ChatGPT for Planning: Turn a Goal Into Reviewed Next Steps
Use ChatGPT to compare practical options, expose assumptions, and draft a plan you can check. Keep the approved direction and current tasks ready for the next session.

Use ChatGPT for planning by describing a measurable goal, setting firm constraints, and asking for several realistic ways to proceed. Review the assumptions and dependencies yourself before turning the chosen option into tasks. A detailed answer can still depend on a person, deadline, or resource that does not exist.
Once you approve a direction, fenbs can preserve that decision and the work needed to carry it out. ChatGPT helps you explore the plan; a current project record helps you continue it without reopening every earlier choice.
How do you build a useful plan with ChatGPT?
- Describe the outcome and how you will recognize success. Replace “improve our website” with a specific result, such as making the new inquiry form ready for a customer trial.
- State the deadline, available people, working hours, existing commitments, and restrictions. Separate fixed limits from preferences that you could change.
- Ask ChatGPT to identify missing information and propose two or three approaches. Require each approach to explain what it leaves out and what could prevent it from working.
- Choose an approach after checking the facts with the people involved. Ask for tasks in dependency order, with a visible result and a completion check for each.
- Review the first few tasks against actual availability. Record your approval, begin the smallest useful step, and update the plan when evidence changes it.
OpenAI’s prompting guidance (opens in a new tab) recommends clear, specific instructions and refining your request after reviewing the response. Treat planning as that review loop. The first output is a draft to question, rather than an agreement everyone has already made.
What information should your planning prompt include?
Give ChatGPT the facts that change the next action. Include the starting position, the person who approves the result, and any work already completed. If the project involves another team, say what they have actually committed to. Silence about their availability should become an open question, rather than an assumed promise.
Help me plan a customer trial of our new inquiry form. Goal: five invited customers can submit an inquiry successfully. Deadline: the end of next month. Capacity: one designer and one developer, each available two afternoons a week. Constraints: keep the existing website and email provider. A person must approve changes to customer data collection. Known: the form design is approved; delivery has not been tested. First list missing information. Then compare three approaches. Label every assumption and do not invent commitments from other people.
Keep the prompt shorter than the surrounding project history. A current summary of the approved design matters more than every rejected sketch. Where you provide estimates, identify who supplied them and whether they include review time. That lets you challenge the plan without guessing where its numbers came from.
How do you compare options without accepting the first answer?
Choose the criteria before asking which approach is best. For the inquiry form, you might compare customer usefulness, staff effort, exposure of customer information, and the ability to reverse the change. Ask ChatGPT to explain its recommendation against those criteria and identify the evidence that would favor a different option.
Avoid numerical scores that only disguise guesses. “Low effort” is useful when the developer has reviewed the work; “8.7 out of 10” adds little if nobody has checked it. Ask what can be removed while still meeting the goal. A smaller trial often gives you a better next action than a complete rollout plan.
A comparison of Claude and ChatGPT can help when choosing an assistant, while free project planning software covers where to manage the resulting work. The planning method here still depends on your criteria and review.
Which assumptions and dates need independent checks?
Check anything that could make the plan impossible: supplier lead times, access approvals, staff capacity, technical dependencies, and requirements imposed by customers. Ask the responsible person directly. An assistant’s confident wording does not confirm that a developer is available or that a vendor supports the proposed change.
When the plan depends on current external information, ChatGPT can search the web and provide source links, as described in OpenAI’s search documentation (opens in a new tab). Open the relevant vendor or authority page yourself and check that it supports the specific requirement.
Then test the schedule from the deadline backward. Allow time for feedback, corrections, and waiting for replies. Use a range when the work is uncertain, and show which task must finish before another can begin. If several tasks require the same person at once, the schedule needs changing even when each individual estimate seems reasonable.
How do you keep the approved plan from drifting?
Write a short approval record: the approach chosen, why it won, what was excluded, and which uncertainty remains. Keep proposals separate from decisions. If the customer approves a small trial, a later assistant should not quietly expand it into a full website replacement because that sounds more complete.
Review progress against completed checks rather than reassuring summaries. “The form renders” and “a customer inquiry arrived in the correct inbox” describe different results. For software teams, planning poker explains a separate method for discussing estimates; it does not replace checking whether the plan meets its goal.
Use Decisions and rules in fenbs to keep the approved scope available to the next assistant, alongside current task progress. When a person changes direction, record the replacement and its reason so the old plan does not remain the only explanation.
Keep the decision behind the next step
Save the approach you approved, the limits that still apply, and the questions waiting for a person in fenbs. Add the work as tasks and keep Where we left off current, so the next connected assistant can continue from your decision.

How to do this with fenbs
- Create a free account and add the project to your personal kanban board. Describe the outcome and the current starting point.
- Record the approach a person approved in Decisions and rules. Add continuing instructions as rules, and leave unanswered choices open.
- Add the next tasks with their plans and completion checks. Move the task you start into In Progress, and record what you actually verified.
- Follow Integrations to connect a supported assistant. Ask it to read the project context before planning, then save task progress and Where we left off before stopping.
fenbs is useful when plans need to survive several sessions or assistants. It does not turn generated estimates into commitments or replace a specialist scheduling system. For a one-off personal checklist, an ordinary note may be enough. Explore more practical workflows in AI at work.
