AI Document Highlighter: Find Passages You Can Verify

Use AI to find relevant passages, then check the original wording and its context. Keep the research question, source location, and reviewed takeaway together so the highlights remain useful.

An AI document highlighter helps you locate passages that answer a specific question, but you should verify each passage in the original document before treating it as evidence. Start by asking for candidate excerpts with page or section references, then save only the highlights that survive your review.

Tools like fenbs can keep the research question, source links, and reviewed takeaways available when you return with another assistant. The document remains the source; the shared record explains what you checked and why the passage matters.

How do you start a useful highlighting pass?

  1. Write one question the highlights should answer, such as which requirements apply before a supplier trial can begin.
  2. Choose the approved document version and confirm that its text is readable by your selected tool.
  3. Ask for candidate passages, exact source locations, and a short explanation of relevance. Ask for exceptions and conflicting evidence too.
  4. Open every candidate in the source, read the surrounding material, and reject highlights that overstate or omit a condition.
  5. Save the accepted annotations in your document tool and keep a short reviewed takeaway with the source reference for later work.

Avoid a general request to highlight everything important. Importance depends on your question: a payment deadline matters for an invoice review, while a testing condition matters for launch readiness. A narrow question also makes it easier to spot a passage the assistant should have found but missed.

Does the AI mark the file or just show an answer?

Check what your chosen feature actually saves. Some workflows return excerpts in chat, some reveal a highlighted source location when you open a citation, and others create annotations in the file. A visual highlight during an answer is not necessarily a permanent note you can share.

Adobe documents that Acrobat AI Assistant answers include source citations (opens in a new tab), and selecting a source number opens the relevant document section. For persistent markup, Adobe separately describes selecting text and applying Highlight text (opens in a new tab). Confirm that your reviewed annotations are saved before closing the file.

Test the result by reopening it as the person who will use it next. Can they find the passage and the explanation, or can only you see the original conversation? Our guide to using AI at work covers fitting these checks into ordinary tasks.

What should you ask the AI to highlight?

Use a small set of categories tied to the question. For a project specification, useful categories might be a stated requirement, an exception, and an unresolved dependency. Ask the assistant to explain its classification without rewriting the source excerpt.

A passage-finding prompt
Question: What must happen before the trial begins?
Use only the approved trial plan provided.
Find candidate passages for requirements, exceptions, and unresolved dependencies.
For each, return the exact short excerpt, page or section, and one sentence explaining relevance.
Keep conditions and words such as must, may, unless, and only.
Do not invent a quotation or source location. Mark missing evidence as missing.
Include passages that challenge the apparent answer. Do not edit the document.

If the tool cannot give reliable excerpts or locations, use its answer as a search lead and find the passage manually. Do not present a reconstructed sentence as a quotation. Keep interpretation in a separate note so the reader can tell what the author wrote and what you concluded.

Save the question and accepted source references through fenbs’s work record when later tasks will depend on them. That gives the next session the purpose behind the highlights instead of a disconnected list of colored sentences.

How do you check a passage in context?

Read the heading and at least the surrounding paragraph, then follow references to definitions, tables, and appendices. A statement may apply only to one customer group or one stage of a process. Keep that limitation with the highlight even when it makes the takeaway less tidy.

What to preserve when reviewing a highlight
Source wordingCheck before saving
A requirementWho it applies to, when it applies, and any exception.
A numberIts unit, period, denominator, and table notes.
A recommendationWhether it is advice or a mandatory instruction.
A quoted claimWhether the document endorses it or is describing another person’s position.
An apparent contradictionWhether the passages cover different scopes or versions.

Say a trial plan says all external users need training, while an appendix allows supervised demonstrations without individual accounts. Highlighting only the training sentence could produce an unnecessary action for demonstration visitors. Keep both passages and ask the plan owner if the intended group is unclear.

Why do scans and complex pages need extra care?

A scanned PDF can be an image rather than readable text. Adobe explains how OCR makes scanned text searchable (opens in a new tab). Before using an AI-selected excerpt, compare it with the page image, especially for a negative word, decimal, symbol, or name that changes the answer.

Read tables by row and column rather than trusting a sentence assembled from extracted text. Check that a footnote belongs to the cited value and that text from two columns has not been joined. When the layout is uncertain, save the page reference and describe the uncertainty instead of supplying a confident quotation.

If the immediate problem is reading the whole file rather than choosing relevant excerpts, see the AI document reader guide. The Microsoft AI tools overview covers a different set of work applications; it should not replace checking the exact highlighting feature you use.

How fenbs helps

Keep the question beside the reviewed evidence

Add the source reference to Links and listings in fenbs and save a short reviewed takeaway in an AI context note. Include the question, version, and unresolved limits so a later assistant knows what the highlight supports. Keep the annotated document in its document tool.

Keep a warning about uncertain scanned text in fenbs’s AI context, so the next connected assistant knows which passages still need checking against the page image.

How to do this with fenbs

  1. Create a free account and add a project for the research or document review. It is free for one person, with no credit card.
  2. Add the approved document link to Links and listings. Save its version and the question you are investigating in an AI context note.
  3. Connect your supported assistant using Integrations, then ask it to read the project context before helping with your approved document tool.
  4. After checking the candidate highlights, record the reviewed takeaways and source locations. Turn a needed follow-up into a task and keep an unresolved interpretation open for a person.
  5. Save Where we left off with what was reviewed, what remains uncertain, and the next passage or file to check.

fenbs does not highlight or annotate PDFs. If you only need colored passages in one document, use a document annotation tool; fenbs helps when the evidence needs to inform work across multiple sessions or assistants.

What makes the saved highlights useful later?

Keep fewer, clearer highlights. Each one should answer the question, preserve a necessary condition, or show why the answer is still uncertain. Remove duplicated passages and notes that make sense only when you remember the conversation that produced them.

Ask a fresh reader to explain the takeaway and reopen the supporting passage. If they can do both without asking what you meant, the record is ready for reuse. The AI brain explainer describes this broader habit of keeping useful work context; find more everyday workflows in the AI at work hub.

Questions people ask.

Can AI highlights miss relevant information?

Yes. Check a representative section yourself and ask for exceptions and evidence against the apparent answer. An AI-selected set of passages is a starting point for review, not proof of completeness.

Should I use different colors for different findings?

You can, but write a short legend and add text labels for meaning. A reader should not need to distinguish colors to understand whether a passage is a requirement, an exception, or an open question.

Can I rely on a highlight from a scanned PDF?

Compare the recognized words with the original page image. Small text recognition errors can reverse meaning or change a number, even when the excerpt sounds reasonable.

How much of a document should I highlight?

There is no useful universal percentage. Save only the passages needed to support the research question, preserve its conditions, and explain unresolved conflicts.
