Context-Aware AI: What It Needs to Understand Your Work

Context-aware AI uses the information available about the current situation to shape its response. For work, that means clear instructions, relevant sources and an accurate project state.

Context-aware AI uses information about the current situation to produce a more relevant response. In work, that situation includes what you want to achieve, which sources apply, what people have already decided and where the task currently stands.

It does not mean the assistant automatically knows your organization or everything you discussed elsewhere. Tools like fenbs give supported AI apps an explicit shared project record to read, so useful work context can come from something more reliable than an assumed memory.

What makes an answer contextual rather than generic?

A generic answer addresses a category of problem. A contextual answer addresses your particular instance of it. Ask for a launch email and a generic response can describe a reasonable email; a contextual response should reflect the actual audience, approved offer and stage of the project.

Say a design studio is preparing a client announcement. The owner has approved a plain tone and asked the team to avoid naming an unfinished feature. A useful assistant needs those choices before drafting. Knowing that businesses often send announcements does not supply either fact.

Anthropic’s prompting guidance (opens in a new tab) recommends explicit instructions and context about why they matter. For your own work, explain the constraint in ordinary language: “The feature is still being tested, so leave it out of the announcement.”

You can then assess the response against a concrete requirement. Does it omit the unfinished feature while preserving the approved announcement? A response that merely mentions the project’s name has not necessarily used the relevant context.

Which kinds of information does an assistant need?

Give the assistant a view of the situation rather than a pile of loosely related material. The important pieces depend on the task. Drafting a paragraph needs different evidence from investigating a failed calculation, even when both belong to the same project.

The parts of a useful work context
PartWhat it suppliesStudio example
Current requestThe outcome and format you want now.Draft the announcement for existing customers.
Relevant sourcesEvidence for facts the answer will use.The approved product description.
Decisions and rulesChoices and constraints that apply.Leave the unfinished feature unnamed.
Work stateWhat has happened and what remains. The draft still needs the owner’s review.
UncertaintyWhat the assistant must not assume. The publication date is not decided.

Separate these categories when they could conflict. A customer’s suggestion is useful source material, but it is not automatically the owner’s decision. An early draft can be evidence of an idea without representing the current plan.

Our guide to AI context layers covers where different kinds of context can come from. In fenbs, Decisions and rules give approved choices their own place, while tasks and Where we left off describe the work around them.

Does context awareness mean the AI remembers everything?

No. An assistant can only use the information made available to it through the app and the connections it is allowed to access. Something can exist in a file, an old chat or a teammate’s notes without being part of the material used for this answer.

The context window is the material a model can use during a response. Saved records and current context are different concepts: saving a fact gives it a durable home, while reading the relevant record makes it available for the current task.

Anthropic’s context engineering article (opens in a new tab) treats context as information that must be curated as work develops. That is why “we told an AI once” is weaker than “the current decision is recorded here, and this session read it.”

Also distinguish project context from facts about you. Remembering your preferred writing style does not tell the assistant whether the client approved the latest design. Personal preferences may help an answer sound right while leaving it wrong about the work.

How can an assistant misunderstand context it has received?

Available information can still be stale, ambiguous or contradictory. If two files both call themselves final, the assistant needs a reason to prefer one. If “approved” does not say who approved what, the assistant may apply the approval more broadly than intended.

  • Missing scope: a rule for one client is applied to a different client.
  • Missing date or version: an earlier specification is treated as current.
  • Missing authority: a suggestion is mistaken for a person’s decision.
  • Missing status: a planned check is described as a completed check.
  • Missing access: the assistant assumes a source supports its answer without reading it.

Use named sources and plain status statements to remove those ambiguities. “The owner approved draft C for the announcement; the website wording is still under review” is more useful than “the copy is approved.” It helps another person as much as it helps the assistant.

Adding more material can introduce more competing versions. The AI context rot guide discusses problems in crowded context; the first check here is whether your own record clearly identifies what applies.

How fenbs helps

Give your assistants the situation behind the request

Keep the project’s current tasks, Decisions and rules, context notes and Where we left off in fenbs. Ask a connected assistant to read them before it drafts or changes anything. Each session can then start from the same recorded work, with people correcting the record when it changes.

How do you test whether the assistant understands?

Ask for a short account of the goal, applicable decision, evidence and next action before the assistant acts. Compare that account with the sources. You are testing its interpretation of the situation, rather than whether it can repeat a project description.

For the studio announcement, ask three questions: Which feature must remain unnamed? What supports the product claims? Who needs to review the draft? The answers should connect to the recorded constraint, approved description and current task state.

Ask what remains unknown, too. An assistant that notices the missing publication date is using context more usefully than one that silently invents a date. If an important source is unavailable, it should identify that gap before presenting an unsupported claim as settled.

The ongoing upkeep routine belongs in managing AI context. For this test, keep the standard simple: can the assistant identify the facts that change the next action and the uncertainties that should stop it from guessing?

How to do this with fenbs

  1. Create a free account, add your project and describe its goal in language a new teammate would understand.
  2. Add the current tasks. Record a person’s approved choices in Decisions and rules, and keep unresolved questions separate from those choices.
  3. Connect a supported AI app through Integrations. It uses MCP, a standard way for the assistant to use an outside tool, with browser sign-in.
  4. Ask it to read the project context and explain the relevant rule, current state and next action. Review that explanation, then ask it to save progress at the end of the session.

fenbs is not the right fit for training a model or making every company document automatically searchable. It keeps structured work context for supported assistants to read and update. Keep original documents in their own systems and give the assistant the relevant source access when needed.

Start with one real task and one decision that changes its answer. The context engineering hub offers related guides, but that small trial is enough to see whether a shared project record improves the next session’s starting point.

Questions people ask.

Can a chatbot be contextual without remembering earlier chats?

Yes. It can use the instructions, sources and work state supplied for the current task. Cross-chat memory is only one possible source of context, and it does not replace current evidence.

Is context awareness the same as personalization?

Personalization adapts to a person’s preferences or circumstances. Work context can include those preferences, but it also needs facts such as the approved specification and the task’s actual status.

Can two assistants use the same project context?

Yes, if both have an authorized way to read the shared record. Ask each one to read it before starting, and keep decisions and progress current when either session changes the work.

Does more context guarantee a correct answer?

No. The material can be outdated, ambiguous or misinterpreted. Check the response against the relevant sources and decisions, especially before acting on it.
