.

Why does a new document work while my report fails?

Compare the files for access, location, format, protection and length. A focused test can help identify the difference. Preserve the original and do not remove required protection to make a feature run.

Does an answer in chat mean my document changed?

Check the document itself and the mode you selected. A chat answer, a proposed edit and an accepted document change are different outcomes. Review the actual file before treating the writing task as complete.

Does fenbs retrieve the Word document automatically?

No. fenbs does not connect to Word or read its files. You can retain the project brief, approved rules and saved progress in fenbs while the document stays in your chosen document system.
