AI Notes From a PDF Upload: Extract and Check What Matters
Uploading a PDF to an AI and asking it for notes can save a lot of reading time. The key steps are checking you have permission to upload the document, asking for page references, and verifying the notes against the original before acting on them.

Most major AI assistants now accept PDF uploads and can extract notes, summaries and key points from the document. You upload the file, ask for what you need, and get a structured response in seconds. The step most people skip is checking the notes against the original document before treating them as accurate.
PDF notes are only as good as the AI's reading of the file. Dense tables, scanned images and complex layouts can produce errors. Tools like fenbs keep the source links and extracted notes together, so the next session can continue from a verified record rather than starting the extraction again.
Which AI tools accept PDF uploads
Claude, ChatGPT and Gemini all accept PDF file uploads in their standard interfaces. Each handles different file sizes and page counts; check the vendor's documentation for current limits, since they change. If the document is very long, the AI may summarize only the sections it can fit within its context window.
Several specialized tools focus specifically on PDF extraction and annotation. The AI in each case works on the text layer of the document. If the PDF is a scan without a text layer, the AI may not be able to read it accurately, or at all.
What to check before uploading a document
Before you upload any document to an AI tool, check three things.
- Permission: confirm you are allowed to share the document with a third-party service. Client contracts, internal reports, and documents marked confidential may carry restrictions.
- Data handling: check the AI vendor's terms for how uploaded files are used. Some tools use uploaded content to improve their models unless you opt out.
- File quality: if the PDF is a scan, open it and check that the text is readable. A scan-only PDF without a text layer will produce poor results.
For research documents and academic papers, also check the terms of the publisher or repository. Some licenses do not permit uploading content to third-party AI tools.
How to extract notes with page references
Asking the AI to include page numbers in the notes makes them much easier to verify. Without page references, a note like "the report recommends a 10% reduction" requires searching the whole document to check it.
- Upload the PDF and ask for a summary of the main points with the page number of each one.
- Ask follow-up questions about specific sections by referring to the page number: "On page 14, what does the document say about the methodology?"
- Ask the AI to list any claims it is uncertain about or sections it could not read clearly.
- If the document has a table of contents, ask the AI to identify which sections are most relevant to your question before extracting detailed notes.
Checking the notes against the original document
After the AI produces the notes, open the original document and check each key point against the page reference it gives. Look for three types of error: a number or statistic that has changed, a claim that was conditional in the original but stated as a fact in the notes, and a conclusion the AI drew that the document only hinted at.
Dense tables are a known weak point. AI can misread column alignments and return transposed figures. If the document includes a table with important numbers, read the relevant rows yourself rather than relying on the AI's summary.

How to do this with fenbs
- Create a free account and add a project for the research or work the document relates to.
- After verifying the notes, save the document as a Link in the project's Links and listings, with the page references that were useful.
- Add key findings as context notes in the project, each linked to the page reference in the document.
- Add any unresolved questions or unverified claims as tasks, so the next session knows what still needs checking.
- Connect your AI assistant via Integrations so it reads the links and context notes before starting follow-up work.
Keep the document and its verified notes together
After extracting and checking PDF notes, save the source document as a link in fenbs alongside the verified findings. The next assistant reads the links and context before starting, so it works from what was already confirmed rather than re-extracting from scratch. Add unresolved claims as tasks so the checking work stays visible.

What AI cannot reliably do with a PDF
AI cannot read scanned images within a PDF unless the document also has a text layer. It cannot interpret complex infographics, hand-drawn diagrams or signatures. For documents where meaning depends on visual layout rather than text, review those sections yourself.
AI also cannot determine whether a document is the current version. If you are working with a report that has been revised, confirm you have the right version before uploading. A note extracted from an outdated version may not reflect the current position. For general AI note-making tools and how to choose between them, the AI notes maker guide covers the main options.
When the page layout makes column order ambiguous, such as a wide table with merged cells, check those values against the original yourself rather than relying on the AI's reading.
