AI Notes in RingCentral: Review Summaries and Follow Through

RingCentral can generate AI summaries of calls and meetings. Getting the most from those summaries means reviewing them against the recording, confirming the decisions, and assigning the follow-up work somewhere it will actually get done.

Updated 4 min read

RingCentral's AI features can summarize a call or meeting, highlight key topics, and list action items from the transcript. That summary gives you a fast start on the follow-up — but only after you check it. A missed action item or a misread decision in the summary can delay work or create confusion about what was agreed.

Tools like fenbs give the confirmed decisions and tasks a home outside RingCentral, where your connected AI assistant can read them before the next session. The call summary is a draft; the project record is what you act on.

How RingCentral AI notes work

RingCentral includes AI note-taking through RingSense, which transcribes calls and meetings and generates summaries that include action items and key moments. The feature is available on certain RingCentral plans. Check the RingCentral website for current plan availability and any setup required for your account.

The summary appears after the call ends. It is generated from the transcript, not from a human review. That means it inherits the limitations of the transcript: if two people talked at the same time, if someone spoke quietly, or if the call covered several unrelated topics, the summary may combine or lose some detail.

For other AI note-taking approaches across different platforms, AI note-taking tools covers the full range of tools and their trade-offs.

How to review an AI-generated call summary

Read the summary the same day while the call is fresh. Check the action items first: does each one have a clear owner, a specific deliverable, and a timeframe? A summary that says "team will follow up" is not an action item; one that says "Alex will send the revised quote by October 23" is.

For anything important, go back to the transcript. The summary condenses; the transcript is exact. A commitment made in a call should be confirmed against the actual words before it becomes a task.

How to extract confirmed decisions from a call

A decision is something that was chosen, not just discussed. After reviewing the summary, write out the decisions separately: what was decided, who decided it, and the reason if it was stated. Keep that list short — a typical call has two or three real decisions, not ten.

If you are not sure whether something was decided or just discussed, check the transcript or ask the other party. An ambiguous decision is a problem waiting to surface when each party acts on a different interpretation.

How fenbs helps

Carry confirmed decisions and tasks beyond the call

In fenbs, add the confirmed decisions from the call to the relevant project as Decisions and rules. Add each action item as a task with the owner, deliverable, and timeframe noted. Before the next call or work session, your connected assistant reads those tasks and decisions — no searching back through RingCentral summaries to find what was agreed.

How to assign and track follow-up work

After a call, the follow-up work needs an owner and a deadline to have any chance of getting done. Assign each action item to one person. If two people are responsible for the same task, clarify who is leading and who is supporting.

A task that is not tracked is often not done. Use a project tool to hold the follow-up tasks from calls, not a calendar entry or a message thread. Tasks in a project stay visible until they are completed; calendar entries get buried.

How to handle calls with no clear decisions

Some calls end without a firm decision: a discussion that moved toward a choice without landing on one, or a call where the next steps were "let's think about it." Those outcomes are still worth recording. Write down what options were discussed, who favored what, and what information is still missing before a decision can be made. That is the honest state of the work.

Saving an unresolved question prevents the next meeting from starting from scratch. When the same group reconvenes, the record of the last call shows which options were already considered and why a decision was deferred. That is more useful than a note saying only that the topic was discussed.

Mark follow-up items for unresolved questions clearly. "Waiting for vendor pricing before confirming" is a different kind of task than "Alex will send the revised scope by Friday." Both belong in the project, but one is a dependency that needs to be actively managed before anything else can move.

How to do this with fenbs

Use one fenbs project for each client relationship or ongoing work stream that generates regular call follow-ups. Keep the decisions and tasks from each call there.

  1. Create a free account at fenbs and add a project for the client or work stream.
  2. After each RingCentral call, review the AI-generated summary and check key points against the transcript.
  3. Add each confirmed decision to the fenbs project as a Decision, with the person who decided it and the reason.
  4. Add each action item as a task, with the owner, the deliverable, and the agreed timeframe in the task note.
  5. Before the next call, read the project's open tasks and Decisions to review what is outstanding.

fenbs does not connect to RingCentral and does not import call summaries. You add the confirmed decisions and tasks manually after the review step. That review is how you catch the errors before they become the plan.

Questions people ask.

What AI features does RingCentral have?

RingCentral includes RingSense AI, which transcribes calls and meetings and generates summaries with action items and key moments. Availability depends on the plan. Check RingCentral's website for current plan details and feature availability.

How accurate are RingCentral AI call summaries?

Accuracy depends on audio quality, the number of speakers, and how clearly action items were stated on the call. Summaries are a useful starting point. For anything important, check the action items and decisions against the transcript before acting on them.

What is the difference between a call summary and a decision record?

A call summary is a condensed version of what happened on the call, including discussion points and suggested action items. A decision record is a clean statement of what was chosen, who chose it, and why. Both are useful; only the decision record is durable enough to rely on weeks later.

Does fenbs connect to RingCentral?

fenbs does not connect to RingCentral. It connects to AI assistants over MCP. Confirmed decisions and tasks from RingCentral calls are added to fenbs manually after the review step.
