ChatGPT Team Upgrade: Move Your Work With a Checklist
Before moving into a ChatGPT team workspace, check who owns it, what will move, and what you could lose access to. Keep the project handoff ready before you change anything.

A ChatGPT Team upgrade means creating or joining the workspace now called ChatGPT Business; moving your personal content into it is a separate choice. Before you proceed, confirm the destination, the person responsible for billing, and whether your personal workspace should stay separate.
The move also needs a work handoff. A tool like fenbs can hold the decisions, source links, and unfinished tasks that your next AI session needs, without depending on the ChatGPT account you are changing.
What should you check before starting the upgrade?
- Confirm whether your company already has a workspace. Ask its owner before creating another subscription or accepting a similarly named invitation.
- Choose the correct account and email address. Write down the intended workspace name so you can check it when switching environments.
- Review the current seat requirements, billing terms, and available tools with the person who will own the subscription.
- Decide whether to keep your personal workspace separate. Review important content before agreeing to a merge.
- Prepare a short project handoff, then test access with a small, non-sensitive task after joining.
OpenAI confirms in its Business FAQ (opens in a new tab) that Team became Business. The name change alone does not require a new workspace or data migration. If you already belong to the workspace, first establish what you actually need to change.
For subscription structure, use the separate ChatGPT Team plan guide. This checklist focuses on getting your work through the transition, part of the wider team AI brain library.
Are you buying access or joining an existing workspace?
These are different starting points. Someone creating a workspace must choose how it will be managed and paid for. Someone joining should confirm the invitation with the company owner and use the identity the invitation was intended for.
OpenAI's workspace management guide (opens in a new tab) explains switching workspaces and the distinction between member roles and seat types. Check the active workspace before uploading anything. A familiar account name does not establish that you are working in the company environment.
Assign a person to verify the first successful sign-in and another to confirm the subscription details. If you are that same person in a small business, make the checks at different points in the checklist. The broader apps for teams guide helps identify who maintains access across your other tools.
Should your personal content stay separate?
For Business, OpenAI offers keeping the personal workspace separate or merging it. Its personal-workspace migration guide (opens in a new tab) says a merge has no undo option that moves organizational content back into the personal workspace. Access to moved content also depends on continued access to the destination workspace.
That makes a merge an ownership decision, not routine cleanup. Review personal writing, private files, and mixed personal-and-company conversations before choosing it. Ask your company what belongs in its workspace and save permitted copies of important personal material first.
The same migration guide explains what transfers and notes that self-service export is unavailable in Business. Check its current transfer list for the content you rely on. Do not treat a successful invitation as evidence that every old chat, file, instruction, and connection will work in the destination.
What belongs in the handoff before work moves?
Save the state of the project rather than a transcript of every conversation. Another assistant needs enough information to continue safely, including what has not been verified. A confident-sounding summary can hide an unresolved approval or missing source.
- Goal: the deliverable, intended audience, and the current approved scope.
- Decisions: what a person approved, who approved it, and the reason.
- Sources: links to approved documents and the version used for the work.
- Progress: what is complete, what was checked, and what remains uncertain.
- Next action: the smallest useful step, plus anything waiting on a person.
For example, a studio moving a proposal project should record that the client approved the shorter scope but has not approved the delivery date. Keep that distinction visible when a new conversation starts. The fenbs handoff workflow puts this record with the tasks it describes.
Keep the next step outside the account move
Put the current project decisions, source links, and unfinished tasks in fenbs before changing workspaces. Save Where we left off with what was checked and what happens next. A connected assistant can read that record after the move or from another supported AI app.

How do you check that the move worked?
Start with a low-risk example that represents normal work. Confirm you can find the intended reference, ask a question about it, and save the result where a teammate expects it. Have that teammate verify access independently rather than relying on your screen.
Then check the things that could fail quietly: old bookmarks, approved source links, project instructions, and connected tools. Record each as verified, unavailable, or still to check. The workspace guide covers everyday organization after this transition.
Keep any separate personal subscription on the review list until its owner has confirmed the appropriate action. Do not assume joining a company workspace has resolved every existing subscription. Use the migration guidance and the settings shown for your account to confirm the outcome.
How to do this with fenbs
- Create a free account. Start with your own handoff record; use a team kanban board with suitable member roles when colleagues need access.
- Add the project and tasks for the move. Give each task a clear problem and plan, including the access or content check it covers.
- Record choices people made in Decisions and rules. Add approved source references and save Where we left off with the next action.
- Follow Integrations to connect a supported assistant. Ask it to read the project context before working and save progress before stopping.
fenbs does not import ChatGPT chats or carry out a workspace migration. It fits when you need the work record to survive the move; a straightforward upgrade with no continuing project handoff may need only a short checklist.
If the team also uses other assistants, keep the handoff independent of its choice of model. Claude vs ChatGPT and Copilot vs ChatGPT cover those separate choices.
