ChatGPT Xero Connector: Options, Access, and Review Checks
Connecting ChatGPT to Xero lets it help with accounting summaries and analysis. Here is how to evaluate connection options and which access and review checks to run before the AI works with your financial data.

A ChatGPT Xero connection lets ChatGPT Work read accounting data from Xero — invoices, expenses, bank transactions, reports — and help with summaries, reconciliation queries, and analysis. Because financial data is sensitive and subject to compliance requirements, the important questions are what connection options exist for your plan and what access and review checks to put in place before the AI works with your books. Tools like fenbs keep approved reporting assumptions and follow-up tasks in a shared record so every session starts from the agreed framework.
Start by checking your ChatGPT Work connector settings for any listed Xero option. Available connections depend on your ChatGPT plan and on whether a Xero integration has been enabled for your organization.
What ChatGPT can help with using Xero data
With read access to Xero, ChatGPT can help you summarize outstanding invoices, analyze expense categories over a period, explain what accounts are showing an unusual balance, or draft a financial summary for a meeting. It can answer questions about the data you have authorized it to see.
Proposals that change Xero data — creating an invoice, coding a transaction, reconciling a bank feed — should go through a person before they are applied. An AI-suggested journal entry or transaction code can look plausible and still be wrong. Keep a review step in place for any action that would alter your accounting records.
Connection options for Xero
If a native Xero connector appears in your ChatGPT Work settings, that is the most direct route. Xero uses OAuth 2.0 for third-party connections, so each user authorizes access from their own Xero account and can revoke it independently.
If no native connector is available, workable alternatives include exporting Xero reports as PDF or CSV files and providing them to ChatGPT directly in the session, or using a third-party automation platform that connects Xero and ChatGPT through their respective APIs. Review the data handling policies of any such platform carefully before routing accounting data through it.
Xero also has its own analytics and reporting features, and Xero Practice Manager includes tools built for accountants. For analysis work that stays within Xero — comparing periods, reviewing account balances, generating standard reports — those built-in tools may be sufficient without adding a ChatGPT connection. A ChatGPT connector adds the most value when you need to combine Xero data with context from outside the accounting system.
Access checks before connecting
Xero's OAuth scopes control which parts of your accounting data a connected app can see. Request the minimum scope the workflow needs. Common scopes include reading accounting data, reading bank transactions, and reading reports — but not all three are needed for every use case.
- Confirm whether the connection is read-only or includes write or submit permissions.
- Review which Xero organization is being connected — relevant if you manage multiple entities.
- Check that no payroll or sensitive personal data is accessible unless that is explicitly needed.
- Ensure the connection uses a dedicated Xero user or service account rather than a personal admin account.
For the current list of Xero OAuth scopes and their effects, see Xero's developer documentation (opens in a new tab). Your Xero organization administrator will need to approve the connected app.
Recording approved reporting assumptions
Accounting analysis depends on assumptions: which cost center to attribute a mixed expense to, which comparison period to use, how to categorize a new type of transaction. If the AI works from different assumptions each time, results will be inconsistent and hard to verify.
Recording those assumptions in a place the AI reads before starting means it applies the agreed framework every session. When your accountant changes an assumption, you update the record once. The change applies from that point forward, and the previous assumption is available in the history.
For businesses that share Xero across a partnership or multi-entity structure, be explicit about which organization the assumptions apply to. Xero allows access to multiple organizations under one login, and a reporting assumption that is correct for one entity may not apply to another. Scoping each rule to a specific organization prevents an AI session from applying the wrong framework to the wrong books. Name each set of assumptions clearly in your Decisions and rules record so the AI always knows which organization it is working with.
Keep approved assumptions where the AI reads them first
Add your accounting project to fenbs and record approved reporting assumptions as Decisions and rules. When a connected AI app starts a session, it reads those rules before working with Xero data. Follow-up tasks — reconciliation checks, items to ask the accountant, outstanding invoices to chase — stay as tasks on the board. fenbs does not connect to Xero directly; it holds the decisions that keep the AI aligned with what was agreed.

How to do this with fenbs
- Create a free account and add a project for your accounting or finance work.
- Record approved reporting assumptions as Decisions and rules: expense categorization rules, comparison periods, cost allocation guidelines.
- Add follow-up tasks to the board for items the AI identifies that need a person — invoices to chase, transactions to clarify with your accountant.
- Connect your AI via Integrations so it reads the approved framework before each session.
- After each session, save progress so the next session picks up from the current state of the review queue rather than starting over.
