Apple Notes Second Brain: A Simple Setup for Work
Use Apple Notes to collect ideas, connect references, and return to active projects. Prepare selected summaries for AI work while keeping personal notes separate.

An Apple Notes second brain is a small system of captured ideas, source notes, and project summaries that helps you find and use what you know. Start with clear folders and one summary per active project, then add tags only when they solve a retrieval problem. fenbs can hold selected work context for connected AI assistants while your personal note collection stays in Apple Notes.
How do you set up a useful first project?
Pick work you will return to soon, such as a workshop outline or a client proposal. Do not begin by designing a system for every possible future interest. A few real notes will show whether your setup helps you find the information you need.
- Create folders for Inbox, Active projects, Reference, and Archive. These are suggested categories; Apple explains creating folders on Mac (opens in a new tab) through File, then New Folder.
- Create a project summary note with a recognizable title. Put the outcome, current question, and next action in its opening lines.
- Add one separate note for each useful source or meeting. Preserve the original URL or document location and explain why it matters.
- Link the relevant notes from the project summary. Keep the summary readable without requiring someone to open every reference.
- Return after a break and try to identify the next action and its supporting evidence. Fix missing context before adding more folders.
The interface examples here use Notes on Mac. Apple says the features in its linking guide are available with iCloud notes, while other account providers may not offer all of them. Check the account and devices you use before depending on a feature across your work.
When do folders, tags, and Smart Folders help?
Let folders express broad purposes and tags answer questions that cross those purposes. For example, a meeting note and a research note may both concern a workshop, even though they contain different kinds of material. A consistent project tag can make that connection easier to retrieve.
Apple documents adding tags with a number sign (opens in a new tab), followed by a word. Start with a small vocabulary that you can remember without consulting a tag directory. Two spellings for the same project create extra cleanup without adding meaning.
A Smart Folder (opens in a new tab) shows references to notes matching criteria such as tags or dates; it does not move those notes into a new storage folder. Use one when you repeatedly need the same view, such as project-tagged notes. It cannot decide which note contains the current approved answer.
How should you connect project notes and source material?
Keep a summary near the top of the project and link it to the notes behind its important statements. Apple supports links to other notes and webpages (opens in a new tab). On Mac, Edit, then Add Link lets you enter a webpage or find another note by name.
Add a sentence explaining each important reference. A note titled “Workshop interview: scheduling” is easier to use when the summary also says that it explains why attendees prefer shorter sessions. A link without an explanation saves the location while leaving you to rediscover its significance.
Do not replace the source with your summary. Keep what someone said separate from your interpretation and the action you propose. If an organizer approves a shorter format, save the approval distinctly so a later reader does not have to infer it from a discussion.
For instructions that should guide later AI work, fenbs Decisions and rules provides a clearer home than a remark buried in a personal note.
What should you prepare before asking an AI for help?
Select only the material needed for the question. Provide the outcome, relevant facts, constraints, and permitted source excerpts, with labels that make their origin clear. Mentioning an Apple Notes title or sharing a note link does not establish that your chosen AI app can read its contents.
For the workshop, you could provide a summary of the approved format and three relevant observations, then ask for an outline. Ask the assistant to flag unsupported assumptions and explain which supplied observations informed each major choice. Verify the result before presenting it as a settled plan.
Keep unrelated personal notes out of that packet. A collection used for daily life may contain information that has no role in a work task. The AI second brain guide explains the broader difference between collecting material and choosing context an assistant can use.
Keep the project summary ready for the next AI
Manually save the project goal, approved constraints, useful source references, and remaining questions in fenbs. Connected assistants can read that chosen work record before starting. Apple Notes remains your capture and reference system, without copying every personal note into shared context.

How do you keep captured notes from going stale?
Review active project summaries at a regular point in your work. Decide whether each recent capture supports a project, belongs in reference, or can be removed. Sorting every old note is less valuable than correcting an inaccurate summary for tomorrow’s task.
- Replace vague progress with observable facts: outline drafted, feedback requested, schedule still unconfirmed.
- Mark an interpretation as replaced when new information changes it, and point to the current answer.
- Check that the next action remains necessary and has enough explanation to begin.
- Open one supporting source to confirm your summary has not turned an assumption into a fact.
When an AI session changes the project, update the selected shared summary as part of finishing. fenbs project context holds the current handoff, but it still needs accurate information from the work you performed. A neat note system does not maintain itself.
How to do this with fenbs
- Create a free account and add the project whose summary you already keep in Apple Notes.
- Manually save a concise context note with the goal, allowed source references, current constraints, and uncertainties. fenbs does not connect to or sync Apple Notes.
- Record a person’s approved choices in Decisions and rules and add the remaining work as tasks. Keep the detailed personal references in Notes.
- Connect a supported AI app using Integrations, ask it to read context before work, and save Where we left off before ending the session.
fenbs is free for one person, no credit card. It is not the right fit when your only need is personal note capture or when you require automatic Apple Notes synchronization. Add it when shared decisions and continuing AI work need their own record.
How can you test the setup without expanding it?
Try to prepare the next work session using only the project summary. If you cannot explain a conclusion, follow its link and improve the explanation. If you cannot name the next action, update the project rather than adding another tag.
