ChatGPT Connectors for SharePoint and Microsoft 365
ChatGPT can connect to SharePoint and other Microsoft 365 document sources through approved connectors. Here is how to set up access, what permission checks to run, and how fenbs retains the project rules and decisions drawn from approved files.

ChatGPT can connect to SharePoint and Microsoft 365 document sources, giving the assistant read access to approved files and folders during a conversation. Setting this up correctly requires both a Microsoft 365 administrator's approval and a user-level OAuth authorization in ChatGPT. Tools like fenbs hold the project rules and decisions drawn from those documents, so the assistant reads the agreed conclusions rather than re-analyzing source files each session.
The practical value of this connection is speed: instead of copy-pasting document content into each conversation, the assistant can reference approved documents directly. The practical risk is scope: granting access to all of SharePoint is broader than most tasks require.
How the ChatGPT SharePoint connection works
The SharePoint connector in ChatGPT uses Microsoft OAuth. During setup, you sign in with your Microsoft 365 account and choose which files, folders or sites the assistant can access. The connection then appears in your ChatGPT settings and is available during conversations.
For organizational Microsoft 365 accounts, your IT administrator may need to approve third-party OAuth apps in the Azure AD tenant before users can complete the connection. Check with your admin if the sign-in fails or the consent screen shows an admin approval required message. See OpenAI's current documentation (opens in a new tab) for the latest setup steps.
Permission checks before connecting
SharePoint access levels carry over to the ChatGPT connection. If you have read access to a site, the assistant can read it. If you have edit access, check whether the connector scope includes write permissions and whether that is appropriate for your use case.
- Limit the initial connection to a single site or folder rather than all of SharePoint. Expand scope once you have confirmed the connection works as expected.
- Check whether confidential or legally privileged documents are accessible within the granted scope. Exclude those sites from the connection if they are.
- Verify that your organization's Microsoft 365 admin has approved external OAuth connections from ChatGPT.
- Confirm the connector scope is read-only if you do not need the assistant to modify documents.
What ChatGPT can do with SharePoint access
With an authorized SharePoint connection, ChatGPT can read document content from the approved sites and incorporate it into its answers. Practical uses include: summarizing a policy document, answering questions about a project specification, or reviewing a contract for specific clauses.
What it cannot do automatically is keep track of which version of a document was in effect when a decision was made, or alert you when a document changes and the previous summary is outdated. Those are human responsibilities or require an additional workflow.
Keeping project rules from approved documents
A document in SharePoint can describe a business process, a compliance requirement or a project standard. But every time the assistant reads that document, it re-interprets it. If the interpretation matters and needs to be consistent across sessions and team members, record the interpretation as a decision.
Say a SharePoint document describes a data retention policy. The assistant reads it and confirms the retention period applies to the project. Record that confirmation as a decision in fenbs: the policy name, the relevant rule, and the date it was confirmed. Future sessions read that decision without re-reading and re-analyzing the source document.
Keep rules from SharePoint documents in a form AIs read first
When you extract a rule or decision from a SharePoint document, record it in fenbs Decisions and rules with a link to the source. Connect fenbs to ChatGPT through MCP and every session reads those rules before it reads anything else. When a document changes, update the decision in fenbs to match.

Working with document versions and updates
SharePoint documents change. A policy document updated after the assistant last read it may say something different from what the assistant summarized. Build a habit of checking when a document was last modified before relying on an AI summary. If a document is likely to change frequently, keep the rule or decision extracted from it in fenbs and update that record when the document changes, rather than re-reading the source each session.
For documents that change infrequently, the connector works well for on-demand reading. For documents at the center of ongoing decisions, a recorded version of the current rule is more reliable than repeated interpretation of a live file.
Troubleshooting SharePoint connector issues
The most common issue is an admin approval block: the organization's Azure AD tenant requires an administrator to approve third-party app connections before a user can complete the sign-in. Contact your IT team and ask them to review and approve the ChatGPT OAuth application in the tenant. The ChatGPT connectors not working article has general troubleshooting steps that also apply here.
How to do this with fenbs
- Create a free account and add a project for the work that involves the SharePoint documents.
- Connect the SharePoint connector in ChatGPT settings with a limited scope: start with one site or folder.
- Connect fenbs to ChatGPT through MCP using Integrations.
- After reading a relevant SharePoint document with the assistant, record any rules or decisions that should persist in fenbs Decisions and rules. Add a link to the source document.
- In future sessions, ask the assistant to read the project context first. The recorded rules are available without re-reading the source document.
When this approach may not fit
If your organization uses Microsoft Copilot for Microsoft 365 as its primary AI, that product has deeper Microsoft 365 integration than the ChatGPT connector provides. fenbs does not connect to SharePoint directly; it holds the records you create in it. If your team's primary documents live in SharePoint, you will use both: the connector for real-time document reading and fenbs for persistent decisions.
