ChatGPT for Office: Word, Excel, PowerPoint, and Outlook
ChatGPT can draft, analyze and plan across Word, Excel, PowerPoint, and Outlook. It works alongside Microsoft 365 rather than replacing it, and differs from Microsoft Copilot in important ways.

ChatGPT works with Microsoft Office applications by letting you draft, rewrite, analyze and plan in a chat window, then paste the output into Word, Excel, PowerPoint or Outlook. It is not embedded in the Office ribbon by default. For AI built into the Office interface, that is Microsoft Copilot — a different product with different plans and availability.
The distinction matters because the two tools solve different problems. ChatGPT is good at generating content from a brief you provide. Copilot is designed to act on your actual documents and emails. Tools like fenbs give both tools a shared source of context: the decisions, your approved brief and the open tasks that should inform every document you produce.
ChatGPT versus Microsoft Copilot
Microsoft Copilot is embedded in Microsoft 365 apps. It can read your existing Word documents, summarize your Outlook emails, generate formulas from your actual Excel data, and draft PowerPoint slides from a document you already have. It works on content inside your Microsoft account.
ChatGPT is a separate service from OpenAI. It does not connect to your Microsoft 365 account unless you set up a custom integration. You paste text into it and paste its output back. That separation means your documents do not leave Microsoft's environment, which some organizations prefer.
For most Office tasks, the right tool depends on whether you want the AI to read your existing documents or generate new content from a description. Use Copilot where your real files are involved. Use ChatGPT where you are generating from a brief. Many people use both.
Using ChatGPT with Word
Give ChatGPT a clear brief: the document type, the audience, the key points to cover, and any style rules that apply. Ask for an outline first, agree on the structure, then ask for section drafts one at a time. Pasting a full 2,000-word draft into a chat and asking for a rewrite usually produces a generic result.
For editing, paste a section into ChatGPT with specific instructions: "tighten this to two paragraphs without losing the three main points" or "rewrite for a non-technical audience." Read the output critically. ChatGPT produces fluent text that is easy to accept without noticing that something was cut or changed.
Using ChatGPT with Excel
ChatGPT is useful for Excel when you need a formula and you can describe what it should do. Paste the formula prompt, copy the result into Excel, and test it against your data. Ask ChatGPT to explain the formula before you use it in anything important.
Write an Excel formula that: - Looks in column A for a value matching cell D2 - Returns the corresponding value from column C - Returns "Not found" if there is no match Also explain what each part of the formula does.
ChatGPT cannot read your actual spreadsheet data unless you paste it in. For data analysis, paste a sample of the data (remove anything sensitive first) and describe what you want to find. Ask for the formula or the approach, not the final answer — you apply it to the real data yourself.
Using ChatGPT with PowerPoint
ChatGPT works well for the slide outline and talking-point stage. Describe the presentation goal, the audience and the time available. Ask for a slide-by-slide outline with one heading and three to five bullet points per slide. Build the deck from that structure rather than from a blank canvas.
For an existing presentation, describe the slide and ask for a tighter version of the text. Large blocks of text on slides usually survive because nobody wants to rewrite them; ChatGPT makes that quick. Paste the result back and check that nothing important was removed.
One brief for every document in a project
In fenbs, a project description and its Decisions and rules give a connected AI app the project context before it starts. When you are producing several documents for the same client or initiative — a report, a deck and a proposal — every session reads the same approved context, so the documents stay consistent.

Using ChatGPT with Outlook
ChatGPT is useful for drafting emails when you describe the situation and the tone. Paste the draft, describe the context ("this is a first follow-up to a client who has not replied in two weeks"), and ask for a version that is shorter and clearer. Check and edit before sending.
It is also useful for summarizing a thread you paste in. Note that anything you paste into ChatGPT leaves your organization's environment. Check your company policy before pasting client communications or confidential content.
Keeping decisions shared across documents
When a project produces several documents — a proposal, a slide deck, a status report — decisions made in one should carry to the others. The approved project name, the agreed framing for a sensitive topic, the date a change was approved: these should not be left in one chat or one document where the next session cannot find them.
How to do this with fenbs
- Create a free account. Add a project for the initiative that is producing the documents.
- Write your brief as the project description: the goal, the audience, key messages and constraints.
- Add approved decisions to Decisions and rules: the project name, tone guidance, anything that must be consistent across documents.
- Connect a supported AI app from Integrations. Ask it to read the project context before drafting any document section.
- Add tasks for each document and update them as drafts are reviewed. Record feedback as a comment or a revised decision so the next draft starts from the approved direction.
What ChatGPT cannot do with Office
Without an integration, ChatGPT cannot open a document from your OneDrive, insert text into a Word file, send an email from your account, or read your calendar. If you want an AI tool that does those things from inside Office, look at Microsoft Copilot for Microsoft 365 and check Microsoft's own help pages for current plan availability.
