AI for Insurance Brokers: Research, Renewals, and Follow-Ups
Use assistants to prepare product research, renewal questions, and follow-ups. Keep policy interpretation and recommendations with the broker, supported by the actual documents.

AI can help insurance brokers prepare product research, organize renewal questions, and draft follow-up messages for review. It should support the broker’s work with the actual policy documents, not make coverage promises or choose protection for a client on its own. fenbs keeps approved process instructions and reference links available when different assistants help with that preparation.
Begin with a generic workflow and public information. A renewal preparation checklist is a better first exercise than uploading a book of business. You can check whether the assistant asks sensible questions, keeps unknowns visible, and leaves decisions with the licensed professional before considering any approved use of private information.
What work can an assistant prepare for a broker?
Use AI for the reading and organizing around the client conversation. It can turn an approved renewal procedure into an agenda, group public carrier information by product type, or make a draft explanation easier to read. Define the input and the expected output so the reviewer knows what the assistant was allowed to assume.
| Task | Useful AI draft | Broker review |
|---|---|---|
| Product research | A comparison outline based on specified public materials. | Confirm form, state, availability, date, and what the source actually establishes. |
| Renewal preparation | Questions about changed operations, locations, and exposures. | Select the relevant questions and verify responses with the client. |
| Follow-up | A clear request for outstanding information. | Check recipient, accuracy, timing, and the approved delivery channel. |
| Internal process | A draft checklist describing responsibilities and handoffs. | Confirm exceptions, escalation routes, and completion evidence. |
These are broker preparation jobs. Other insurance processes and interaction models are covered in insurance AI workflows, AI in the insurance industry, and conversational AI in insurance. For the basic pattern of assigning a bounded task and reviewing the result, see how to use AI at work.
How should AI-assisted product research be checked?
Write the comparison question before collecting material. “Which public documents explain the available forms and exclusions for this product in this state?” creates a research task. “Which policy is best?” invites a conclusion before the assistant knows the client’s exposures, actual offered terms, or the broker’s professional assessment.
Treat marketing pages as starting points. A brochure can describe a product without stating the terms of the policy offered to a particular client. Save the document title, issuer, state, edition or publication date, and the exact section supporting each claim. If a necessary form is unavailable, mark the point unresolved and ask the carrier through the appropriate channel.
The Texas Department of Insurance guide to commercial general liability (opens in a new tab) emphasizes reviewing the policy and endorsements because coverage and exclusions vary. That is a practical reason to compare actual documents rather than assuming that two products with the same category name provide the same protection.
- Check the exact form and edition; a matching product name is not enough.
- Read definitions, exclusions, conditions, schedules, and endorsements together.
- Distinguish public product descriptions from offered terms and issued policy wording.
- Preserve unknowns and record the question that needs carrier clarification.
Keep approved public links and their purpose in fenbs Links and listings. The link record can say “general background, not evidence of this client’s coverage,” helping the next assistant use the reference for the right job.
Give research references a clear purpose
Save approved public references in Links and listings with a note explaining what each one supports. Keep missing-form questions in project tasks, separate from verified information. The next connected assistant can continue the research without turning a general brochure into a coverage conclusion.

What does a useful renewal preparation workflow look like?
Build the process around changes that need a conversation, not around a generic summary of last year. Ask an assistant to draft questions from your approved renewal checklist. The broker chooses which apply and collects the answers through approved systems. A client’s silence should remain an unanswered request rather than an assumption that nothing changed.
For a hypothetical small manufacturer, preparation questions might concern a new location, different products, changed subcontracting arrangements, or operations in another state. These are examples of topics to review, not a complete application or a statement about required coverage. The professional determines what information the specific placement needs.
- Identify the renewal task and the approved checklist that governs preparation.
- Ask for a draft question list, grouped by topic, with no invented client answers.
- Review the list and request the needed information through the agency’s approved channel.
- Check the received information against the actual submission and policy materials.
- Record unresolved issues, the person responsible for resolving them, and the next review step.
Separate the process record from the client record. A general task can say that the renewal checklist needs an additional review step without including medical information, claim details, personal identifiers, or financial documents. Your agency management system should remain the home for information that belongs in the client file.
Where multiple assistants contribute, save the current checklist version and the steps already reviewed. Otherwise, a new session may revive questions the broker removed or use an older instruction. A shared AI brain is useful here because the approved work context survives the individual conversation.
How can follow-up messages stay accurate and useful?
Give the assistant the purpose, approved facts, and the specific action needed from the recipient. Ask for a short draft with no unsupported statements about binding, cancellation, coverage, claim payment, or deadlines. If an essential fact is missing, it should return a question for the broker instead of making the message look finished.
Review wording that changes certainty. “The carrier is reviewing the request” must not become “your change is approved.” “Please confirm whether operations have changed” must not become “we confirm your operations are unchanged.” Small edits can change what a client reasonably understands about the status of their insurance.
A useful generic follow-up identifies what is outstanding, why the broker needs it, and how the client can provide it. Keep sensitive detail out of ordinary drafting contexts and use the approved client communication channel. The broker must check the actual recipient and attachment before sending; a polished draft cannot establish either one.
Track drafted, reviewed, and sent as separate facts in the appropriate work record. An assistant preparing text does not mean a client has received a request or agreed to a change. When a person approves a recurring wording rule, save that instruction so future drafts preserve the same boundary.
Which US insurance and privacy boundaries should you establish?
Insurance requirements depend on the state, product, activity, and your agency’s role. Have the responsible compliance professional identify the applicable producer licensing, recordkeeping, privacy, and communication obligations before expanding a workflow. The fact that a tool generates an answer does not establish that the answer is appropriate for a client.
The NAIC explanation of AI in insurance (opens in a new tab) discusses oversight and the possibility of convincing but incorrect answers. Its insurer model bulletin is not a blanket national rule for every broker. Check what your state has adopted and whether it applies to the activity at issue rather than presenting a model as universally binding law.
Approve the information boundary separately from the tool. Review the provider’s handling of inputs, retention, access, and onward use, along with agency agreements and applicable law. A generic workflow can often be tested without policyholder records. Removing a name does not necessarily remove the sensitive or identifying details in the rest of the text.
Set an escalation instruction for any request that requires a coverage interpretation or an action beyond the approved task. The assistant should leave the question for the broker. Save that instruction in fenbs Decisions and rules so it remains visible when a different person or AI app helps prepare the work.
Start the next session with the approved process
Keep non-sensitive renewal procedures, escalation rules, and unfinished preparation tasks in fenbs. Ask your assistant to read the project context before drafting and save Where we left off afterward. People review the work and make the decisions; assistants can record those decisions and the next steps.

How to do this with fenbs?
- Create a free account and add a project for improving a generic renewal preparation procedure.
- Add tasks for reviewing the checklist, checking public reference links, and testing a follow-up draft with fictional information.
- Record approved process boundaries in Decisions and rules: permitted data, required broker review, and which questions must be escalated.
- Connect a supported assistant through Integrations. MCP is a standard connection that lets an AI app use an outside tool; ask it to read the project context first.
- Save progress before stopping, including what has been checked and what still needs a person. Keep client files, submissions, and formal communications in the agency’s approved systems.
fenbs does not quote, bind, or administer insurance, and it does not replace an agency management system. It is not the right fit for storing sensitive policyholder records without your organization’s approval. Use it for the permitted process work and shared references, then check that a fresh assistant follows the same review boundaries.
Try one fictional renewal from start to finish before expanding. The broker should be able to find every unresolved question, distinguish preparation from approval, and identify what the next session needs to do. More examples of this kind of supervised work appear in the AI by role hub.
